Company: RM Photographic Studios  Located in Eastern China  We specialize in wedding photos, family portraits, and commercial photography for advertising.  Our business has been spreading worldwide through marketing efforts via social media.  Customers overseas send us their photos and we enhance them in different ways. Mainly editing, toning, composing, and framing.

3. Current system  Our business revolves around taking photos and turning them into much more. To accomplish this, we have a multi-faceted processing department. There are three unique stages in our processing department.  Currently, everything in the processing department is paper driven. The company has no information system in place.  Sometimes people’s order requests get lost before arriving in the processing department.  Sometimes we just can’t read the information on the order request form

4. Other issues with the current system  It’s hard to match employees to the jobs that need work. Sometimes this results in employee idle time.  This could be automated for far greater efficiency.  We believe the implementation of a database system would be beneficial for RM. A database system would allow for greater information storage, accuracy, and security. As this business grows, it will become increasingly difficult to run the processing department using paper forms.

7. Jobs on hand Report  This report helps allocate jobs to employees. It shows each employee and how many jobs they have on hand.  Many employees at RM feel that the way management divvies up the work is unfair. This report could provide a solution to this. Users will be able to allocate additional jobs fairly.  This report adds value in that it will improve the processing department’s coordination and planning.

8. Monthly Performance Report  This report showcases the total amount of orders finished by each employee.  Currently, RM has no way of measuring employee productivity. The database could provide this.  Management may consider bonuses at certain levels of productivity.

9. Seasonal Trend Report  This report shows ‘total number of orders’ categorized by season.  This is useful information because management can use it in decision making.  Management can get an idea of what months are the most popular in terms of orders. They can ramp up production for the busy months and offer discounts and package deals for the slower months.

10. Product Frequency Report  It is a list of the products that RM sells. It shows total orders for each product.  Users will know which products are popular and which aren’t. If one product hardly sells, they could cut their losses and develop other products.  They can offer an unpopular product at a discount if customer also purchased another product.

11. Processing Time Report  This report illustrates the average processing time (in days) of each stage.  Managers can plan orders with longer processing times ahead to ensure meeting shipping dates.
