3 PLANNING & ORGANIZATION Why Would You Want to Do It? –It’s a lot of work (be sure you have good reasons and motivations: Internal (i.e., institutional / organizational) External (inter-organizational, professional, etc.) –But it is worthwhile: Professionally rewarding, beneficial, stimulating, therapeutic –And also a lot of fun…

4 PLANNING & ORGANIZATION PLANNING & ORGANIZATION Continued Build on past experiences; –SEEC, Kwok Library Fellowships –OACIS Interns Consult with peer institutions; Take the pulse of your departments, consult with, and possibly involve them in the program planning and implementation.

5 PLANNING & ORGANIZATION PLANNING & ORGANIZATION Continued Design a program that best suits the needs, competencies, and capacity of your institution; Clearly identify all the aspects and components (professional, administrative, logistical) of the program, all the steps involved in its implementation, and all the task and responsibilities associated with each step.

What do you want to achieve? –Benefits and beneficiaries Who is going to benefit and how? –Management Who is going to do what? –Funding Who is going to pay (and how)? –Results How to properly measure and evaluate them?

7 IMPLEMENTATION 4 In 4 stages: 1.Before the candidate is selected 2.Before the selected candidate arrives 3.During the internship / fellowship period 4.After the internship / fellowship period Each one of these is characterized by a combination of professional, administrative and logistical tasks, responsibilities and issues.

8 IMPLEMENTATION IMPLEMENTATION Continued Before the candidate is selected: Selection process –Call for proposals (internal) Proposal requirements Candidate requirements –Proposal review –Selection and notification Formal invitation

9 IMPLEMENTATION IMPLEMENTATION Continued Before the selected candidate arrives: Visa application process –Office of International Students and Scholars Payroll, medical insurance, net ID –Library Human Resources, Business Office Travel arrangements Housing, Work space Orientation (department, library, campus, etc.)

10 IMPLEMENTATION IMPLEMENTATION Continued During the internship/fellowship period: Required follow-up visits to: –Office of International Students and Scholars –ID Center –International Tax Office –Social Security Administration Open a bank account Professional and social networking

11 IMPLEMENTATION Continued After the internship/fellowship period: Practicalities –Filing income taxes Professional exchanges, initiatives –IRRT International papers, International Leads, etc. The end of the internship/fellowship period should mark the beginning of a long-term professional relationship.

12 DOCUMENTATION Documents created to assist sponsoring departments and program beneficiaries: –Practical information Outlines all implementation steps, with relevant contacts –Tax information –Questionnaire “A Few Questions before You Leave…”

13 PROMOTION By multiple activities and initiatives including: –Dedicated Web site http://www.library.yale.edu/international –Library presentations International Library Fellowships at Yale: Close Encounters and Future Perspectives –Publications and presentations –Professional contacts, exchanges, meetings ALA, IFLA, etc.
