1 Ceridian Time Solutions Hourly/Non-Exempt & (Non- Contracted) Per Diems Key Entry

2 Logging on You have two options to access Ceridian Time Solutions –Through your web browser –Through the TLC Intranet

3 Logging On – Web Browser Open your web browser Type in the address field: http://Ceridian.tlcvision.com. Click on Enter. (For faster access, you can save this website as one of your Favorites.)http://Ceridian.tlcvision.com Click on Time Sheets under Menu on the left hand side of the page. Click here

4 Logging On – TLC Intranet In the menu options down the left hand side of the Intranet home page, click on Time Sheets (Ceridian). Click on OK on the Security Alert, if one comes up. Click on Close on the Internet Explorer web site warning, if one comes up. Click here.

5 Logging On Accessing Ceridian Time Solutions through either your web browser or through the TLC Intranet will bring up the login page. –Enter TLC’s Customer ID = TVA. This field is case-sensitive. Enter this ID in CAPS. –Enter your User ID. This number has been sent to you by TLC’s Payroll Department. If you do not have your User ID, please contact your manager. This is a 5 digit number. If the number you received is less than 5 digits, add leading zeros until the number equals 5. For example, if you used a User ID of 123, enter 00123 This is a 5 digit number. If the number you received is less than 5 digits, add leading zeros until the number equals 5. For example, if you received a User ID of 123, enter 00123 –Enter your password. Your initial default password is the last four digits of your Social Security number. Upon your first login, you will be prompted to change your password. Follow the screen that comes up. –Click Login.

6 Changing Your Password at Time of First Entry Enter your User ID. (Unlike the example below, the field will be titled User ID and not User Name. Enter your old password which is the last 4 digits of your Social Security Number. Enter your New Password in the New Password field. Enter your New Password in the Retype New Password field. Click on Change Password. The Time Solutions page appears.

7 Adding a Trusted Site Different computers are configured in different ways. You may get a Trusted Site screen. If you do, follow the instructions for adding a Trusted Site the first time you log into the Ceridian website. To Log Out of Time Solutions In the upper right corner of the Time Solutions page, click Logout.

8 Time Solutions Page Time Solutions uses only one web page that includes three areas: –Selection Area, where you select the tasks you want to perform and the dates you want to perform them for, if applicable. –Dashboard Area, where you view detail information and online help. –Work Area, where you enter and review your time and attendance information, such as on your timesheet.

9 Solution Area From the Who list, select who to retrieve information for. The default selection is Me, and this is the only option available unless you have approval rights for other employees. From the What list, select the task you want to perform, such as making an absence request or entering time on a timesheet. Enter From and To dates to specify the date range for information you want to retrieve or modify. Click Go.

10 Time Entry Time is entered in two different methods: –Enter Time in Time Pairs to be used by Hourly/Non-Exempt employees; OR –Enter Time in Duration to be used by (Non- Contracted) Per Diem employees. Definition of Non-Contracted Per Diem Employee is an employee who is only paid for time worked.

11 Time Entry – Enter Time in Time Pairs Hourly Employees From the Who list, select Me. From the What list, select Enter Time in Time Pairs. Enter from and to dates to create the date range for your timesheet entries (Steps a-d as shown) IMPORTANT NOTE: The Ceridian schedule is set up Saturday – Friday. You will need to pay attention to the day headings on the top of the calendar. Click Go. a. Click on the Calendar icon to the right of the From field. b. Click on the beginning date for which you want to enter in your time c. Click on the Calendar icon to the right of the To field. d. Click on the ending date for which you want to enter in your time.

12 Format of Time Entry – Enter Time in Time Pairs When you enter specific times, the format must be hh:mm AM or hh:mm PM. To help you format your entries correctly, Time Solutions automatically completes the following standard parts of time entries as you type them: –the colon (:), after you have entered the hh portion of the entry –the space, after you have entered the mm portion of the entry –the m in the AM/PM designator, after you have typed the a or p portion of the AM/PM designator. For example, if you are entering 8:28 AM: –You type 08, then the colon automatically appears –You type 28, then the space automatically appears –You type a, then the m automatically appears or if you time p, then the m automatically appears

13 Time Entry – Enter Time in Time Pairs Enter the correct time entries in the appropriate fields. Time entries must be typed in HH:MM format. For each day, a Start Time, a Lunch Start (if lunch was taken), a Lunch End (if lunch was taken) and an End Time must be entered. If no lunch was taken, enter a Start Time and End Time and check off No Lunch. Click Save All. While it is preferable to enter time daily, you can key in these times after the fact at any point in the week. You can make changes as needed up until the time the week has been approved by your supervisor. If you make changes, click on Apply Changes and then Save All. Overtime automatically calculates based on the laws of the state in which you work.

16 Making an Absence Request (T) NOTE: Absence Requests would be needed for paid or unpaid time off (i.e. jury duty, bereavement, holiday, or vacation.) Absence Request (T) would be used to request an absence in the future (i.e. for a date further out than the day you are entering the request). From the Who list, select Me. From the What list, select Request Absence (T). Select the dates you are scheduling an absence for. Click Go. Use the Absence Type list to select Paid or Unpaid. Select the Absence Code by clicking the drop-down list and choosing the code that pertains to the absence you are requesting. Enter the Start and End Times in HH:MM am/pm format. IMPORTANT: time entered must translate to number of hours for absence. For example enter 09:00am – 05:00pm for 8 hours. Enter any additional information about the absence in the optional Reason field.

17 Making an Absence Request (T) Click Request Absence to submit your request for approval. A confirmation message appears. Your supervisor will review the submitted request, determine response and submit for processing. You will receive a notification of the status for the submitted response.

18 Entering an absence after the time off using Enter Time in Time Pairs If you need to enter an absence after the absence has occurred or on the day, use Enter Time in Time Pairs. To the left of the time entry area for the day, select: –An Absence Type –An Absence Code –Enter the amount of HOURS for the absence.

20 Using Enter Time in Detail to Change Cost Center HOURLY Employees This functionality will be used to change the Cost Center to be charged for time worked, if needed. A change in Cost Center would be needed if: –You need to charge any part of time (regular or overtime hours) worked against a different Cost Center than your home department. – If you are an employee whose time has been set up with a standard split, that has already been set up in your employee record in Ceridian; therefore, you would NOT need to use Enter Time in Detail to make your standard split. Only if that standard split needed to be changed would you use this functionality

21 Viewing Details of Who The View Details of Who link displays the details about the employee selected in the Who field. This link is located next to the employee’s name in the top bar on the screen. When you click on View Details of Who, the results will appear in the Dashboard area. The details displayed will tell you the home department of the employee or departments, if the employee’s standard time is split between multiple departments. In the following example, the employee’s home department is W231- Tulsa.

22 Enter Time in Details From the Who list, select Me. Must be selected from the drop-down list even if Me choice appears in the Who box. From the What list, select Enter Time in Detail. Enter from and to dates to create the date range for your timesheet entries. Click Go. In the example earlier for the week of 7/14 through 7/18, the employee had overtime hours on 7/18. On that day this Tulsa employee worked in the Oklahoma City center the entire day. All hours worked including overtime should be charged to the Oklahoma City center and not to the Tulsa center. This is an example of when using Enter Time in Details would need to be used. Who = Me What = Enter Time in Detail From and To Dates = 7/18/2008

24 To change the Cost Center in this example: –Click on Select on the left hand side of the row to be changed. In this example, all 3 lines need to be changed. You can only change one line at a time. –The Cost Center shows W231 which is Tulsa. It needs to be changed to Oklahoma City. –To look up Cost Center codes, click on the magnifying glass to the right of Cost Center. The Cost Center list will appear in the Dashboard Area. –Find and select Oklahoma City which will be entered in the selected line. –The Cost Center is changed on the first line of the day’s detail. Repeat for the second and third lines. You may need to Add Row Below, Insert Row Above or Delete Row when working in Enter Time in Detail. When complete, click on Apply Changes. Click Save All.

26 Time Entry Time is entered in two different methods: –Enter Time in Time Pairs to be used by Hourly/Non-Exempt employees; OR –Enter Time in Duration to be used by (Non- Contracted) Per Diem employees. Definition of Non-Contracted Per Diem Employee is an employee who is only paid for time worked. ALL (non- contracted) Per Diems are paid an HOURLY rate. Enter number of hours worked.

28 Enter Time in Duration The Duration timesheet appears for the date or date range you selected. Click on the radial Select button. Click on Add Row Below. Enter your hours worked based on your pay method. Click on Apply Changes. Click on Save All. While it is preferable to enter time daily, you can key in these times after the fact at any point in the week. You can make changes as needed up until the time the week has been approved by your supervisor. If you make changes, click on Apply Changes and then Save All.

29 Enter Time in Duration – (Non-contracted) Per Diem Employees All (Non-contracted) Per Diem employee are paid an HOURLY rate. You will enter time in hours (i.e. enter 4 for 4 hours worked).

33 Changing Cost Center – Per Diem In the Enter Time in Duration screen, click on the radial Select button to the right of the line for which you want to change the Cost Center. To look up Cost Center codes, click on the magnifying glass to the right of Cost Center. The Cost Center list will appear in the Dashboard Area. Find and select the cost center from the list. Selecting the cost center will automatically change the cost center in the selected line. You may need to Add Row Below or Delete Row when changing Cost Centers. When complete, click on Apply Changes. Click Save All.

34 Parallel Time Entry From August 23rd through September 12th, all US employees will be required to input their time in both Ceridian and in their current timekeeping method (2 pay periods of “parallel testing”) From September 13th forward, all US employees will input their time only into the Ceridian system.

View Absence Availability –Select Me in the Who list. –Select Request Absence (T) in the What list. –Select an Absence Type and Absence Code. –Click on View Absence Availability to see your absence availability information.
