DATA ACCESS and ENTRY ROLES WEB PORTAL Security Administrator Approver User LEP System LEP – School LEP – LEA Questions regarding registration and access to the ePDE web portal for these data entry roles should be directed to the SD/CS/AVTS/CTC security administrator or program administrator. It is the SD/CS/AVTS/CTC decision on the personnel approved for access and data entry roles to the LEP System.

This is the screen you see when first entering the ePDE Web Portal.

1.After you are approved as an LEP user and logged on to the Web Portal you will see this screen. You need to click on Access a Registered Application. 2.Click on the LEP link to access the application.

SCHOOL HOME SCREEN 1.Use the drop down menu for selection of a school building. 2.Verify the school number and the current year for accuracy. 3.Click on the school year to begin data entry. SCHOOL HOME SCREEN 1.The STATUS shows “completed”, “open” or “correction” and the close date for data entry. 2.SCHOOL DATA ENTRY PROGRESS shows the completed sections of data entry. 3.If you have no LEP children to report, check the “NO LEP CHILDREN TO REPORT” box, click on the ASSESSMENT TAB and complete the screen, click SAVE and go back to your school home screen and click SUBMIT to LEA.

Languages 1.The user will see the pre-populated top 10 languages in PA. 2.To access other languages, the user will click on the letter of the alphabet corresponding to the language. 3.The selected language will be added to the school building list of languages on the “Language Start” screen automatically. 4.Selecting Arabic, Native American or Spanish will automatically take the user to the BREAKDOWN screen where additional information will be entered. 5.Remember to click SAVE.

BREAKDOWN SCREEN 1.For the selections, Arabic, Native American and Spanish, the user will be required to entire additional information. 2.If these selections are not checked on the previous Language Screen, the system will automatically bypass the BREAKDOWN screen. ASSESSMENT 1.More than one assessment may be entered. 2.Assessments entered for each building will automatically be placed in the LEP- District for review by the LEP-District Program Supervisor. 3.Assessments must be selected. 4.Remember to SAVE.

SUBMIT SCREEN 1.After completion of each section, the user must submit the information. Submit in this section DOES NOT submit the information to PDE but to the LEA supervisor level. 2.If there are errors or incomplete information, the “Errors” message will be displayed. See the arrow above. 3.Information cannot be submitted until all errors are corrected. 4.The submitted information is sent to the supervisor or designee for review. If the user returns to the SCHOOL HOME screen after submission, the status will change from “open” to “completed” as indicated by the arrow.

LEA HOME SCREEN 1.Verify the the AUN number for accuracy. See the arrow. 2.Drop down menu will allow for the selection of the school district. 3.Status will show “open” for the current school year. 4.Other years are available to view. SUPERVISOR SCREEN The supervisor must enter the required information highlighted by the * and arrows. Remember to click SAVE. The secretary SHOULD NOT be listed as the supervisor contact. The person listed as the supervisor will be the contact for the WIDA ACCESS for ELLs, D2L, and Metritech. This contact will be the main contact for training announcements and communications from PDE, WIDA, and Metritech. PLEASE BE SURE THAT YOUR EMAIL ADDRESS IS ACCURATELY ENTERED. SPAM FILTER NOTICE The supervisor should ensure that spam blocks or filters are removed for the following email addresses to ensure timely and accurate delivery of communications regarding PDE and WIDA information. PROGRAM/FUNDS SCREEN Numerical data will be entered for non-public school information. Numerical data will be entered for teacher information. Numerical data will be entered for funds allocation. The user must check YES/NO for receipt of Title III funds. If Title III is checked YES, the user will be automatically entered into the Title III informational screen. Remember to click SAVE. Consortia Members must also enter funds amount and student data based on their portion of the total Title III funded amount.

The user is permitted 2500 characters of print per question when responding.

This screen contains aggregated data from the school level data entry. The numbers cannot be changed on this screen. If a change is needed, you must enter it from the school level.

SCHOOL DATA SCREEN This screen allows supervisors to view individual school data by clicking on the school building name under the column heading “School”. The supervisor is able to see the data as entered for each screen covered in school data entry. The supervisor will have a comment box that will allow for a message to be sent to the user at the building level if a correction is needed. Upload feature If a district chooses to use the upload feature for data, a link will appear next to the “Upload LEP File” for directions to use this feature.

Summary Screen This screen aggregates and summarizes the data entered for the LEA. The button SUBMIT TO PDE will send data to PDE. If there are any errors, the user will receive a message to correct the errors. Please wait a few moments after submission to ensure there are no errors to correct.

The user will see the COMPLETED status after successful submission to PDE. This can be verified by checking the start page of the data entry process.

IMPORTANT DATES Open date for the LEP System March 12, 2007 Close date for the LEP System April 14, 2007 For reporting purposes, use enrollment data as of January 31, 2007.
