DIRAC Phase 1 Reporting, Dec. 1 st, 2005 Periodic reports Periodic Activity Report: (one per project year) What is this ? Description of the work performed and comparison with the original plan (=text of the contract). Who has to do it ? a) Task leaders b) Project management c) Few information from each partner When is it due ? In Brussels: 45 days after the end of the rep. period => We need all input 30 days earlier, i.e. Oct. 15 th !

For each task: a) Objectives and starting point for the work at the beginning of the reporting period b) Sub-tasks worked on and achievements made c) Deviations from scheduled plan, reasons for this, corrective actions taken d) List of deliverables, due date and actual/planned submission date e) List of milestones, due date and actual/planned submission date

Each partner, or if the partners agree within a task, the task leader. Relevant for us: Patents (=exploitable results), conferences and publications

Who has to do it ? a) Task leaders b) Project management c) Each partner, together with their administration When is it due ? (I) a) Brief description of work performed for each task you are involved in. b) Explanatory note on any major cost item, justifying their necessity to the project, e.g.: Costs for Kicker Magnet: 500 000 Euro. The Magnet is required for the extraction line upgrade, task 17.

(II) FC contractors: -> Tabular overview of budgeted and actual costs, per contractor and major cost item AC contractors Tabular overview of all resources employed and global estimate of all costs. This includes personnel !!!

(III) All: Tabular overview of budgeted and actual person-months, per contractor and task AC contractors: In addition, estimate of the number of person-months of permanent staff (unfunded) working on the project.

DIRAC Phase 1 Reporting, Dec. 1 st, 2005 Periodic Management Report What do we need from you (IV) Contractors or task leaders: Short explanation of the impact of deviations from the work plan (see activity report) on the cost budget and person-month budget: If something does not work out as planned, –how does it affect costs and person-months? –how does one want to resolve the situation (e.g. delay of sub-task, additional manpower, etc...)?

DIRAC Phase 1 Reporting, Dec. 1 st, 2005 Other Reports Required 1.Interim Science and Society reporting questionnaire, to be completed by the project management (=GSI) 2.Interim socio-economic reporting questionnaire, to be completed by each contractor (=you), VERY easy. 3.Of course, any deliverable ! Cf. Annex 1 of the contract, which task has to deliver what !
