Definition of a Springerlink account and administrator Every institution, every individual person needs to have an account on Springerlink to access subscribed materials. Every institutional account can be recognized via the given Metapress ID The Metapress ID is an identifier that will be provided after every registration. This is an unique identifier and helps the Springerlink Helpdesk to activate subscribed material or do neccessary IP updates on the correct account. Every Metapress ID is an eight digit number shown as e.g. 123-45-678. The Metapress can be found on Springerlink under/beside institutional name For institutional accounts an administrational account is required. The administrator is the relation between Licensing Managers and Springerlink Helpdesk. Every administrator needs to have his own personal account with own personal log in that is associated by Helpdesk to the institutional account. Normally institutions are recognised via their IP adresses. To access subscribed material no log in is necessary. You just go on www.Springerlink.com and you will automatically be recognised as your institution.www.Springerlink.com The first entry shows your institutional name, the second entry shows the institutional affiliations.

Rights and features for administrators Administrators are enabled to change or update institutional details if necessary Administrators are enabled to download usage for either journals or books Administrators are enabled to associate off-campus students or researchers to the institutional account either via unlimited or limited access rights and of course to cut off this association whenever necessary Administrators are enabled to associate additional administrators to the institutional account when necessary

How to use these rights and features on your personal administrational account Go on www.Springerlink.com. Through IP recognition the institution will be automatically be recognized Click on „Log In“ and type in your personal administrational details

You will then be recognized with your personal account and belonging to the institutional account Click on „Details“ and you will be able to update name or e-mail adress if necessary

How to use Admin rights and features on institutional level If you click on the institutional name you will see on next site on top right or in the middle the different features to use

Please update if necessary and click on „Update“ button to confirm „Authentication“ will show you the current registered IP adresses for your institution. Any necessary updates on IP adresses will only be handled by the Springerlink Helpdesk and need therefore be forwarded to Helpdesk „Administrators“ will show the current registered administrator(s) on this account. You can add or remove if necessary „Usage“ enables you to download the usage for journals or eBooks for your institution „Members“ will show all associated members to this account. Administrators are always members of the institution, but it will give you as well an overview of off-campus users. You can remove or add if necessary „Membership Tokens“ is a tool to easily associate off-campus members to the institutional account for a limited time „Memberships“ will show whether your institution is member of any consortium

Members and Membership Tokens Click on „Members“ and you will see individual accounts that are associated with your institution. By clicking on the red X you can remove members. You can download a complete member list clicking on the link on the right side

As a recommendation you should not add new members without using the Token tool. If you associate individuals by just adding them to the institutional account you will have to keep in mind to disassociate them whenever necessary. With the Token tool you can give access to the institutional account, longest for two years. Click on Membership Tokens to use this functionality

The first one will show you all current available tokens, either the Consumed ones (used by a member to associate himself to the institutional account) or the Active ones, that were not yet used) You can handle Tokens by two different ways: Create tokens or Send tokens.

By using Create Tokens just enter in the Expiration Date field the end date of association to the institutional account and click on the Create button. You will receive at once a confirmation of created token. This Code you can copy out and send to the person that should be enabled to use it.

Send Tokens is an easy tool to use whenever you have a group of persons that should be associated to the institutional account. Type in again in Expiration Date field the end date of tokens and in the Recipient(s) field just enter the e-mail adresses of the future users. You can even copy the e-mail adresses out of an Excel file. When done just click on OK button and the users will receive a short notofication from our host Metapress that by using the token they will be associated to the institutional account. The users wíll have to use their own personal account on Springerlink to get access. If no personal account is yet available they will be asked to register.

Usage on Springerlink As administrator you are enabled to download usage for your institution. Click on the Usage Link and choose either download of journals or books, whether you want to have shown in report only those titles with usage or all, whether you want to see result in Excel or in CSV and which year usage should refer to. Then click on Generate Report button.

What to do if administrational password is forgotten? If you are registered as administrator but do no longer remember your password you can easily reset it: Go on Springerlink.com and click on „Help“ on the left side Either type in your username or your username. If you enter your e-mail adress please be sure that you are really registered with the e-mail adress you will enter. If you are not sure about e-mail adress or username please contact the Springerlink Helpdesk. We can assist you.

Within few seconds you will receive a confirmation e-mail from our host Metapress with a reset link. When you have clicked on the reset link you will automatically be forwarded to the Springerlink site to enter a new password As soon as new password is confirmed you will be forwarded to the Springerlink start site and be recognized as administrator associated to your institution.
