Copyright ©2006 CGFNS International Document Processing Department Who and What is the DP Department –Managed by Marta Lafferty Data Entry Division Document Scanning Division Mailroom Division –Supervised by Stephen Michielli 30+ people on the team with a mix between full-time employees and temporary staff from Kelly’s –Marta Lafferty came from Project Management Institute with 10+ years experience managing large Customer Service departments. –Stephen Michielli has over 20+ years managing large mailroom facilities.

Copyright ©2006 CGFNS International Document Processing Department Purpose of the DP Department –Fully replaced ImageAPI in March 2006 –To save CGFNS $$$ from outsourcing data entry and scanning functions –Re-engineer processes and procedures in the Mailroom –To prove that CGFNS can manage its own successful data entry department if done correctly.

Copyright ©2006 CGFNS International Document Processing Department Financial results of implementing the DP Department –Initially estimated that creating the DP Department would save CGFNS $2.5 million per year In March 2006 the company was looking at a $1.5 million deficit In October 2006 the company is looking at a $1.6 million profit –It’s not all the DP Department but put $2.5 million back into the expense column and CGFNS would never be in our current positive financial position.

Copyright ©2006 CGFNS International Document Processing Department How does the DP Department compare to ImageAPI –ImageAPI was a professional data entry and imaging company…that’s all they did. –The DP Department had some initial bumps in the road as processes had to be refined in the first few months. –The DP Department also handles many more tasks than ImageAPI. In addition to data entry of documents the DP Department took over many functions from the Correspondence Department (Test Score Matching, Web Applicant Matching, Processing Authorization Requests and more)

Copyright ©2006 CGFNS International Document Processing Department DP Department put to the test immediately –During our ‘bumpy’ months, May and June, CGFNS processed 24,000 more documents than ImageAPI did in same span in 2005 –After refining processes we now run consistently faster than ImageAPI June – Sept 2005 = 116,000 documents processed by ImageAPI averaging 9.25 days per document June – Sept 2006 = 135,000 documents processed by CGFNS averaging 9.00 days per document July – Sept CGFNS is processing documents on average 3 days faster than ImageAPI July – Sept CGFNS is processing applications on average 4 days faster than ImageAPI

Copyright ©2006 CGFNS International Document Processing Department In Conclusion… –The DP Department in just 7 short months is LARGELY responsible for CGFNS becoming profitable this year! –The DP Department in just 7 short months is entering and scanning documents/applications faster than a professional data entry and imaging company. –Proof that solid management with a dedicated and well-trained team leads to success.
