Select Customer Menu Option

Notice there are two options in the Customer Menu. The first, Customer Contact Menu, records information to assist you in your Customer Relationship Management. The Second, Customer Information Menu, records the contact, billing and shipping information for the Customer.

Select Customer Information Menu to Add or Edit Customer Information. This will be displayed first since the Customer Information must exist for the Customer Contact Data to be recorded.

Select to “Add” to enter information for a new Customer

The Customer Id can be any character. It is used throughout the system to identify the Customer and the material purchased or sold by this Customer The Customer Type associated with the Customer provides information about the role(s) of the Customer in the business of the electronic recycling firm and is customizable (manufacturer supplier, recycler buyer, recycler supplier, federal supplier, etc). Also displayed above is an example of the field level help (used throughout the system) associated with the creation of a new Customer Id or a New Customer Id/Customer Type combination. The Customer Id drop down list provides the existing Customer Id’s and allows one to be selected and a new Customer Type to be selected. An error will occur if a duplicate is produced and the record will not be saved. If it is a new customer it allows you to see the Customer Ids already in use. The Shipping Address also has context level help which displays “If ‘same’ is entered in the Shipping Address field the entire Billing Address will be copied into the respective Shipping Address fields”.

Here you see an example company entered and the Billing Address is about to be copied into the Shipping Address. Note the use of a 3 letter acronym for the Customer Id. This works well when identifying forms and data associated with this Customer.

Select Edit Existing Customer Information to change data on an existing Customer.

Here is the Customer, AEC, we just added. Note the Shipping Address is a copy of the Billing Address from the entry of the “Same” feature. This screen allows you to find the record you wish to edit by scrolling through the records by using the mouse wheel or to enter a particular Customer Id & Customer Type combination to find the record. You may then edit any field.

Select Customer Contact Menu when you want to add or edit a Customer’s contact record. This portion of the system is used to schedule, monitor and record your business relationship and ongoing contacts with the customer.

There are 3 working options to choose from. Add Customer Contact Information is used to establish a relationship record for a Customer who has never had one before. The second option is used to edit the Customer Relationship data and the 3 rd option produces the Schedule of Customer Contacts. This is a report which list all the Customers who have a next contact date and have not been contacted.

We added a Customer Contact record for the new Customer we just added, AEC. As soon as we selected the Customer Type, the Sales Representative and other Customer Information populate automatically. We may continue to enter in information for Last Contact Date (could be today), Next Contact Date, Interests, Hometown, etc. We will then create a contact record that lists the Contact Date, Contact Type (In Person, Email, Voice Mail, etc), and notes concerning what was discussed or decided. If you find that the Customer Information has change you may update that information by pushing the “Update Customer Information” button and you will transfer to the “Edit Customer Information” screen.

We complete the entry of the data and created a record of our contact today with AEC. Note that we scrolled the screen down to reach the bottom of the entry fields. All of the Contact Detail records may be reviewed by using the Mouse wheel to scroll or the scroll bar on the right of the Contact Date information The Next meeting date will cause an entry to show up on the Contact Scheduling List, produced by selecting the Schedule of Customer Contacts menu item.

The Contact Scheduling Report is in ascending order by “Next Meeting Date”. Note the last record was created by setting our next contact date to 5/20/2009 for AEC. This Schedule includes all contacts where there has been no entry since the last Next Meeting Date.
