Sales to follow up with call if quote sent via email to admin. 02Check date & file into schedule Sales to check date and time available in schedule to avoid overlapping of setups. 03 Check for stock availability ie. water feature, orchids Sales to check for stock availability prior to commitment eg water feature, sizes and quantity of needed items 04Ordering of orchids as needed when recycled orchids are unavailable Pricing of rental to be adjusted to present purchase rates when orchids are used for more than 2 days or placed in an area where possible damage is imminent.

Plant Display Operational & Admin Procedures Present PracticeAdditional Safeguards and Measures 05 Issuance of job sheets x 6 copies Master, customer, customer chop & signed (return to office) guard- set up, dismantle & guard dismantle Job sheet to be modified, Carmina presently simplifying 06 All job sheet is recorded onto the ‘Update of jobs done by teams’ (PD) Admin to conduct random checks to ascertain. 07 Day before set up, SMS to contractor & concerned parties. Call contractor to confirm receipt of SMS job notification 08A day before implementation, Job Sheets are handed over to nursery supervisor for issuance to the contractors. Nursery supervisor to ensure contractor receives and signs for all job sheets issued

Security check to ensure documentation and materials tally 10 Dismantling refer to 2, 6 & 7. Contractor returned all items back to nursery. Security check to ensure item returned tallies with job sheet 11Upon receiving ‘dismantle’ copies – admjn will update records & hand to billing section Billing section will create said bill and get sales will verify so there is no double billing

Disrupting the planned schedule Last minute additional items, Amendment / Alterations. Causing confusion, Quotes that require specific purchases on short notice Customer changing their minds on site Area not set up ( no stage, no panels etc) causing delay

Plant Display Operational & Admin Procedures Issues and solutions POSSIBLE SOLUTIONS Implementation of Monthly/Daily Planner to be placed in a ‘ input only ’ planner (Leo to look into this} Sales should book time slots in advance to avoid chaos To plan for large incoming orders and foresee additional material or costs needed or to be charged for accordingly. To prepare, check availability of, or place an order with (if necessary) for items/resources needed to facilitate the job. Minimum price taking into consideration payment to contractors. Minimum setup $250

Plant Display Operational & Admin Procedures Issues and solutions POSSIBLE SOLUTIONS To include irregular timing $100 surcharge Dismantling on PH or Sundays $100 surcharge Areas of difficulty ( sales to ascertain surcharge) Shifting of PD within the same area at different timings *20 to 30% of value surcharge Special requests that are labor intensive and or involve safety implications Additional labor or risk surcharge 10% to 20% of value. Last minute surcharge * 50% of value
