Databases (2) Lesson Objective: Understand the purpose of DBMS. Understand data types, queries, forms and reports. Learning Outcome: Make a data table with correct data types Enter validation rules Create a query

Question  What’s the point of today’s lesson?

DBMS – Database management system Customers’ details e.g. Mr A 1 Green St. Customers’ details e.g. Mr A 1 Green St Customers’ details e.g. Mr A 1 Green St Customers’ details e.g. Mr A 99 Blue St. This information has not been passed on  Data not being shared leads to data inconsistency. Data duplication This is inefficient and wasteful

DBMS – Database management system All departments now see the new data Customers’ details e.g. Mr A 99 Blue St.

DBMS – Database management system DBMS allows use of Queries, Forms and Reports on the data

DBMS 2 Front end Back end DBMS – Database management system

Your task  Illustrate the purpose and features of DBMS on the worksheets.  Use the following key words: Data duplication, data inconsistency, queries, forms, reports, front end back end.

Data Types Fill in the survey “All about you!”

Data Types  Text -A mixture of letters, number and spaces, including leading 0’s  Number (Decimal) - A number which can have a decimal point  Number (Integer) - A whole number  Date / Time -A time and/or a calendar date between 1 Jan 100 and 31 Dec 9999

Data Types  Currency -An amount of money, with two decimal places  Yes / No -A value which can be true or false

Your Task…  Create a data table in Access and put in the fields for the data survey with the correct data type.

Validation  Validation checks that the data entered is reasonable. Eg. Correct data type, correct range of numbers, correct number of letters…etc.  Verification checks that the data entered is the same as intended

Your task …  Apply validation to the data fields.

Queries Queries are used to limit the number of fields, the number of records and to sort in order. [Continent] = ‘Europe’ AND [Population] > 40000000 E.g:
