Who takes taks Any student currently enrolled in 11 th or 12 th grade that will graduate under TAKS Any student who is considered “Out of School” that still needs to pass a TAKS or TAAS test in order to receive a diploma

CTC Responsibilites Train staff and obtain Oath of Test Security & Confidentiality Assemble materials needed for the test Set up logistics for testing (rosters, test administrators, test day procedures, meals, schedules- duty, teacher conference, test rooms, relievers, monitors, etc.) Set up and manage online test sessions Ensure security & integrity of the test Report any test irregularities immediately to the DTC

Prepare for testing The Basics Have a binder with testing information available at the front office (test schedule, who is testing, testing locations, etc.) Testing Do Not Disturb Signs should be posted Instructional Displays should be covered One test administrator for every 30 students Check computers to make sure they are working and have passed a systems check (submit a work order with the HelpDesk if necessary) TAKS tests are untimed (SAISD does not test passed 7:00 pm)

Prepare for testing ELA Test Administrator Manual ELA Directions start on page 40 Student Authorization Forms ELA Seal Code (will be used to access the editing & revising section) Pencils & Scratch Paper Dictionaries & Thesauruses (1:5 ratio to be used on the composition and reading section only; Students identified as LEP may be provided with an ESL Dictionary)

Prepare for testing ELA Seal Code The seal code is a four-digit code used to allow an examinee into the revising and editing section of the ELA test A dictionary and thesaurus can NOT be used on the revising and editing section Examinees MUST raise their hand when they come to this warning screen The test administrator MUST collect the examinee’s dictionary/thesaurus A pop-up box will appear for the examinee to enter the four-digit code The test administrator will give the examinee their ELA seal code to enter at this time Examinees may NOT have access to dictionaries/thesauruses once the seal code is entered Examinees may return to revise their short answer and written composition sections but are no longer permitted to use a dictionary or thesaurus

Oral Administration For Math, Science and Social Studies Only TAKS ELA may NOT be administered orally Must meet established eligibility requirements See Appendix C for information on Oral Administration Eligibility Test administrator must have specific oral test administration training –Need a proctor authorization –Can encompass different levels of support –Reading words and phrases –Reading multiple sentences –Reading the entire test

Test Administrator Responsibilities Maintaining security of test materials Post a testing do not disturb sign Remove instructional displays The use of cell phones and electronic devices are prohibited by both TAs and students Must complete seating charts as directed Monitoring actively at all times Reporting any suspected violation of test security to the campus coordinator Monitor the online system Ensure that examinees are working actively on the test, are seated and do not talk, exit the test during breaks, lunch, or restroom breaks, submit the test according to the directions when finished, and when finished leave the testing room

Must contain the following information District and Campus name Room number Test Administration (TAKS Exit) Subject (ELA, Math, Science, or Social Studies) Grade Level Date Test Administrator(s) name printed and signed Student’s full name and student’s local ID Must be readable Seating Charts

Test Administrators are responsible for completely and accurately filling out the seating charts

Test Security Test Security is accounting for all secure materials and confidential examinee information before, during and after testing Store secure materials in locked storage Storing student authorization forms in a secure location prior to testing Destroying all student authorizations, charts, scratch/graph paper used during testing Keeping materials secure at all times For more information on test security, refer to the Test Security Supplement –http://www.tea.state.tx.us/student.assessment/security/http://www.tea.state.tx.us/student.assessment/security/

Confidentiality Requirements Maintaining confidentiality involves protecting all contents of the online assessment and secure test materials All testing personnel must be trained and sign an oath For online testing, all testing personnel must accept a statement of confidentiality when accessing the Texas Assessment Management System (TAMS)

Confidentiality Requirements All tests must be administered according to the manual No person may view, reveal or discuss test content No person may duplicate, print, record or capture test content No person other than the examinees may work problems or respond to test items Oral test administrators must sign an additional portion of the security oath

