1 Kronos Information for DU Supervisors: Managing Delegations

2 When you are unavailable to reconcile your employees’ timecards or approve/deny leave requests, you may delegate your authority to another supervisor or manager within your division. You may delegate to more than one supervisor or manager at a time. Once you have accepted a delegation request, you will be able to reconcile timecards and process leave requests for the employee who report to a fellow supervisor or manager. In this training, you will learn how to create, accept and manage, and remove a delegation. Continue

3 Select Actions.

4 Choose Delegation.

5 Continue The Create Delegation window will pop-up. If you have already created some delegations that have been accepted, they will show up here.

6 To choose the supervisor or manager you would like to delegate to, click the down arrow to the right of Delegate.

7 If you do not see who you need to delegate to on your list, contact Shared Services Payroll. For this training, we will delegate to Manager 2. Click on Manager 2’s name.

8 Manager 2 is now selected. Next, you will choose the date the delegation starts. Manager 2 can accept the delegation as soon as you click Save & Close, but he won’t be able to see your employees until this start date. Click the calendar button to the right of Start Date.

9 For training purposes, start this delegation on October 1 st. Click on October 1 in the calendar.

10 Now you will choose the date the delegation ends. If this date is close to payroll close, extend the end date to the Monday that timecards are due in case there are any delays in your return. Click the calendar button to the right of End Date.

11 For training purposes, end this delegation on October 28. Click the 28 in the calendar for October.

12 Leave Role: as DU Supervisor When you are ready, click Save & Close.

13 Continue The supervisor or manager that you selected to delegate your employees will receive a notification of the request.

14 Continue To accept the delegation we now logged-on as Manager 2.

15 To accept the delegation, click on the gear icon in the Request Manager area.

16 Select Pop-out.

17 Use the drop down arrow next to Time-Off.

18 Select Delegation.

19 Double click on Accept Delegation form.

20 Here you can see that Manager would like to delegate to you from October 2 – October 28. You have the option to accept the delegation or decline the delegation. For the purpose of this training select Accept Delegation.

21 Choose Save & Close.

22 You have to sign out, and then log back in to see the delegation. Click the Sign Out button to continue.

23 Log back in using your Employee ID number and PioneerWeb password.

24 Notice the down arrow to the left of Manager 2’s name. You will switch roles from Myself to the other supervisor or manager. Click the down arrow to switch roles.

25 Click on Manager.

26 Continue Notice the header states the supervisor is acting As the supervisor that delegated to him. Now, the Exceptions screen lists the employees who report to Manager. From here Manger 2 can reconcile timecards, process time off requests, and approve timecards on behalf of Manager.

27 To delete a delegation we have now logged back on as Manager. Only the person who made the delegation request can delete a delegation. The delegation request can only be deleted once accepted by the manger. Continue

28 Click Actions.

29 Choose Delegation.

30 From here, you can create another delegation or remove an existing delegation. For the purpose of this training, select Remove Existing Delegation.

31 And choose Next.

32 The space will list all existing delegations. The line for Manager 2 is already selected since he is the only one who has been chosen as a delegate. Click Delete to remove Manager 2 from the list, and remove his ability to reconcile your employees timecards.

33 To complete the process, click Close.
