Data Series and Categories A data series: – A set of values to be charted – A chart can have up to 32,000 values or data points Data categories are used to: –Organize values in a data series –The labels under which the values are stored

Two-step process: – Select the cells you want to chart including any text cells containing row or column headings –Select a chart type from the chart gallery in the Charts group on the Insert tab An embedded chart will be created accordingly in the worksheet Creating a Chart

Customize the Chart Four main issues: – Change the Chart Type – Switch row and column of the chart data Change the data series between rows and columns –Configure the appearance of the chart Titles, legend, data labels, etc. –Change the location of the chart Embedded charts, a chart in the same worksheet as the data series Chart sheet, a dedicated worksheet only for the chart

9 © 2004 by the McGraw-Hill Companies, Inc. All rights reserved. Change the Chart Type Use the Change Chart Type button in the Type group on the Design tab of Chart Tools Select a new type in the Change Chart Type dialog box

10 © 2004 by the McGraw-Hill Companies, Inc. All rights reserved. Change Data Series Use the Switch Row/Column button in the Data group on the Design tab of Chart Tools –You can switch data series between rows and columns of the source data

Configure Chart Appearance Use the Labels group on the Layout tab of Chart Tools –Configure the chart title, axis titles, legend, etc. –Once a title is inserted, title text can be edited by clicking on the title Use the Axes group on the Layout tab of Chart Tools –Configure axes and gridlines

12 © 2004 by the McGraw-Hill Companies, Inc. All rights reserved. Change Chart Location Use the Move Chart button in the Location group on the Design tab of Chart Tools In the Move Chart dialog box, you can choose the chart location between embedded chart and chart sheet

13 © 2004 by the McGraw-Hill Companies, Inc. All rights reserved. Moving and Resizing an Embedded Chart The chart is a graphical object It can be moved by dragging its border Its size can be changed using its resizing handles

15 © 2004 by the McGraw-Hill Companies, Inc. All rights reserved. Updating a Chart Revised sales data and chart The change of values in the worksheet can be reflected in the chart immediately These columns are shorter than before the data changes Top Y-axis value adjusts to the new largest value

Modifying a Chart Data series can be: –Added Click on the Select Data button in the Data group on the Design tab of Chart Tools Select the new data range including the new data series and its label and then press –Deleted Click on the corresponding data marker in the chart and press –Hidden Removing the data series from the chart is temporary. The data series reappears when the corresponding worksheet data row or column is unhidden

Formatting Chart Click on the part of the chart you want to format –Basically, you can click on any component in the chart –However, if you want to select a single data point (such as a column or a slice), you need to click on it twice, since the first click selects the whole data series of the data point Then click on the Format Selection button in the Current Selection group on the Layout tab of Chart Tools, or Right-click on the chart part and select Format in the shortcut menu

Labeling Data Data label is the value or name assigned to an individual data point Data label is optional Data label can be added to: –All data series in a chart –A single data series –A data marker Use the Data Labels button in the Labels group on the Layout tab of Chart Tools, or Right-click on the data series or data point and format using the shortcut menu

Creating a Chart in a Chart Sheet Chart sheets –Like embedded charts – formatting operations are the same –Move the chart to a chart sheet after it is created using the Move Chart button in the Location group on the Layout tab of Chart Tools
