Vision and Mission A robust, open access, searchable, peer-reviewed learning space repository Currently in discussions with additional sponsors to ensure FLEXspace remains freely available to the education community. (Joe) vision is to create a robust, highly searchable open learning space repository that, once populated, can be peer reviewed. Robust ARTstor – highly reliable, robust – not an institutional member server. Open Access ARTstor Shared Shelf – Individual not institutional accounts, click through agrees to standard terms of service, (e.g., don’t violate copyright) Searchable – Megan will be demonstrating how to filter on the database attributes – Learning Space Database or Repository. Which can be used for a range from showcasing points of pride to internal institutional use. Flexible Learning Environments eXchange Flexible Learning Environments eXchange

Founding Partners (Joe) It’s a unique collaboration among founding institutional partners – formed a Core Team, now functioning as an interim board. Flexible Learning Environments eXchange Flexible Learning Environments eXchange

Community Value Provide ROI examples of peer solutions Decrease the facilities planning-to-construction time cycle Encourage consistent terminology across stakeholder groups (facilities planners, architects, faculty, instructional support, administration and information technologists) (Joe) – Terry Jumps in. The key community value of FLEXspace is sharing best practices. Tension between interests when building new spaces. (how many of you have experienced…) We’re convinced that by creating three separate domains to gather information from the perspective of faculty, instructional technology support and facilities design and support expertise we’ll help promote a common understanding across the learning space eco-system. Community Value Demonstrate a variety of ways to capture traditional content for repurposing in digital environments (course capture, tutorial applications, developmental education) Enable a way to “rate” or “scale” solutions through peer review. Integrated with other national efforts Learning Space Rating System (conceptual inputs - planning) FLEXspace (concrete outputs - post occupancy) (Joe) Funding has declined for construction of new buildings, driving a need for renovation cycles to be more agile, and respond to increased demand for features to support digital content capture and display for flipped classroom, active learning, etc. \ The Learning Space Rating System and FLEXspace have been under development for similar lengths of time, and in many ways are two sides of the same coin. The teams behind both efforts are working very closely together to ensure that the efforts remain complimentary and not duplicative. More about that in a few slides. Quick Link: suny.edu/flexspace Collaborative Website Search Term: FLEXspace on the Web, or through EDUCAUSE Archives (Lisa) To pull all these efforts together, and collaborate across multiple institutions, we set up a GoogleSites page. The FLEXspace story and many past presentations are available on our website, including the business and sponsorship plans. When we tried to register FLEXspace.org to create a less confusing URL, we found that it had been taken by a real estate group in Florida, which is a story all in itself, but we just learned this past Friday that FLEXspace leads a charmed existence, because: Flexible Learning Environments eXchange Flexible Learning Environments eXchange

Definition of “Beta” – data is safe, we’re spending the next year with user feedback. We anticipate that we’ll need to make adjustments to fields, perhaps add some additional comment areas or re-arrange some information – but for the most part, we think we’re down to minor tweaks and we’ll make those adjustments along the way between production releases this coming year. Community Value “FLEXspace may be the most advanced in terms of inventorying space on multiple dimensions in a way that’s useful to both infrastructure planners and academic planners.” “By the summer of 2014, campus leaders using FLEXspace will be able to plug into its interactive online database of innovative learning spaces.” (Terry) We realized early on that an alliance with SCUP was critical, but nobody on the early formation of the Core Team knew any key players at SCUP until someone on my campus said, “why don’t you give Terry Calhoun a call?” and he, along with Claire Turcotte have been fearless advocates of FLEXspace, starting with our first real mention in the press, alerting campus presidents and senior administrators that this tool held real promise in helping to solve space planning, technology and assessment needs. This is also where it started dawning on us that FLEXspace could really help with accreditation issues by providing not just data to guide budget and planning – but to be an incredibly impactful resource in terms of right sizing campus needs, and engaging faculty in the conversation in new ways. Community Value (Terry) Then last February I got a call from Malcolm Brown, Dir. of ELI – who is managing the Learning Space Rating System and also serving on our Core Team – who explained that we had an opportunity to shine a little light on both our team’s efforts. So Joe and I had a chat with the author, and we were thinking this would be a nice little paragraph somewhere in Campus Technology Magazine, then BOOM – there we were on the cover! Community Value April 8th SUNY-CSU Joint Announcement Encouraging Adoption and Partnerships! (Terry) Once the Campus Technology article broke, some very smart people in the System admin offices at SUNY and Cal State realized significant synergy. So the two largest systems in the country released a joint statement to encourage others to join the effort, including potential sponsors. Taxonomy Development (Brad) We know that active learning best occurs at the intersection of technology, pedagogy, and space – not necessarily in that order. The FLEXspace taxonomies focus efforts in each of those worlds. We also made sure that our Core Team was comprised of people who focus on teaching and learning, technology integration and facilities planning and design. Extensive, but not burdensome Flexible Learning Environments eXchange Flexible Learning Environments eXchange

17 Flexible Learning Environments eXchange
Taxonomy Development (Brad) The key to the entire system rests with the taxonomies. The team recognized that in order for the system to be effective, the the information couple with each record needed enough detail to be useful, but not so much that it became burdensome to provide. Don’t strain your eyes on this – the purpose is not to read the content in the fields, but rather to see that there are NOT so many fields to fill out that it’s burdensome – and many of the fields have pull down menu choices. Synergy with LSRS (Lisa) Here’s a screenshot of the LSRS, which is modeled after the LEED rating system for how a building is certified through the acquisition of credits for certain features included in the design that ensures the buildng will be environmentally friendly. (Lisa) The Learning Space Rating System functions in a similar manner – a new learning space can be certified in advance for a form of learning efficiency through the acquisition of credits, and master planning plays a large role in the pre-design phase, and schematic design phases, while informing the rest of the planning cycle Flexible Learning Environments eXchange Flexible Learning Environments eXchange

You’ll be able to take a closer look at this framework on the slidestack afterward, but it describes a conversation that Lennie, Malcolm and I had at ELI last year about continuous building and renovation cycles – and how LSRS and FLEXspace become a part of that cycle at different planning and evaluation stages. Synergy with LSRS PD SD DD CD CA POE LSRS FLEXspace (Lisa) This might be an easier way to understand the relationship: LSRS is particularly helpful in the pre-design and schematic stages. Both LSRS and FLEXspace inform the design development and construction documentation FLEXspace assists with value engineering - where the space is actually built, documented and described post-occupancy. When the space is later renovated, the cycle is informed again in a more holistic, integrated manner. LSRS / FLEXSpace Flexible Learning Environments eXchange Flexible Learning Environments eXchange

Demonstration Looking for “first impressions” – be honest! Open Dialog – shout out questions are fine. Do you have what you need to take this back and share with your colleagues? Based on first impressions, how might we improve what you see? T Joe To get the demo started and walk you through, we need “hands up” again of who has laptops to follow along in the demo. Count OFF – as soon as you have your number, use the top 2 lines to login. This is for today only – you’ll need to request an account from ARTstor through their support link to get a real account after today. We are specifically looking for ideas based on “first impressions” – and capturing that on video so we can review it later. But in the interest of making it easier to find the site, we set up a redirect from SUNY – which is obviously easier than remembering the googlesites address. To receive your own account to view and upload content, you’ll need to request an account. We even have a couple of tutorials posted that describe the features on the upload and viewing section.
