4 What does it Track?? The contacts and communication related to your project Documents and changes in your project Progress and notation about your project

5 Before we start: Maintenance items are all about creating labels. I.e. When creating a contact, we can label what type of company, contact, or location the contacts are.

6 Creating a Contact Add the Company Then the contacts Then the locations Then set up a main location/contact. Label their “types” as you go!

7 Other Maintenance Meanings Disciplines- Used in an RFI/Submittals for a part of a project. I.e., Electrical or 3 rd Floor or Rough-in. Document Activities- Used to state the required activity for the document. I.e., “Submit only” or “Submit & Return.” Document Status- Tracks current state of document. I.e., “New,” “Revised,” “Awaiting Approval,” etc. Document Type- Classification of the purpose of a document. I.e. “RFI,” “RFC,” “Blue Prints,” or “Shop Specs.” Meeting Types- The type of meeting that occurred. I.e., “Budget Meeting,” “Safety meeting,” or “PM meeting.” Topic Types- Topics discussed at meeting

8 Job Areas- Create sections of the job to organize the items remaining to be completed. I.e., “1 st Floor,” “Plumbing,” or “Landscape.” RFI Categories- User defined grouping of RFI. By priority, task, or any other way a user would want to classify an RFI. RFI Priorities- Way of tracking the importance of each RFI. I.e., “High,” “Medium,” or “Low.” Other Maintenance Meanings

9 Job Center The idea is to create a central tracking place for all information related to a job. ALL documents and transactions go through the Job Center

10 Recognizing the Pattern 1. Choose a document to add. 2. Give it a number, date, correspondence, labels, and the information needed for the document. 3. Save any related documents or emails. 4. Print the document.

11 RFC to Change Order Open a new change order in J/C, Daily. On the last tab, link the RFC(s). Let the information fill in.

12 Email Integration Working with Foundation and your own Technology team we can link your Outlook to Foundation. This way we can save emails AND the attachments that are on them can be seen in the Job Center and anyone can see them.

14 The email and the attachment can be seen here in the Job Center, allowing the sharing of information directly from email.
