GOVERNOR’S VISIT The District Governor is required by Rotary International to make a visit to every club in the district preferably during the first 6 months of the Rotary year ( Art. 15.090 (g) of the RI Bylaws).

GOVERNOR’S VISIT OBJECTIVES: 1.To give counsel to the club 2.To observe the holding of the effective club assembly discussing the club’s plan of action for the year 3.To deliver a comprehensive Rotary address and conduct a club forum on Rotary information

GOVERNOR’S VISIT PARTS OF A GOVERNOR’S VISIT: 1.Private Conference A private meeting between the DG and the Club President, Club Secretary and Club President Elect 2. Club Assembly A meeting with the club officers, directors and committee chairmen for the purpose of presenting and reviewing the club’s plan of action 3. Regular Meeting A regular club meeting at which the DG is the guest speaker

PRIVATE CONFERENCE 1.This is limited only to the District Governor and his team and to the Club President, Club Secretary and the Club’s President-Elect. No other officers, directors and members should be present. 2.The purpose of the private conference is also for the Club President to consult the DG about problems and opportunities in club management. 3.The DG will do his best to give appropriate advice. 4.Possible areas of coverage and discussion: 1.Club’s updated By laws 2.Filled and unfilled classifications 3.Club’s latest membership roster; reporting of new members to RI; submission of alpha list to RI 4.Updated status of payments, per capita dues, subscription to the PRM 5.Summary of club plans and objectives 6.Club’s commitment to the achievement of District Goals, RI Presidential Citation Program 7.Target contributions to the Rotary Foundation

CLUB ASSEMBLY The principal purpose of this Club Assembly is to discuss the club’s Detailed Plan of Action for the year The Club Assembly should be presided by the President As much as possible, the presentation should be aided by audio visual system A copy of the Club’s Plans and Programs should be written and a bound copy should be submitted to the DG at least one week before the Governor’s visit.

THE REGULAR MEETING 1.The regular meeting is conducted following a 30-45 minute break after the club assembly 2.This should be attended by the all members of the club and preferably with their spouses. 3.The District Governor is the guest speaker. There should be no speaker other than the DG. 4.The District Governor should be introduced by a competent member preferably a past president or a district officer. The introduction should be befitting of the highest officer of RI in the district 5.Before the DG is called, the club members will welcome him with a recommended welcome song for the district governor which the club should practice in advance.

GOVERNOR’S TEAM The Governor’s Team is composed of the following: 1.The Global District Governor 2.The District Secretary or in his absence the Deputy District Secretary 3.The Assistant Governor or in his absence the Senior Assistant Governor 4.The District Governor’s Aide 5.Designated District Marshall The Club Sargeant at Arms shall assist the District Marshall during the governor’s visit

PREPARATIONS FOR THE GOVERNOR’S VISIT To ensure the success of the Governor’s Visits to the Rotary clubs, the following steps are suggested: 1.ARRANGE VENUE The club should provide for a separate room for the private conference. The club assembly and the regular meeting can be held in the same room. The rooms should be set up so that latecomers will not disrupt the proceedings of the club assembly The club should provide the necessary audio visual equipment needed for the presentation such as LCD projector, computer or white board

PREPARATIONS FOR THE GOVERNOR’S VISIT 2. CONFIRM THE SCHEDULE The Rotary club should confirm the visit in writing to the DG copy to the DS and the AG in charge. A detailed agenda should be attached. Inform the DG of the exact location of the venue ; if possible a sketch should be provided if the place is not generally known. Inform the DG if the spouses will not be present. In general, the DGL will attend the regular meeting and that the spouses of the rotarians should also be invited. If the spouses of the club wish to schedule an activity with the DGL ( showing her around the community, visiting a spouses’ project..) while the Private Conference and the Club Assembly are on going, the President’s spouse should coordinate with the DGL at least one week in advance.

PREPARATIONS FOR THE GOVERNOR’S VISIT 3. CAMPAIGN FOR ATTENDANCE At least two weeks prior, emphasize to all officers, committee chairmen and members, the need for high attendance turnout during the visit. A high attendance level gives a good first impression about the club. 4. SUBMIT PLANNING GUIDE IN ADVANCE 5. REVIEW THE FOLLOWING DOCUMENTS: > Read the club review checklist in the club President’s workbook which provides a sound basis for planning club programs for the year. > Review the District goals for the year. Which of these goals can the club achieve? > Review the RI Presidential Citation Program. Which of these can the club achieve? How many points have the club earned to date? > Prepare a detailed Plan of Action for the year containing the list and description of proposed projects and activities in all major committees.

OTHER MATTERS 1.The Club Treasurer should take the opportunity of the Governor’s Visit to hand in the club’s payments for the district fund if this has not yet been collected by the District Treasurer. At the option of the club, the district fund can be paid at the district office even before the governor’s visit. 2. The club may also request that the governor’s visit coincide with the club anniversary or other important event of the club. In such case, the program should take into consideration the suggested format. The AG, or in his absence the SAG, should coordinate with the Club President on the modifications of the program. The District Secretary will have the final approval on the modifications in the event that the suggested program is different from the program of the club. In case there are irreconcilable differences, the DS has the option to reschedule the Governor’s Visit at the next available date of the DG.
