PO Matching Exceptions Invoice imported to eBS and standard 2/3 way PO matching validation rules leveraged BPM process waits for standard invoice validations to complete After validations complete, BPM process polls for any price/quantity/receipt matching holds in EBS. BPM component creates and routes workflow tasks to buyer or requester on purchase order based on the type of invoice hold Simplified/Expedited Hold Resolution Process As part of task to Buyer/Requester Details of PO line number causing matching hold Shipment number which caused matching hold notification The standard 2/3 way PO matching process in eBS kicks off after the invoice import in eBS. The matching process may put price, quantity, or receipt matching holds on invoice if applicable. The AP person would then try to identity buyer/requester on the PO and get their input through s/phone calls to be able to resolve the issue. Also, the Buyer, Requester, and AP team would then have to look through the invoice, invoice lines, PO, PO Distributions, and shipment records to identify and correct the cause of holds. This was a time consuming and less effective process. The IPM AP solution looks for those holds after the invoice import. If any of those holds are found on invoice in eBS, the custom BPM component queries eBS and fetches the details on the cause of holds. It then creates a task in IPM workflow with all the details with PO, PO Line, Shipment Line details and the Buyer or Requester name displayed on the task. It also automatically sends a notification to buyer/requester and assigns the task to them for further action on invoice and/or PO. Buyer/Requester has all the details they need for resolving the holds, on the task details page. They also have a section on the task details page where they could put comments. This way the AP team and Buyer/Requester can share information through a central source. It also provides the capability for auditing. The solution also provides auto-escalation capabilities, when buyer/requester has not acted on the task for a certain time period.
