Unit 1 – Improving Productivity Instructions ~ 100 words per box

1.1Why did you use a computer? What other systems / resources could you have used? I could have used paper and a pen or black board or white board but I decided to use a computer because I felt that it would have been easier to use because it is all set out for you and also you can use spell check to correct your words and also it is easier to edit the text because if you were using a piece of paper you would have to scribble it out or erase it but on a computer you can just delete the text and it goes straight away. I also used a computer because I could put graphics and pictures and animations. I could of done this on paper but not as good as it would be on a computer.

1.2What skills did you need to learn in order to use PowerPoint? You would have to know how to type and you would also have to know how to use insert to be able to get pictures and charts or design and would need to learn how to use slide show and know how to use hyperlink and put buttons on your page so that it is easier for the user to use your power point. The reason people use buttons is so that it is easier to go to a slide instead of having to go down the side and clicking on a box to get the slide you want. Its also important to be able to use animations in your slide show to give it a better mood and feeling to the user and make it more enjoyable.

1.2What resources did you need to make the presentation successful? I had to use smaller text so that I could put more text on the page and I also had to use design to be able to put a good structured layout and put titles on my PowerPoint. I also used a short video to make it fun for the user and I also used pictures to show the school so that the user could get a feel for what its like. I used animations to enlighten the PowerPoint for the user so that they did not get bored or click off the PowerPoint. Using these resources helped to make the presentation successful and more enjoyable for the people who would be looking at it.

1.4What factors might have affected how well you completed the presentation? (e.g. time / attendance / knowledge of software) Time was a factor when I was putting together my presentation the buttons and the video took me a long time to do so I ran out of time towards the end. My attendance was good throughout so this was not a problem and meant that I could get it finished on time. My knowledge of software is average but I do not believe that it affected the PowerPoint. I was able to put on everything that I wanted to on my PowerPoint and nothing was left out. I was able to put in hyperlinks to connect all the buttons to the page and animations.

1.6Why did you use PowerPoint to make your presentation? What other software was available? Why did you choose not to use them? I could have used Microsoft word instead of PowerPoint but I decided not to because its not so good for presentations and slide show offers more of an option. I also could have used publisher but that would be too hard for the younger user to understand because its not easily set out. I felt that PowerPoint was more easily laid out and also better for the younger user to understand and also the older user because it is laid out well and also has animations and also has big bright pictures and also has big bright titles.

2.2Which tools within PowerPoint made it appropriate for your presentation? I found PowerPoint easy to use because there is a bar at the top which lets you access different tools for example the design and the animations. This meant that I was able to easily change the font and add in any pictures or animations easily. It lets you access slideshow easier and it is the only place where you can access slideshow it also lets you change colour of the font with ease and the text size it also allows you to add a new slide so that you can extend your PowerPoint when ever you want. These tools made the PowerPoint easier to put together.

1.7Were there any legal constraints or local constraints that changed the way you created your presentation? (e.g. copyright, file sizes, AUP) All the pictures and graphics that I used were allowed from the school website and also from the school files so there was no legal constraints or copyright problems. If I would of wanted pictures that have copyright then I would be able to use them or if I had I could of got into trouble with the law. I never had any trouble with the file sizes or any saves because you have quite a lot of memory. If the memory would have not been so large I would have not been able to save it. A few websites I went on were blocked and I was not allowed to get some of the pictures I wanted but there were always other websites that offered an alternative picture or resource which I was able to use instead.

2.4What improvements do you think you could do to your presentation? I think that I could have put in more slides to show the school and what its all about and I also could have added more text into each slide so that it would show how good the teachers are and how helpful they are. I could have used my time more productively to show more to the user. I could have used music to add a better scenery and enlighten the mood. I could have used better animations and picture but is hard to get them because most of the sites were blocked.

3.2What improvements do you think you could have done to improve your work rate? (keyboard shortcuts, file names & locations, backups, work after school, templates, planning) It would have been easier if I had the web addresses but instead I had to search for everything and I could have used short cuts to get into the school files this would have improved my work rate. I could have put more effort into my work and time by staying after school and working my hardest to get it done earlier. I could have planned ahead so that it saved me the time so that I would have had more time to get on to my presentation instead of having to think as I went along.
