2 Instructional Services 8/082 1.To access your OUSD email account, go to the OUSD website (http://www.ousd.k12.ca.us) 2.Click on the link “Email Login”

3 Instructional Services 8/083 3. Next move your cursor over the “Click here for a secure logon to the OUSD Email System.” Click and a log-in Window will appear. 4. Type in your username – ousdnet\firstname.lastname 5 Next type in your password (usually your initial password is your employee ID)

4 Instructional Services 8/084 After you are successfully logged in to your OUSD Outlook Web Access, your mailbox may look something like this:

5 Instructional Services 8/085 To read a specific email click on the email so the message appears in the box below. Note: You can change you view by clicking on the change reading pane icon – this shows a bottom view

6 Instructional Services 8/086 By clicking on the change reading pane icon you can change your view to the right side – it’s personal preference

7 Instructional Services 8/087 These are your folders for your specific account – everyone has their own Calendar, Contacts, Deleted items, Drafts, Inbox, Sent Items, etc.

8 Instructional Services 8/088 Create A Mail Message 1. Go to the file menu, to New, then to Mail Message. 2.A new window will appear. Type the email address in the To… box or click To… in order to get to the Global Address List which contains the names of all OUSD email users. The Cc…box is used to designate carbon copy recipients. The Bcc (blind carbon copy) is used to send a copy to someone without the reader knowing it Type in your subject (it’s always important to give your reader an idea of the purpose of your message)

9 Instructional Services 8/089 Remember if you do not know the email address of a OUSD employee just click on to and the Global Address Directory will appear and you can search for the person by name.

10 Instructional Services 8/0810 Additional Features in Global Directory: Finding a name at a school site or department. Click in Office and type in the school name or department name. Then scroll down the list to find the person you need. Then click on Add recipient to: and then choose the field you prefer. Then close.

11 Instructional Services 8/0811 Once you have addressed your message, inserted a subject, you are now ready to compose and send your message. The system should spell check your message automatically when you send it. Click “Send” to send the message.

12 Instructional Services 8/0812 Replying to a message that is sent to you When someone sends you a message and you want to reply to it simply click on the “reply” icon, or “reply all” if multiple people are listed on the message Another window will pop up and you can compose your message and then send it back to the original sender

13 Instructional Services 8/0813 Attachments Click here or here to add attachment.

14 Instructional Services 8/0814 Attachments Click on Browse to access your files to attach.

15 Instructional Services 8/0815 Attachment Click on your document, then click on Open.

16 Instructional Services 8/0816 Attachment Then click Attach. Then click Close.

17 Instructional Services 8/0817 Attachment Notice the attachment. You are ready to send.

18 Instructional Services 8/0818 Your Outlook Web Access account also has a Calendar feature that allows you to create appointments and share information with colleagues

19 Instructional Services 8/0819 Your Outlook Web Access account also has a Contacts feature that allows you to keep addresses, phone numbers and email address all in one place.

20 Instructional Services 8/0820 Creating Distribution Lists Click on Contacts. Then click on the drop down of New, then Distribution List.

21 Instructional Services 8/0821 Distribution Lists Type in a List Name, then click on Find Names. Type in your school name in the Office Field. Click on the names you want, then click Distribution List. Then Close.

22 Instructional Services 8/0822 Distribution Lists Then click Save and Close.

23 Instructional Services 8/0823 Distribution Lists To access your Distribution List, click on New Message, then the To: Box. On the drop down, select Contacts.

24 Instructional Services 8/0824 Distribution Lists Type in the List name in the Display Name field. Then select the List, then Add recipient to… To. Then Close.

25 Instructional Services 8/0825 Distribution Lists Your message is ready to be filled out and sent.

26 Instructional Services 8/0826 When you are finished with you OUSD Outlook Web Access merely click on the “Log Off” icon to conclude your session
