2 Creating a Personal Letterhead
Include: Logo/picture that describes you Name Address (Including City, State & Zip) Phone Number Address

3 Designing the Letterhead
Your logo and contact information can be on any outer part of the page. It cannot be in the center of the page. Top middle, right or left Bottom middle, right or left * If you put your info at the top, change your top margin to .5; if at the bottom, change your bottom margins to .5. Make sure all your information when you are done with the letter is on one page. *

5 Return Address This is your address.
If a letterhead is being used, disregard this portion of the letter. Include: Name Address (including city, state and zip) May also include address

6 Date/ Inside Address Date: Inside Address:
The date the letter is written Inside Address: This is the name/address of the person and/or company to whom you are sending the letter. The name of the company will go on the line after the name of the person.

7 Salutation Type the recipient’s name here.
Always type Mr. or Ms. to show respect. Examples: Dear [Name]: To Whom it May Concern: Dear Sir or Madam:

8 Subject Type the reason for your letter here (if applicable) Examples:
Letter of Reference Job Inquiry Customer Complaint

9 Body Keep body clear and concise.
If you write more than one paragraph, a line needs to separate each paragraph.

10 Closing The closing depends on formality: This closes the letter.
Respectfully Yours (very formal) Sincerely (typical, less formal) Very Truly Yours (polite, neutral) Cordially (friendly, informal) This closes the letter.

11 Signature/ Your Info Signature Your Info After Closing, enter 4 times
You will sign the letter after it is printed. Your Info After entering 4 times, insert your info Type your name, and title underneath (if applicable). Example of Title would be Manager, Owner/CEO, etc.

12 Identification Initials
If you or someone else, type the letter for another person, initials are included. If you are writing for yourself, skip this step. Examples: JAD/cm- Letter is from JAD, written by cm clm- Letter is written by clm

13 Enclosures This states that there is more included in the envelope than just a letter. If nothing is enclosed, skip this Example: Enclosure Enclosures: 2 Enclosures: Lease Agreement Contract

14 Courtesy Copies (cc:) Formerly known as “Carbon Copy”
List the names of people who also received a copy of this letter in alphabetical order. If you don’t copy anyone, skip this Example: Cc: Mr. Chase Crocker Mr. Kent Messer

15 Other Keep margins default unless otherwise specified. (1 inch)
If using letterhead at the top of the page, enter 2 times after the letterhead and then enter the date. Make sure to use correct grammar, including commas, semi-colons, etc. Use Times New Roman, size 12 on all letters.
