7 Responsibilities of the Site Test Coordinator

8 8  SiteTest Coordinators  Are responsible for coordinating all AIMS and Stanford 10 testing in their individual schools  Serve as the liaison between district test coordinator and school for all AIMS and Stanford 10 testing issues  Are responsible for training all individuals responsible for testing or proctoring General Responsibilities

9 9 Responsibilities Before Testing  Training of Test Administrators and Proctors must include  Test security procedures  Test administration procedures  Correct use of testing accommodations  Use of Pre-ID labels and hand-bubbling student demographic data  Procedures for handling unexpected or unusual situations

10 10 Responsibilities Before Testing  Communicate testing schedule  Help to determine which students will test  Train test administrators and proctors  Arrange for pencils, dictionaries, thesauri, and other testing materials to be supplied  Obtain signed copies of the Test Security Agreement

11 11 Responsibilities Before Testing  Implement and maintain test security procedures  Communicate security procedures  Inventory test materials and place additional order if necessary  Follow up on questions from Test Administrators as needed

12 12 Responsibilities During Testing  Monitor all assessment activities  Check-out test materials at the beginning of each test day  Check-in test materials at the end of each test day  Maintain an accurate inventory of test materials

13 13 Responsibilities During Testing  Report any testing incidents as soon as possible to Cindy Hurley (next slide)  In the event of an incident, allow student to finish test session  Package all materials as instructed by CH  Call to arrange return of tests  Ensure materials are ready for scheduled check-in and arrive on time Contact number for all testing: 225-5418

14 14 Invalidations  Contact Cindy Hurley as soon as possible about any testing situation to determine what course of action will need to be taken  Remember only the Arizona Department of Education can approve invalidations  Teachers can not determine that a test needs to be invalidated regardless of the situation

15 15 Testing Incident Report Contact C.H. as soon as you are aware of a breach of test protocol. She will tell you if you will need to fill out a Testing Incident Report (TIR). An electronic version will be emailed to you if needed. Copy of TIR in packet.

16 Procedures for Test Administration

17 17 Students to Be Tested  All students in Grades 2 and above will participate in testing as described in the following slides  Only students with significant cognitive disabilities and whose current IEP designates them as eligible for an alternative assessment, AIMS A, are excluded from AIMS or Stanford 10 testing

19 19 Writing Field Test  AIMS 5, 6, 7 Writing Field Test  Students in grades 5, 6, 7 in schools selected to participate in the AIMS Writing Field Test are expected to participate in the field test  Students who use a Braille or large print version of the AIMS test or who are expected to test on AIMS A are excused from the field test

20 20 Students to Be Tested  Non Enrolled Students  AIMS testing is available upon request at local public schools for home school students and private school  Stanford 10 testing is not available for not enrolled students

21 21 Test Administration Schedules  February Testing  AIMS 5, 6, 7 Writing Field Test  February 15 – 24  Schools have flexibility in scheduling their own testing date  1 session of 2 hours WFT

24 24 Test Administration Schedules  All AIMS tests and Stanford 10 tests are untimed  Times are provided for planning purposes only  Students must be allowed to finish testing even if the scheduled time for the test has elapsed  There are breaks scheduled within all days of AIMS and Stanford 10 testing -refer to TADs and TCM for details

25 25 Test Security  All school personnel in contact with AIMS and/or Stanford 10 tests must sign a Test Security Agreement (TSA) and adhere to test security procedures  Signed TSA kept for 6 yrs. at school  TSA from the principal is to be returned to Cindy.  Copy of TSA in packet

26 26 Test Security  It is unethical and will be viewed as a test security violation for any person to:  Examine, read, or review the content of any portion of the test  Disclose or allow to be disclosed the content of any portion of the test before, during, or after test administration

27 27 Test Security  It is unethical and will be viewed as a test security violation for any person to:  Discuss any AIMS (or Stanford 10) test item before, during, or after test administration  Allow students access to test questions or writing prompt prior to testing  Allow students to share information during the test administration

