3 3 Charting Data in Word A chart or graph presents data visually. A chart depicts numeric data in a graphical format. If Excel is installed on the system, Excel’s tools will be available for creating and formatting charts. If Excel is not available, Word uses Microsoft Graph for creating charts.

4 4 Creating a Chart Word enables you to create 11 basic chart types, including column, bar, pie, area, and line charts. To start inserting a chart, click the Chart button in the Illustrations group of the Insert tab. In the Insert Chart dialog box that appears, click the overall chart type in the list at the left and the chart subtype in the choices at the right, and then click OK.

6 6 A sample chart appears, along with an Excel spreadsheet containing sample data. Type the desired data over the sample data, pressing Tab to move between cells. To change the chart data range to ensure that all the data you’ve entered is included in the chart, drag the blue border. Close the Excel button when you finish entering the data.

7 7 Changing Chart Design When you insert or create a chart, the Chart Tools Design tab becomes available. The choices on the tab enable you to change the chart type, edit chart data, change the chart layout, or apply a chart style.

8 8 Changing the Chart Type To begin the process for changing the chart type, click the Change Chart Type button in the Type group of the Chart Tools Design tab. In the Change Chart Type dialog box, click an overall chart type in the list at the left and the desired chart subtype at the right, and then click OK.

9 9 Saving a Chart as a Template If you spend a lot of time formatting a chart and would like to use the same chart again, save the chart as a template. Click the Save As Template button in the Type group of the Chart Tools Design tab. Enter a name in the Save Chart Template dialog box, and click Save.

10 10 Working with Chart Data Use the buttons in the Data group of the Chart Tools Design tab to adjust the data on which the chart is based. Click the Edit Data button to reopen the Excel worksheet, make the desired data changes, and then close the worksheet window. Click the Switch Row/Column button to change which cells are identified as holding each chart series.

11 11 Changing Chart Layout and Style Word includes predefined layouts and styles that you can apply to a chart. Click one of the available layouts in the Chart Layouts group of the Chart Tools Design tab. You also can click the More button in the Chart Layouts group to display more styles, and then click the one to apply.

13 13 Formatting Chart Layout When you insert or select a chart, you also can use the Chart Tools Layout tab to format or modify specific chart elements. Also insert chart elements, add labels, customize the background, and analysis items using the toolbar.

14 14 Selecting Chart Elements You have to select a chart element to format or modify the element. Click an element to select it. Or, click the Chart Elements button in the Current Selection group of the Chart Tools Layout tab, and then click the element to select.

15 15 Formatting the Selected Element Clicking Format Selection in the Current Selection group of the Chart Tools Layout tab opens a dialog box with formatting choices specific to the selected item. Make the formatting choices that you want in the dialog box, and then click Close.

16 16 Inserting an Element Insert a picture, shape, or text box in a chart to enhance the chart information. With the chart selected, use the Picture, Shapes, or Draw Text box button from the Insert group of the Chart Tools Layout tab to insert the object. After inserting the object in the chart, size and position it as desired.

17 17 Adding and Positioning Labels Elements of a chart, such as the chart itself or a chart axis, can have labels if you prefer to add them. Use the buttons in the Labels group of the Chart Tools Layout tab to add and position labels for chart element. Click the button, click the position, and then type the desired label text. Drag a label to finalize its position if desired.

18 18 Adding a Legend A legend identifies each chart series and the color used for it on the chart. Click the Legend button the Labels group of the Chart Tools Layout tab, and then click the desired legend position. Drag the legend to its final location on the chart, if needed.

19 19 Customizing the Chart Background The choices in the Axes, Background, and Analysis groups of the Chart Tools Layout tab enable you to control elements that appear in the chart background area. Use any of the buttons to add or remove elements, such as gridlines that help the viewing identify series values.

21 21 Changing Chart Formatting When a chart is inserted or selected, the Chart Tools Format tab also becomes available. Apply a predefined style to a shape or a WordArt style to text. Also use tab options to arrange and size the chart.

22 22 Applying Shape Styles Use the choices in the Shape Styles group of the Chart Tools Format tab to apply formatting to a selected chart object or even a selected series on the chart. Select the object to format, then use the desired button in the group to apply formatting.

23 23 Applying WordArt Styles To apply a style to chart text, first use the Chart Element button in the Current Selection group (also found on the Chart Tools Format tab) to select the item to format. Then use the choices on the WordArt Styles group of the tab to apply the style.

24 24 Arranging a Chart Use the choices in the Arrange group of the Chart Tools Format tab to make such adjustments as choosing a position for the chart on the page or controlling how text wraps around the chart. Select the chart, and then apply the desired choices from the Arrange group.

25 25 Sizing a Chart Drag a handle on the selected chart to change its size. Or, make a precise entry in the Shape Height or Shape Width box in the Size group of the Chart Tools Format tab to specify a precise chart size.

27 27 Wrap Up A chart illustrates numerical data in a document. Use the Chart button in the Illustrations group of the Insert tab to start the process for inserting a chart. Select an overall chart type and then a subtype. Enter the data in the Excel worksheet that appears. Three Chart Tools tabs appear when you insert or select a chart. You can change the chart type and data after creating the chart, if needed. Apply a different layout or style to the chart overall. Select a chart element to change its formatting. Display and position labels as needed. Format other chart elements, making such changes as applying styles.
