2. Scope/Methodology Foreign and Extended-TDY are excluded – they are audited before payment All vouchers over $2500 are selected to be audited after payment All vouchers $2500 and less are eligible for statistical sampling Airfare amount is not removed before vouchers are selected Sampling is done on the 15 th of each month for previous month’s data Software The NSSC uses the US Army Audit Software to derive the sample size Statistical sampling tool uses data pulled from BW Travel Query Domestic Statistical Sampling Process

3. When the sample is pulled, a report is generated listing all vouchers that were selected for audit An email is automatically generated for the selected vouchers requesting receipts within 5 business days to the NSSC. If the report shows no email address is in SAP, we search for one and send them a manual email notification If receipts are not received after 10 business days, a second email notification is sent to Traveler. This notification states if receipts are not submitted in five business days, a bill of collection (BOC) will be issued NSSC contacts Traveler via telephone at this time Domestic Statistical Sampling Process

4. If receipts are not received after the second request, a BOC is issued to the Traveler. If no response is received within 5 business days, the NSSC submits the BOC form to the Center to officially collect the amount paid The NSSC does accept credit card statements as proof of claimed expense if no receipt is available A spreadsheet is kept on each voucher for each month and is updated with every notification and/or conversation with the Traveler Note: Internal Controls completes a semi-annual end to end process review, including the statistical sampling program, to recommend process improvements and provide reasonable assurance the NSSC is compliant with Agency and Federal regulation’s Domestic Statistical Sampling Process
