1  Computer Tech Wonderful Word – Business Letters

2 Business Letters  You may need to write business letters to apply for a job, to thank someone for a job interview or career advice, or to communicate with a business

3 Vocabulary  Full block letter – A style of letter in which all lines start flush with the left margin – first line is not indented.  Modified block letter – A style of letter in which some lines start at the center of the page.

4 Vocabulary  Return address – The author’s address, usually appearing at the very top of the letter or under the sender’s name, and in the upper left corner of an envelope.  Recipient’s address – The address of the person to whom the letter is sent. Appears above the salutation

5 Vocabulary  Salutation – The line at the star of the letter including the greeting and the recipient’s name, such as “Dear Mr. Jones.”  Closing – A line at the bottom of the letter, above the sender’s name, closing the letter, for example, “Sincerely yours,”  Delivery Address – the recipient’s address on the outside of an envelope

6 Business Letters  The parts of a business letter are the same, regardless of the style.  Today we will do a block letter.

11 Drafting a Business Letter  After the Salutation (“Dear Mr. Daly”) comes the body of the letter  The body of the letter includes everything you want to say to the person.  You should write a business letter the way you would speak on a job interview – avoid slang, and write clearly. Keep to the point.

12 Drafting a Business Letter  After the body of the letter, comes the closing.  “Sincerely yours” and “Very truly yours” are standard business closings.  After the closing, the name of the sender is typed.  4 lines are left in between the closing and the name.  This is where the sender signs his/her name in handwriting

14 Drafting a Business Letter  After the sender’s name, if anything in the letter is enclosed, then the word “Enclosure” is typed on the next line.  In a copy is being sent to another person, then the word “Copy” or “C:” and the person’s name is typed

16 Assignment: 1. Open a new, blank document in Word. 2. Think of a teacher at Lake Shore who has made a difference for you, whom you really admire, or who has inspired you.

17 Assignment, continued: 3. Draft a business letter to the teacher thanking him or her, telling him or her how they have inspired you, or explaining why you think they are a good teacher. 4. Use your home address for the sender’s address.

18 Assignment, continued 5. Print the letter and sign it in the correct spot (below the closing and above your typed name. 6. Save the letter to your Word subfolder in your Computer Tech folder in your Documents drive.

19 Envelopes  There is a special “Envelopes” command that can print the the recipient’s mailing address and your return address on the envelope. 1. Open the Mailings tab on the Ribbon and then click the Envelopes button in the Create group. 2. The Envelopes and Labels dialog box appears.

21 Envelopes, continued 3. If the current document contains an address, Word adds it to the Delivery Address field automatically. 4. If the delivery address is not filled in automatically, then click “Cancel” to dismiss the dialog box. Then select/highlight the recipient’s address in the letter and click the Envelopes button again. This time, the address should be filled in. 5. To print your envelope directly without adding it to a document, click the Print button. 6.

22 Envelopes, conclusion 6. When you print the document, the envelope prints first, so you have to be prepared to insert an envelope into the printer. The exact steps for inserting an envelope depend on your printer, but most printers prompt you to insert an envelope when they want to print one.
