LIBERTY ISD TRUE TIME TRAINING Timesheets for Hourly Employees
2
Introduction This training is to help us all become more comfortable with TRUE TIME. You will learn how to use the automated Timesheet (True Time) Timesheets should be submitted to your supervisor/approver for approval at the conclusion of your work shift every Friday.
3
PROCESS Hourly Employees submit timesheet at end of week (Friday), ONLY if correct. If a time adjustment is needed, Supervisor and Employee must submit a time adjustment. Supervisor approves or denies timesheet based on total hours for that week. Supervisors will then approve and submit timesheets. Payroll department receives timesheets when approved by supervisor NOTE: A denial at any level will start the process over again with the employee.
4
Hourly Employee Timesheets The payroll week begins on Sunday and ends on Saturday All employees are paid on a semi-monthly schedule (24 pays per year) Hourly Payroll Calculation Example: 187 day calendar @ $10 hr. $10 x 8 hrs x 187 days = $14,960 $14,400/24 pays = $623.33 per pay period
5
Log on to SKYWARD FINANCE & HR(INCLUDES TRUE TIME & EMPLOYEE ACCESS) –with the login and password that can be given to you by Connie Padron in the Business Office.
6
When arriving for your shift – simply click the In button. When you leave for lunch click the lunch button, and when you leave for the day click the Gone for the day button.
7
The Job Selection screen will appear – In most cases only one choice will appear. You should always choose your primary pay unless told otherwise by a supervisor.
8
Your daily transactions will appear in the bottom box. In this example, the employee clocked in at 7:30 am until 12:00 p.m. From 12:00 pm to 12:30 pm they clocked out for lunch. They clocked back in at 12:30 pm until they left for the day at 4:00 p.m. Employees have the ability to Edit Existing Times entered, Add missing records, or Delete a transaction if needed.
9
If you clock in within 10 minutes prior or 5 minutes after your scheduled start time – the clock will round to your scheduled start time. If you have scheduled time off through the Skyward Time Off system, those hours will automatically be calculated on your True Time timesheet.
10
You can see your weekly timesheet by clicking on View/Submit Time Sheets
11
To view your un-submitted time or history you must click on True Time, My Time Sheets. When you click on un-submitted, you will see a list of un-submitted Time Sheets. When you see an arrow on the left side, it means that entry can be opened and expanded.
12
Click on the arrow and select Expand All to see all the details of that week’s entries. Supervisors: It may be difficult to see in this picture, but the type under the workday column is purple. That means that if you hover your mouse over the date and click, the daily entry will come up for you to make any necessary adjustments. At the end of the week, simply click Submit Time Sheet. It will be electronically route to your supervisor for approval. You can also click View Time Sheet to view a completed look of your time sheet, and submit from there. When approved, it will be electronically routed to payroll for processing.
13
Once you have submitted your time sheet, a Time Sheet Submission Information box will pop up. Please select appropriate reason and hit save. The majority of the time the reason you will choose is, I Love My Job.
