W HAT IS P RESERVATION P LANNING ? Imagine you are a librarian or archivist responsible for preservation activities. You have only a few moments to explain what you do. What do you tell them?

W HAT IS P RESERVATION P LANNING ? In addition to things like asset management, preservation planning helps to ensure cost- effective and continuing access to collection materials for as long as they are required by the library or archive.

P ERCEPTIONS OF P RESERVATION Often seen as a low priority Too big a problem to tackle Time consuming to initiate It involves everyone It’s costly It’s not glamorous like digitization or that new ground floor coffee shop

P RESERVATION IS E SSENTIAL ! What do you need to do to get preservation noticed as essential?

T HE P LAN Step 1: Set the Groundwork Get administration support Establish a time table for the plan with a deadline Set up a meeting to talk about the plan and its implications Determine who will write it

T HE P LAN Step 2: Gather and Review Find the following and review with the planning team: Institutional mission statement Institutional goals Institutional strategic plan Collection policies Disaster plan Needs assessments Appraisals Former program proposals ARL Statistics (if you are an ARL institution)

T HE P LAN Step 3: Write the Plan Create a mission statement Using the previous step for guidance work your plan so that you incorporate the desires of the institution

T HE P LAN Step 3: Write the Plan The plan should have the following: Title page Acknowledgements Executive summary One page only! Brief overview of plan Table of contents Introduction Mission statement Historical perspective with a commitment to preservation ………….wait, there’s more

T HE P LAN Step 3: Write the Plan Continued: Description of Collections Collection size Value Institutional significance—why are we keeping this stuff? Condition Use—what kind:? How much? Formats for preservation Needs and required actions Don’t put these in any specific order Do list by category of need such as environment, storage, etc. ………….wait, there’s still more

T HE P LAN Step 3: Write the Plan Continued: Prioritize actions Make it part of the institutional actions plan and timetable

T HE P LAN Step 4: Implement and Update Once you have met and developed the plan you need to put it to action Once you have a plan in action, be sure to update it regularly.
