3 2 Item Features & Options An I/O enhancement for DMAS Order Entry 4 Provides added flexibility for DMAS kits, groups, and extended description items 4 Provides ability to define “Kits on the Fly” 4 May be used instead of DMAS kits, groups and extended descriptions, selectively by item, or 4 Will co-reside with DMAS kits, groups, and extended description items

4 3 Item Features & Options An I/O enhancement... 4 I/O Features and Options are maintained in a completely separate file from the DMAS Item Relationship file 4 I/O Features and Options have higher priority If a particular item (such as a kit) has a definition in both the I/O Feature and Options file and the DMAS Item Relationship file, the I/O Feature and Option definition is always selected by order entry (the DMAS Item Relationship definition is not used at all)

5 4 Item Features & Options An I/O enhancement... 4 I/O Features and Options consist of –A “Feature Item” (a parent item that is either a kit, group item, or item with extended description) –One or more “Features” (components that may be either items, special charges, or comments) 4 A feature may be optional 4 A feature may consist of options (from which the user must select one) 4 The user may be allowed to enter/change data for features and options (descriptions, quantities, prices/amounts)

6 5 Item Features & Options An I/O enhancement... 4 I/O Features and Options may be use to define reiterative searches –Provides ‘Drill down’ searching capability –Provided by having a feature item with a single feature that has options –A selected option takes the user to another feature with options –No limit to depth –Similar to ordering car parts at an automotive parts store

7 6 Item Features & Options An I/O enhancement... 4 For users of e-DMAS, item features and options is supported by e-DMAS WEB order entry in both versions –Business –Consumer (retail) Examples in this presentation are based on the “Business” version of e- DMAS

8 7 Item Features & Options With this enhancement you can: 4 Allow a feature to be “optional” during the explosion 4 Allow the quantity to be changed at explosion time 4 Allow item prices or special charge amounts to be changed at explosion time 4 Allow descriptions to be changed at explosion time (items or special charges)

9 8 Item Features & Options With this enhancement... 4 Present choices (options) for a particular feature for which one must be selected during explosion 4 Options for a feature may be either other items, comments, special charges or a mixture of all three 4 During the explosion, prompt the user to enter data –Data entered may be either a comment or the description in a special charge

11 10 Item Features & Options General... 4 An element within a feature and options definition is referred to as a “Feature” 4 A feature may be: –An item –A comment –A special charge –A list of options

12 11 Item Features & Options General... 4 A feature may be defined as “optional” or “required” 4 For a given feature, a user may be allowed to override: –Quantity ordered –Description –Price

14 13 Item Features & Options General... 4 For a special charge that is a feature, description and amount may be required to be entered or user may override default 4 For a comment that is a feature, description may be required to be entered or user may override default

15 14 Item Features & Options Kits on the Fly 4 For “Kits on the Fly”, use a parent item of either a Kit, Group item, or Extended Description item –The parent for a kit is placed into the sales order together with all selected kit elements, the total amount is “rolled up” to the parent level –The parent for a group is NEVER placed into the sales order –The parent for an extended description item is placed into the sales order together with all selected elements, the price of the parent is kept separate from the feature components 4 Generally, a kit with variable options should always be a “price roll-up” kit –DO NOT place a kit price in the kit parent item master record

16 15 Item Features & Options Kits on the Fly... 4 For kits with a list price in the parent item master record, the kit will always sell for the parent price, regardless of how many item features and/or options are selected 4 With “Price roll-up” kits, the resulting kit price is entirely dependent on features, options, and quantities selected at order entry time

17 16 Item Features & Options Kits on the Fly... 4 If you want the “Parent” in the order, use a Kit item or Extended Description item 4 If you want a single amount for the entire relationship, use a Kit item 4 If you want an amount for the parent plus individual amounts for each feature, use an Extended Description item 4 If you do not want the “Parent” in the order, use a Group item Item Features & Options Summary

19 18 Entry Features 4 This section presents many of the types of entry available via the Item Features & Options enhancement

20 19 Entry Features You enter an item that has features and options as you would any ordinary item in DMAS order entry Enter the item that has features and options like any other item You will be prompted for the features and options once you press the Enter key

21 20 Entry Features Feature that is a data prompt (single comment record) Prompts the user to key data In the definition: The prompt was keyed (a prompt is required for all item features), comment was left blank Show Definition This example: Required entry, created with a comment record

22 21 Entry Features Feature that is a single item record Show Definition Shows item that will be entered, allows price override In the definition: The item was keyed, price was not protected, feature is not required (may be excluded at order entry time) This example: Feature is optional, created with an item record

29 28 Entering a Kit 4 The following is an example of entering an item (that is a Kit and has Item Features and Options) in DMAS order entry 4 This example is for an high pressure hydraulic hose assembly with 2 fittings 4 We need to know the hose length, what fittings are required on each end, does the user want dust caps, and how should shipping be handled

30 29 Entering a Kit Enter the kit item number in order entry The item number of the kit is entered in order entry and the number of kits desired

31 30 Entering a Kit Select the type of hose, enter length Show Definition We select the stainless steel reinforced hose and indicate that it needs to be 26 inches long A selection is required and no other overrides but the quantity are allowed

32 31 Entering a Kit Enter cutting instructions Show definition If needed, we may now enter specific cutting instructions These instructions are optional. To skip the instructions, we merely press F12 to exclude them from the order

33 32 Entering a Kit We are now required to select the first fitting for the hose Show Definition We must select one of the listed fittings This fitting is required We have selected a “Qwik-Snap” female fitting for $8.95

