Really wonder whether management appreciates what they are creating?! Online Leaves

2 Enhancements this Year  Auto-generate Sub record from Leave  New Message Code on PAY.114 *** Great Add!  Attaching document(s) to Leave Request  New Auto approve to reduce approver workload  New auto-change leave date range **yearend  button to assist Schl Admin and approver in knowing volumes etc.  New Potential Problems report XXX to identify worked>1 for any day & absences >1 for any single day  New minor changes to leave fields Online Leaves

4 Features worth Discussion  Goal: Be the one and only source for requesting to be away. Originally it was to replace the Leave Form … we have learnt so much!  Leave Form versus what actually occurred. Question both School/Dept admin and final approvers and what they were actually approving.  School Sec and Board Office Sec involvement  Check again at Payroll?  Leave for everything – including same day sick and absences that have already occurred. Online Leaves

5 Features worth Discussion  So … are we there? Can we trust the Leave Form?  Employee is able to complete the Leave quite accurately  Employee considers balances so leave type is suitable.. Does not have to be edited later/late at payroll due to no balance available  Employee in multiple locations can handle the adds and knows how to handle absence amount per location  Employee inputs appropriate information so approver(s) are ready to approve  How good is your help document for the above?? Can we trust the approval levels  Admin accepts their role, and have all they need to make good approval decisions  School Secs not adding any Sub Records, have successfully moved away from being the glue of absences  Same day Sick called directly into Sub Desk.. But leave still being done/approved  Board Office running EIS.564 to police missing leaves and variances between Sub and Leave Online Leaves

8 Features worth Discussion  Employee’s knowledge of balances – why not allow banks to go in the hole – what is the purpose of changing those types to LWOP. If we have to do this – what will this mean to Leave? To Sub Record?.. Thought for now - discuss in paydock session  How do we notify employee at time of leave that they have no balance and may be docked using that leave??? Online Leaves

ONE WAY TO HANDLE  Board Office check/change the Sub Record  Board Office – change the other leave and mark a completion code BOREV …. SECOND METHOD –Board Office remove the Sub Record –Board Office cancel the wrong leave –Have employee Re-add a new Leave (use Duplicate feature) Online Leaves

11 Other Concerns, Discussion  Managing Leave extensions.. Suggesting that additional Leave Requests should be requested as approval and notification is important  New Leave.. Could be used for ANY copy Online Leaves

12 Other Concerns, Discussion  Managing future dated Leave Requests when employee Leaves and/or changes Position or Location.  New Updates to F11 to show “Future Leaves Onfile”  Expectation for HR to manage the Leave – Cancel it and/or change Location. Admin will not automatically be informed but it will be visible to them on day of or on viewing the Employee Online Leaves

13 Other Concerns, Discussion  Managing changes to Leaves once it has been approved… Who should take those calls and do the work?  Different Absence/Leave Type  Reducing the time away  Extending the time away *** New Leave  Change the date ** Cancel, Re-request Online Leaves

14 Expected Additional Features  Goal: Request Banked Overtime in a Leave Request. This would generate earnings in the Sub Record.  On Employee Main - For AC - On time in/away Sub records - show Leave details to assist that user in knowing additional Sub details, comments etc.  On Employee Connect - in Sub Calendar Availability - show Sub Comments from Leave right there to assist Sub in knowing what duties are expected of them. Online Leaves