28 28 Test Security  It is unethical and will be viewed as a test security violation for any person to:  Allow students to use scratch paper during AIMS testing  Read any part of the test to students except as indicated in the test administration directions (or as permitted as part of a standard accommodation)

29 29 Test Security  It is unethical and will be viewed as a test security violation for any person to:  Influence students’ answers  Change students’ answer choices  Review students’ answers, including the writing rough draft and writing final copy  Photocopy, transcribe, or in any way duplicate any part of AIMS (or Stanford 10) test books

30 30 Test Security  It is unethical and will be viewed as a test security violation for any person to:  Fail to return all AIMS test materials, including unused documents  Participate in, direct, aid, counsel, assist in, encourage, or fail to report any violations of these test administration security procedures

31 31  Special Circumstance  Students with an injury that makes writing or bubbling responses difficult  Eligible for certain standard accommodations  See page 6 of Testing Accommodations: Guidelines for 2009-2010 In Case of Injury

32 Responsibilities of Test Administrators

33 33  Test Administrators (and Proctors) must be employees of the school  Test Administrators must attend pre-test training that includes test administration procedures and test security procedures  Test Administrators must read and sign a Test Security Agreement Before Testing

34 34 Before Testing  The appropriate AIMS Test Administration Directions or Stanford 10 Directions for Administering must be available to Test Administrators at least one day prior to testing  Test administrators must read the appropriate test directions in advance of the testing dates  The Stanford 10 Grade 2 Directions for Administering includes actual test items within the scripted directions – treat as secure test material including daily check-out and check-in NE W

35 35  Test Administrators must read Testing Accommodations: Guidelines for 2009-2010 in advance of the testing dates  Test Administrators are responsible for seeing that  Students who qualify for testing accommodations receive them  Students who do not qualify for accommodations are not affected Before Testing

36 36 Before Testing  Test Administrators must prepare the room  Comfortable -- good lighting, good ventilation  Free from distractions  Arrange desks/tables so that students cannot easily see others’ answer documents and so that the Test Administrator can walk by each student  Clear unneeded materials from the desks/tables

37 37 Before Testing  Test Administrators must make available to students only authorized resources  Dictionaries and thesauri must be available for all AIMS Writing tests  Only authorized materials may remain posted in the room (see pg. 8 of AIMS TAD)  All other visual aids that could assist students while testing must be removed or covered completely

38 38 Before Testing - Labels  Test Administrators (or other designated adults) are responsible for affixing Pre-ID labels in the proper location on answer documents for AIMS and Stanford 10  There is only one label per answer document so no back-up label provided this year – affix carefully  Do not write on labels for any reason

39 39 Before Testing – Without Labels  Test Administrators (or other designated adults) are responsible for bubbling student demographic data on answer documents for students without Pre-ID labels  Directions for bubbling student demographic data are included in all Test Administration Directions

40 40 Student Identification Information  For students without a student bar code label, the grid on the back must be completed by school personnel.  New this year… no bottom half  Only fill in SAIS grid  Do NOT fill in Student ID grid unless the student does not have a SAIS # or is a non-enrolled student at your school  Do NOT fill in any of the grids IF there is a lable

41 41 Enrollment Bubble (G) Complete only if the student is not enrolled at the school where the test is administered This bubble is rarely marked

42 42 Private School or Home School Fill in all student demographics on back of answer document Do not fill in the SAIS grid – instead fill in student’s phone number in the Student ID field (ex: 520-111-2222) Mark box G (not enrolled)

43 43 Student ID Filled in by student  Per instructions in Test Administration Directions student identification located on the front covers of the test books and answer documents, MUST be completed by the student prior to testing  Student name  Teacher  School  District  Must be filled out in student’s hand writing Critical

44 44  Test Administrators must follow the directions and read the script exactly as stated in the Test Administration Directions or in the Directions for Administering  Last year this issue caused the greatest number of invalidations for TUSD During Testing

45 45 During Testing  Test Administrators must monitor testing  Move unobtrusively about the room  Check that students are progressing through the test  Answer student questions that pertain only to the clarification of test directions  Do not translate, reword, or explain any test prompts, test questions, or answer choices  Do not assist students in answering test questions