Penalties for Prohibited Conduct Reprimand Placement of restrictions on a Texas educator certificate Suspension of a Texas educator certificate Revocation or cancellation of a Texas educator certificate Class C misdemeanor

Non-Certified Teaching Personnel Non-certified personnel must be trained and sign an oath Non-certified personnel will not be used as test administrators Non-certified personnel can be used as monitors

Watching students during testing The focus of the teacher’s attention should be on the students and not elsewhere Walking around to better observe what students are doing (Are students; working on correct section of test, marking answers on the answer document, not cheating, not using cell phones, not talking or communicating with other students, etc.?) A test irregularity is reported to you If the irregularity is ruled an incident obtain statements, fill out incident form and submit both to the DTC Follow up with an action plan to correct the error Keep a copy of the incident form and statements in your testing binder Remain calm! Get the facts, secure any evidence and determine the necessary steps Scan statements and incident form to the DTC by the end of the day the incident occurred Statements must be typed, dated and signed Do not discuss with anyone until cleared by the DTC Use district action plan codes Testing binders are kept on campus for 5 years and are TEA auditable Assess the situation, investigate and contact the DTC Reporting Irregularities

Fill out incident form in its entirety All statements will be typed, dated and signed All statements are due the day of the incident or day the incident is discovered No student information allowed in statements

Create a Test Session Click on the Test Management Tab You may need to change the Test Administration- click on the blue Change link

Select the Test Administration then press the SAVE button Select the correct School Year Click on Manage Test Sessions Create a Test Session

Click on the New Session button Enter the session details Click SAVE after entering information Your session should then appear in the Manage Test Sessions screen Session Name should start with your campus name Create a Test Session

Once you have saved your session, click on the Return to Manage Test Sessions link. Your sessions should then appear in the Manage Test Sessions screen Create a Test Session

To add groups or students to a test session, complete the following steps: Select your session from Manage Test Session screen From the Session Details screen, click the Add Students button Add students to a Test Session

You can add students by: Groups- all students in the group will be added to the session Students- A list of all students registered will appear. You will need to select individual students that need to be added to the session. Once students are selected click on the Add to Session button Add students to a Test Session

After you have finished adding students to the session, return to the Session Details screen. You should see student names. The students you added to this session are also listed on the Session Roster. Add students to a Test Session

Click the Session Roster button to open a print-friendly PDF that includes the session details and the students in the session. Review the Session Roster to ensure that it is complete and accurate. Add students to a Test Session

From the Session Details screen: click on the Authorizations button Click on the “▼” and select Detail View Student authorizations will export as a print friendly PDF Student Authorization Forms are used to log in and access the test Print student authorizations

For TAKS ELA you must print a copy of the Seal Code for test administrators. This code is to be given to students once they complete the reading and written composition sections of the test. From the Session Details screen: click on the Seal Codes button The Seal Code will export as a print friendly PDF Print ELA seal code

Starting & Stopping Sessions You must START a test session in order for students to access the test After all students in the session are in Complete status and the CTC has added accommodations for each student, you must STOP the session Setting Up Online Tests

Add Student Accommodations On the Session Details screen click on the student You will then be able to add accommodations once the student has submitted their test Online Testing

Student Status When students are in EXIT status, you must RESUME them before they can log back in. Press the box next to the student’s name and press “Resume Test”.

Complete Online Testing Verify the testing status of each examinee by refreshing the proctor session details screen Examinees must click “Final Submit” when finished to submit their test for scoring Examinees must appear in the “Completed” status on the proctor session details screen before they may leave the testing room For examinees who cannot finish their test due to illness or a testing irregularity, contact the campus testing coordinator

Complete Online Testing See Appendix B for coding examinees who receive accommodations Stop the session when all examinees are in the “Completed” or “Marked Complete” status Collect and destroy all student authorizations, seal codes, and scratch paper Return all rosters, seating charts, calculators, dictionaries to the campus testing coordinator
