1 Presentation Template: Instructor Comments u The following template presents a guideline for preparing a Six Sigma presentation. An effective presentation should be similar in format & length (~10-20 slides), but will obviously vary based on your findings and presentation style. u The italic text in these template slides is instructional and should not be written in the actual presentation. The nonitalic text in these slides presents examples of the kinds of text you can include. Note that some of the example text appears on separate slides within the template. u The information in your presentation should be a subset of your written report. When preparing your presentation, identify and present your key points. Present detailed explanations in your written report. u Feel free to use this PowerPoint template to set up your presentation format style. u NOTE: For Certification Projects - YOU DO NOT NEED TO PREPARE A PRESENTATION. Thus, this template is intended for you to use as a guideline if you are asked to prepare a presentation to your organization.

3 Sample Project Presentation: Reducing Processing Time for Special Order Product Modifications of Industrial Computers
4
4 Overview (1-2 slides) u Project Definition - briefly describe the project. In this section you should Include: –problem statement / identify defect concern –state current and target performance –brief summary of analysis, including conclusions –recommendation Note: Current practice supports presenting a brief summary of your conclusions and recommendations in the overview. This approach gives the audience a viewpoint from which to interpret the data you present. Define Measure Analyze Improve Control
5
5 Example:Overview Problem Time to process special orders for new PC’s is taking too long. Current Performance Over the last six months, 31% of special order requests took longer than 4 weeks to process. Performance Objective Reduce Special Order time to < 2 weeks. Define Measure Analyze Improve Control
6
6 Example: Overview Analysis Determined that most late special orders were caused by delays sending order back and forth between departments. Recommendation Reorganized process flow to reduce the number of times the order is moved between departments and developed a new tracking checklist to minimize duplication of effort. Define Measure Analyze Improve Control
7
7 Problem Statement/ Process Description u Define the problem and identify key areas of concern: Some possible tools include: –Process Map / Flow Chart –Cause-and-Effect Diagram –Pareto Chart Define Measure Analyze Improve Control
8
8 Current Performance u Present data from analysis. Possible items to include: –Summary statistics –Process Capability Analysis –Graphical Summary - Histogram –DPMO –Rolled Throughput Yield Define Measure Analyze Improve Control
9
9 Example: Order Time Performance Define Measure Analyze Improve Control Summarize data using graphical techniques/ descriptive statistics.
10
10 Measurement System Analysis u Verify the validity of your measurement system. –Variable Data: Gage R&R –Transactional Data: More Difficult »Identify strengths or limitations in your data collection. Define Measure Analyze Improve Control
11
11 Data Analysis u Identify causes of defects, sources of variation. Possible analysis to include: –Cause-and-effect Analysis –Sources of Variation Analysis (5 M’s) –Check Sheet Analysis –Pareto Analysis –Correlation Analysis (Regression) –Stratification analysis –Process Control Charts Define Measure Analyze Improve Control
12
12 Order Fill Example u A high level Pareto Analysis suggest that most of the time is related to preparing the bid and obtain special components. Define Measure Analyze Improve Control
13
13 Excess Time - Preparing Bid u A problem solving team was formed to analyze why the process was taking so long to prepare bid. u Issues: –Lack of readily available pricing / special component requirements information. –Bids were going back and forth between departments. –Excessive time tracking down source of processing documentation errors. Define Measure Analyze Improve Control
14
14 Alternative Solutions u Identify ways to improve performance. –Identify alternative solutions. –Set up test groups to evaluate alternatives. Define Measure Analyze Improve Control
15
15 Example: Alternative Solutions Possible Solutions u Create a new special order bid information system. u Reorganize flow of bid to minimize amount of travel between departments. u Create a inventory tracking system for better control of special order components. Define Measure Analyze Improve Control
16
16 Verification of Findings u Verify recommended solution(s) will continue to succeed. Possible items to include: –Follow-up DPM analysis –Follow-up Process Capability Analysis –Show Control Charts to Demonstrate Process Stability Define Measure Analyze Improve Control
17
17 Order Fill Example u After implementing the prior recommendations, create a test group of new order system and compare with old. Define Measure Analyze Improve Control
18
18 Control Phase Identify a control plan to insure that system will continue to perform. Some Examples: –ISO 9000 Control Plan –Tracking system to insure that all special orders are moving through the system. Define Measure Analyze Improve Control
19
19 Recommendation(s) u Identify specific solution(s) to achieve performance goals: –Specify criteria for selecting solution. –Present conclusions. –Identify chosen solution(s). –Summarize control plan. Define Measure Analyze Improve Control
20
20 Example: Recommendation Utilize new special order system. Based on test case, We expect to reduce average processing time from 3.2 to 1.4 weeks. More Importantly, reduce % orders taking more than 4 weeks from ~30% to ~1%! Define Measure Analyze Improve Control
