Access – Lesson 2 Microsoft Office 2003: Introductory Pasewark & Pasewark 4 Editing a Record Use the Navigation buttons to make editing easier. Use the Record Pointer to keep track of the current record.

Access – Lesson 2 Microsoft Office 2003: Introductory Pasewark & Pasewark 5 Adding a Record Click the Add New Record button on the Navigation Bar. Click Add New Record on Toolbar.

Access – Lesson 2 Microsoft Office 2003: Introductory Pasewark & Pasewark 6 Selecting Records and Fields Field selectors – found at the top of a table and contain the field name. Record selectors – to the left of a record’s first field.

Access – Lesson 2 Microsoft Office 2003: Introductory Pasewark & Pasewark 7 Deleting a Record Select the record. – Open the Edit menu and choose Delete Record – Press the Delete key – Click the Delete Record button on the toolbar. Click Yes to permanently delete the record. No to cancel the deletion.

Access – Lesson 2 Microsoft Office 2003: Introductory Pasewark & Pasewark 8 Cutting, Copying, and Paste Select the record. Open the Edit menu and choose Cut or Copy, or click the Cut or Copy buttons on the toolbar. Open the Edit menu and choose Paste, or click the Paste button on the toolbar.

Access – Lesson 2 Microsoft Office 2003: Introductory Pasewark & Pasewark 9 Cutting, Copying, and Paste Append Data Select the record. Open the Edit menu and choose Cut or Copy, or click the Cut or Copy buttons on the toolbar. Open the Edit menu and choose Paste Append.

Access – Lesson 2 Microsoft Office 2003: Introductory Pasewark & Pasewark 10 Changing the Layout of a Datasheet Change row height: Position the pointer, click, and drag to adjust the row height. Change column width: Position the pointer, click, and drag to adjust the column width. Rearrange fields/columns: Click and drag the field selector to the new location. Freeze columns: Select the columns to freeze, open the Format menu, and choose Freeze Columns. Unfreeze columns: Open the Format menu and choose Unfreeze All Columns.

Access – Lesson 2 Microsoft Office 2003: Introductory Pasewark & Pasewark 11 Changing Field Properties-Design View Field properties allow you to further customize a field beyond choosing a data type. Change field properties in a table or form’s Design view.

To undo changes to cells while keying, click the Undo button. If you have already moved to the next cell, press Esc. To reverse all changes to the previous record, open the Edit menu and choose Undo Saved Record. To delete a record, use the Delete Record command, or press the Delete key.

You can make many changes to a datasheet by adjusting the row height and column width. You can also rearrange and freeze columns. Field properties allow you to further customize a field beyond merely choosing a data type.
