Data Collection Instructions for Educators Kentucky Youth Advocacy Project 2008-2009 School Year

Welcome All Educators!!! We are so excited to have you participating in the Kentucky Youth Advocacy Project. As you know, an important and necessary part of the project is to collect data on each student and his/her progress.

Data Allows Us To… Monitor individual progress Determine if the student needs extra assistance obtaining their goal Decide if the student needs to alter his/her goal in any way Allows the student see where they are in the process of obtaining their goal

Where In The World Do We Find Time to Collect Data?? We can only imagine how busy you all are as educators. After all, you have dozens of students to teach and are being pulled in a zillion different directions!! Data collection is NOT supposed to be time consuming!!!! Which is why this PowerPoint Presentation was created: to show you how easy it can be.

In a Perfect World… In a perfect world, we would like you to spend 15-30 minutes weekly with your students going over their goals and progress However, we do realize this may not always be possible. We are still hoping this will occur at least every other week or so Recommendation: Educators in the past have found it very helpful to set aside time each week (actually put it in their schedules) for KYAP – ex: every Friday, the last 30 minutes of class will be spent going over goals, progress, and collecting data

Important Things to Realize The data collection sheet was created DIRECTLY from the Goal Books – each of the questions on the data sheet corresponds to a question in the book Therefore, in the 15-30 minutes you set aside each week for KYAP have the students take out their Goal Books and as they complete each step write the date next to it

(Our Recommended) Step-By-Step Directions 1.All educators should familiarize themselves with the Goal Book and data collection sheets –This will only take a few minutes and will greatly help you assist your students in the process 2.Schedule time each week to work with your students and their goals for KYAP 3.Work with your students & show them how to complete each step of the process in the Goal Book. Instruct them to write the date next to each question as they complete that step. Date Completed: 11/08

Directions Continued 4.Next show the students how they can keep track of their own progress using the blank data collection sheet in their Goal Books 5.Each educator should create an electronic version of the data sheet (provided via email by KYAP) for each individual student – may be easiest to save each file as the student’s name. Ex: Doe, Jane 6.Complete the electronic version of the data sheet and email it to the appropriate KYAP staff member at least once a month

How to Complete the Data Collection Sheet When you receive a blank data sheet (you will obtain this via email from a KYAP staff member), you need to enter the student’s name and goal. Next, enter the correct date below the corresponding week. Of course, we would like you to collect data weekly, but due to the life’s craziness, we understand if it is not possible to collect data on some weeks. If this shall occur, we would like you to continue keeping data, just make sure it corresponds to the correct week of the project. For instance, if you work hard for three weeks, take a week off, and then start up again, your most recent data will go under the 5th week, not the 4rd. An example is provided below.

If your student has more than one goal, you are still going to use one data sheet to monitor their progress. Please number their goals in the "Student Goal" area. Once you assign a number to each goal, you can use that to enter data. Since each goal may be achieved at various times and different steps will be accomplished on different dates for each goal, using a number system will hopefully keep everything organized.

It’s Not As Bad As It Seems, We Promise!!! We know this may seem confusing, but previous educators have told us that once you get the ‘hang of it’, it really is simple and does not take long at all – you just have to keep up with it (do it weekly/bi-weekly & send it to KYAP monthly) and don’t procrastinate!!!