46 46  Students may not have access to any electronic devices including computers, calculators, cell phones, portable music players, etc. During Testing

47 47  Disruptive students and students suspected of cheating  Allow to continue to test  May be moved to a different testing location so that other students may continue to test undisturbed  Subject to disciplinary procedures established by the school after completion of testing  Document as many details as possible and report to School then District Test Coordinator During Testing

48 48  Students who leave the room during testing  While students should remain in the testing room during the entire testing session, students may be allowed to go to the restroom, if necessary, during testing  Only one student may leave at a time  Collect student’s test materials before the student leaves the room and give back upon student’s return During Testing

49 49  Students who leave school during testing AIMS and Stanford 10  If student has not finished a testing session, the Test Administrator should inform the student that he/she will not be permitted to finish that testing session when he/she returns to school  Document date and time student left, the content area or testing session in progress, reason for leaving during testing – keep copy with test report  Student may participate in other testing sessions upon returning to school During Testing

50 50  Test Administrators must confirm that all students have finished each testing session before moving on  Test Administrators must follow the direction of their Test Coordinator for students who need more time to finish  Students must be allowed to finish one testing session before moving on to the next  A testing session must be completed within the school day During Testing

51 51 Dismissing Students  Before dismissing students, test administrators must verify that all test books and answer documents have been returned by students  After dismissing students and double checking counts, test administrator must return test materials to site test coordinator  No test materials may be left in a testing room overnight Critical

52 52 After Testing  Test Administrators should inspect each test book and answer document  Student name on front of test book and answer document  Test books and answer documents in separate stacks  Pre-ID label affixed or demographic data bubbled  Form bubbled on answer document  All marks on answer documents in No. 2 (2.5) pencil only

53 53 After Testing  Standard Accommodations  For each content area where a standard accommodation was used, mark the appropriate numbered bubble  Detailed instruction on pages 61- 62 of AIMS 3 – 8 TAD  If a student did not receive any standard accommodation, then leave all bubbles in section K blank NE W

54 54  Test Administrators must record the use of standard accommodations in section K of the AIMS demographics data grid After Testing NEW

55 55 After Testing  Injury  Complete this section for students who received a standard accommodation due to an injury NEW Example: Student with injury wrote directly in test book. Answers transferred from test book into answer document. This accommodation was given for reading and mathematics.

60 60 Receiving Test Materials  Materials will be shipped in dual-purpose boxes  Keep all boxes for return shipping  White boxes will be used for School Test Coordinator’s Kits  Brown boxes will be used for test materials  Each box of the shipment will be hand- numbered

61 61  Open Box 1- retrieve packing List. Make sure quantity of materials matches your needs – If not must short order with Cindy by March 29 @3:00 PM  Then verify materials received in all boxes match the Packing List – if errors, note on packing list and notify Cindy Inventorying Test Materials

62 62  Maintain an accurate inventory of all materials at you school  Test books and answer documents are to be stored in a secure location at all times  Over night in a classroom is not a secure location Inventorying Test Materials

63 63 Assembling Answer Documents  Special Circumstance  Test materials contaminated with blood, vomit, or other bodily fluids  Contaminated test materials cannot be scored  Student responses must be transferred to clean documents  Securely destroy contaminated test materials and indicate on packing list

67 67 Assembling Nonscorable Materials  Test Booklets, unused labels, teacher manuals, etc. are considered nonscorable  All test materials must be returned  Organize the nonscorable test materials by test type and grade level  What you return needs to match what you received

68 68 Score Reports  Due dates for reports  Writing, Reading, Math, Science, & Stanford 10  6/22 paper copies due  Later this year due to new math test and math standard setting  Principals will receive notification by email when reports have arrived  Confirm that Student Reports were received for all students who tested – must be done July 30 for corrections  Private school and home schooled students need to be notified when score reports are available

75 75  Make note of dates for return of materials…must adhere to these dates  Be sure to check email for any periodic updates  Testing protocol includes following the direction and guidelines set forth by the test coordinator  If it is written in the test directions there is no excuse for “I didn’t know that” or “No one told me that”
