E NVIRONMENTAL SCAN PROCESS Purpose: Gather data and information Interpret and discuss Facilitate participatory process Form Teams Purpose: Identify relevant trends (external and internal) Provide evidence for opportunities, and issues Use for SWOT Analysis Gather Data and Information (Internal/Ex ternal) Purpose Provide forums (e.g., brown bags) for open discussion about data and information. Prepare Draft Environ mental Scan (Internal/ External) Purpose: Through stakeholders’ participation, identify strengths, weaknesses, opportunities, and threats. Identify implications or critical issues or trends. SWOT Analysis Workshop (1 day) Purpose Provide important information and direction for the Enrollment Management Plan Prepare Final Environ mental Scan Report October 2009Early Nov 2009Late Nov 2009

T EAM PROCESS : H OW TO DO THE ES ? 1 Initial meeting: Select co-chairs Schedule 2x/month meetings 2 Review the questions about enrollment management that need to be answered by your team. 3 Identify data and information needed to answer the questions for your team. 4 Identify sources of data and information. This can include IEPR reports, federal and state data and reports, academic journals, newspapers, magazines, professional publications, etc. 5 IEPR staff will put all these information on the Masterfile of Environmental Scan Questions, Data/Information, and Sources 6 Attend Environmental Scan Committee meeting on 06.05.09. Share progress with entire group. Discuss challenges and solutions. 13 Data Masterfile

T EAM PROCESS, CONT ’ D 7 Assign data/information collection to team members. 8 Bring a packet of data and information you collected to your meetings. 9 For each relevant and important data or information you collected, bring a filled-out Environmental Scan Trend/Implications Form (ESTI). DO NOT FILL OUT THE RANKING. Be prepared to share your trend /implication to the team discussion. 10 Discuss the data/information you collected. Add comments to the Comment part of the ESTI Form. 11 As a group, rate each trend you discussed. Rating: 1: Highly important 2: Moderately important 3 : Important 12 Give your filled out ESTI Forms to the IEPR Staff in your team. 14 ESTI Form

T EAM PROCESS, CONT ’ D 13 IEPR staff will add to the Masterfile of Trends, Implications, and Ranking. 14 Attend Environmental Scan Committee meeting on 07.10.09. Share progress with entire group. Discuss challenges and solutions. 15 Repeat Steps 8-13 16 Each team’s IEPR staff member will download their team’s Trends/Implication s/Ranking into a report. Distribute to members for comments. 17 IEPR staff will compile all Individual Team Trends/Implications/Rank ing report and Evelyn Schiele/Arlene SG will prepare a Draft Environmental Scan for Discussion Purposes Only. Draft will be distributed to all ESC members. 18 During Fall Orientation, attend the Enrollment Management Commission/Environment al Scan session. Discuss the Draft Environmental Scan. Clarify trends, make comments. Review ratings. 15

T EAM PROCESS, CONT ’ D 19 Schedule a brown bag or other informational session for CLC faculty & staff to give their input for your team. These sessions are open discussion and may lead to more information gathered by your team 20 ES and ASG prepare Final Environmental Scan to be used for SWOT Analysis. Distribute to members. 21 SWOT ANALYSIS 22 FINAL ENVIRONEMNTAL SCAN 23 APPROVAL OF ENVIRONMENTAL SCAN BY ENROLLMENT MANAGEMENT COMMISSION 24 INTEGRATE OR INCORPORATE INTO CLC’S STRATEGIC PLAN 16