34 33 Entering a Kit We now must choose a second fitting We must select one of the listed fittings This fitting is required We have selected a threaded female fitting with a 45 degree angle for $9.80

35 34 Entering a Kit We may now select a dust cap if we want Show Definition A list of available dust caps is displayed In our example, we select a dust cap for the female Qwik- Snap fitting that we ordered Note that if both of our fittings were the same, we could select a dust cap and order 2 of them if we wished This is an optional feature

36 35 Entering a Kit A second dust cap selection window appears If we wanted a second dust cap and it needed to be different than the first one, we could select the second one here In our example, we only want one dust cap We can exclude this feature by pressing F12

37 36 Entering a Kit Select shipping option Show definition We may now select our shipping option We have selected to have a $15 shipping charge added to our kit We have the option to change the shipping charge amount at this time This feature is optional

If the user wants the cord detached, then this option is included, but a $5.00 extra charge will be added. Note that the description is not protected.

57 56 Using Reiterative Search 4 The following is an example of using the I/O Features and Options function to provide reiterative searching capability 4 We want to find the engines available for a 1990 Chevrolet automobile

58 57 Using Reiterative Search Enter the beginning key word, in this case VEHICLE The key search word (item number) of the reiterative search item is entered in order entry and the quantity of engines desired

59 58 Using Reiterative Search We select AUTOMOBILE from the list of available options Show Definition A list of vehicles is displayed from which to make a single selection A selection is required and no other overrides are allowed Each option item displayed is another reiterative item. So, when we select one, another list of options will display.

60 59 Using Reiterative Search We select CHEVROLET from the list of available options Show definition A list of automobile makes is displayed from which to make a single selection A selection is required and no other overrides are allowed Again, each option item displayed is another reiterative item. 66 65 WEB Order Entry Examples 4 Web order entry via I/O’s e-DMAS application also supports the use of item features and options 4 Web order entry differs in the following ways –All features and options of an item with features and options are listed on a single page –Options (if so coded by the user) may be selected from “drop-down” lists –External HTML documents may be used to help instruct the user about specific features –Additional Help Instructions (if coded) will display just prior to the feature to which they relate

92 91 File Maintenance 4 Before you start, make sure the item master records exist for both parents and any items you plan to use within any features or options 4 Define item master records as you would for DMAS kits, groups and extended descriptions

93 92 File Maintenance 4 If you are defining a new Item Feature for an item, make sure you change the Item Type in the item master record (via DMAS item file maintenance) to reflect the features and options you are defining –Kits are Item Type = 3 –Extended Descriptions are Item Type = 4 –Groups are Item type = 5 4 You may change the Item Type either before or after you define the item features and options

94 93 File Maintenance I/O Item Feature & Options file maintenance is accessible from within DMAS file maintenance Request the Menu options by pressing F22

95 94 File Maintenance Then enter an option of 7 to define I/O features and options The I/O Features and Options file maintenance function is initiated by using option 7.

96 95 File Maintenance You may indicate the company, warehouse and customer number with which to test the results of your file maintenance. You are not required to enter anything at this time. You may enter this data later in maintenance. To bypass this window, press the Enter key.

97 96 File Maintenance The Item Feature File Maintenance screen is then displayed You may press F4 to view a list of existing items. If you know the item number of the parent item you want to work with, you may key it here.

98 97 File Maintenance Pressing F4 displays the Item Selection List window. You can select an item from the list with which to work. You can request only items of a certain type (only Kits in this case) Select the item you want to work with by using an option of 1.

The parent type is identified just under the item description

100 99 File Maintenance To define features and options for an item that presently does not have any, key (or select) the parent item number and press Enter. A message will display, informing you that no features or options exist for this item. Start defining new features by pressing F6.

109 108 Maintenance – Feature with Options Entering a feature with options for a new feature item A Feature sequence of 1.0 indicates that this is the first feature for this feature item Indicate if the feature is required or optional and where it should print Key the prompt for this feature A feature may have options or it may be an item, data (comment), or a special charge. This feature has options (we key an “O”). Then Press the Enter key

110 109 Maintenance – Feature with Options The screen format changes to the format for options. If previous options existed for this feature, they would be listed. If you are using e- DMAS, indicate if you want these options to be in a drop-down or a simple list. To work with existing options or add new options, press F6.

111 110 Maintenance – Feature with Options The Feature Options screen is then displayed If previous options existed for this feature, they would be listed. To add a new option, press F6.

112 111 Maintenance - Feature with Options The Feature Option Details screen is then displayed Identify what type of option you are creating The format of the next screen displayed depends on the Option type you key here. Then Press the Enter key

113 112 Maintenance - Feature with Options We now identify the item we want as this particular option We keyed an Option type of “I” for “item”, so the screen now asks for item information.. We can protect these fields (with a “Y”) or allow them to be input capable (with an “N”). You must key at least the item number and a quantity Then Press the Enter key

114 113 Maintenance - Feature with Options We repeat the process and enter a total of 3 options The screen always identifies the sequence number of the next option to be entered. After the last option is entered, just... Press the Enter key

115 114 Maintenance - Feature with Options A list of all options entered for this feature is displayed From here you can rearrange the options, change one, delete one, etc. To exit working with these feature options, press either F3 or F12.

116 115 Maintenance - Feature with Options A summary of the feature including it’s options is then displayed. Review the feature and it’s options. Press the Enter key If everything is as you want it, simply...

117 116 Maintenance - Feature with Options The summary screen for the item with features is then displayed. You can enter more features by pressing F6. You can make changes to the existing feature items by using option 2. End of topic Or you can go to another feature item by keying it’s item number.
