Lunch and Learn Training Sessions Lori Braun Business System Analyst Continental Structural Plastics

Lunch and Learn training sessions provide a casual atmosphere for advanced training of current QAD users in a small group setting. They additionally allow for the assessment of their knowledge levels in a non-threatening, interactive environment.

What was my reason for doing these? What was the business issue I faced? QAD was implemented at Continental Structural Plastics in 2006 The original IT manager no longer works at CSP. Implementation was hurried and not necessarily thorough. There is virtually no one left who worked at CSP at the time of the original implementation Many users do not understand the impact of their entries in QAD

Why not just do standardized training sessions? I wanted: – To target the specific functional groups individually and remediate any incorrect training they received – A more casual atmosphere – To take them through their daily activities

Why not just do standardized training sessions? Users are able to ask their questions in a less intimidating atmosphere There is not enough time in a regular work day This is more of a refresher than training

Bring Candy!

What types of sessions have I held? Initial training: – Navigation for all who chose to sign up No matter how long people have been using QAD, most of them learn something from a navigation training session

What types of sessions have I held? Materials Group – Spanned approximately 10 weeks, usually twice a week Customer Service – Spanned approximately 12 weeks so far, usually once a week

QAD Navigation Training - Example Signing on to QAD Signing off QAD CORRECTLY (no stranded windows or sessions) Close all reports / inquiries / browses Exit maintenance screens when not using When to use a mouse in QAD Search using screen names vs. screen numbers Find screen number: Right click name, left click properties – Menu #

Lunch and Learn – Materials Group - Example Attendees: Maddia K / Sheila Y Training Topics Item Master Item Master Maintenance (1.4.1) Item Data Maintenance (1.4.3) Item Inventory Data Maintenance (1.4.5) Item Inventory Planning Maintenance (1.4.7) Item Cost Maintenance (1.4.9) Item Site Records Item-Site Planning Maintenance (1.4.17)

Lunch and Learn – Customer Service Group - Example Attendees: Kathy W / Lynne B Training Topics Sales Customer Customer Address Report (2.1.3) Sales Order - Discrete Sales Order Maintenance (7.1.1) Master Comment Maintenance (1.12) Customer Schedule Scheduled Order Maintenance (7.3.13) Schedule Maintenance (Plan: 7.5.1 - 830; Ship: 7.5.2 - 862) Required Ship Schedule Update (7.5.3 – manual schedule) Required Ship Schedule Update (7.5.5 / 7.5.6 – automated, review only) CUM Shipped Maintenance (7.5.16) Schedule Comparative (7.5.11)

Let them sleep! (or give them the illusion they can)

What issues did I face, being new to the company, and how did I deal with them? I was unfamiliar with the users’ job functions, so I asked them to give me a summary of their daily routines, and a list of the screens they use most often I started with a broad outline, based on their responses, and on my knowledge of QAD I fleshed out as sessions progressed and they asked questions about specific situations

Don’t be afraid to digress during a session. Discuss what’s fresh and relevant to the users. It can also provide additional opportunities to uncover bad practices and correct them Example: Off site inventory issues – As we stepped through their daily processes, we discovered they were doing double entries of transactions.

What is the value of the sessions? What’s the cost ? Bag of chocolate candy: Approximately $4.00 An hour of my time 2 – 3 times a week: If I tell you, I’ll have to kill you... Users becoming more familiar with QAD: Priceless!

What did the users gain from this? First ask: What keeps people from using computer systems efficiently? – Fear: Of failure, of looking stupid, of creating material shortages, of short shipping a customer, the list can go on and on

What did the users gain from this? As you take them through 1 screen at a time, and get them to understand the fields and their functions, it takes away a lot of the fear Many times they’ve said they had no idea what a field entry did, or how it impacted another screen’s data

And the most important thing to remember about Lunch and Learns?...
