Introduction This powerpoint slide is a step-by-step instruction guide on how to auto-generate a timetable and upload a timetable to iNEIS™. The process is done by the School Timetabling Admin. Please sign the attendance and fill in your email and contact number. (for ease of communication for TT related issue) Please ensure you are using latest Edval software. Navigate to Help > Find Updates to update. Please complete provide us the class mapping sheet. Schools to follow new teaching period time as of MOE standardized.

Generate List of Subjects Please be aware that some subjects are set to Inactive in iNEIS™ so those inactive subjects will not show up in your report Kindly contact iNEIS™ Helpdesk if you require such subjects PV subjects are denoted by (PV) at the end of the subject name IEP subjects are denoted by (IEP) at the end of the subject name BTEC subjects are denoted by (BTC) at the end of the subject name

Open Edval ETZ file 1. Locate the updated Edval Software and double click on it

Open Edval ETZ file 2. The following Open window will appear. 3. Locate and select your school’s ETZ file 4. Click Open

Error Opening ETZ file There will be cases where you will receive a Buffer Overflow error when attempting to open your ETZ file. When such cases happen, it means that your file has been locked. Please follow the instructions on the error message to unlock your file.

Import extracted file into Edval It is always important to reimport the School Data files at the start of every term since there will be teacher movements, new facilities added and new subjects added (rare cases) throughout the year Reimporting the School Data files WILL NOT overwrite your timetable schedule in Edval

Verify Grid Structure – Change Time Allocation Navigate to File > Grid Structure Verify if the allocated time per period is correct for all periods. Select the period to change, and type in the correct time. Note: Changing the time allocation in the grey column will change the entire row automatically.

Verify Grid Structure – Change Time Allocation You can also change the time allocation for a particular period on a day manually. Select the period (for e.g. Sat1, click on the time cell (7:30 – 7:55) and retype the new time allocation for this period.

Verify Grid Structure – Add Periods You can also add new periods if the periods are not enough. 1. Select the location you want to add the new period to. For e.g. a new period is to be added before Period 3 so Period 3 is selected. 2. Navigate to More > Insert new period / day

Verify Grid Structure – Add Periods 3. A new blank period will appear. Enter the period number into the empty text box and enter the new time allocation for the period.

Verify Grid Structure – Delete Period 1. To delete a period, select the period to delete. 2. Press the DELETE button on your keyboard. For e.g. Period 3 is selected.

Verify Grid Structure – Specify Break Time 1. Select the period to specify as Break Time. 2. Navigate to More > Recess or Lunch (Orange)

Verify Grid Structure – Specify Break Time 3. The entire row will be highlighted as a Break/Lunch period. Edval will not schedule any classes on this period for all days. To make it into a teaching period again, navigate to More > Teaching Period (White) and the entire row will be highlighted white.

Verify Teacher Data Navigate to Teachers > Teacher data Do not add new teachers into the list located in the Teacher Data page. The teachers list here is the same as the MOE_TT_INT_TCH report generated from iNEIS™. If a teacher is not found here, it means the teacher has not been uploaded or transferred into your school in iNEIS™. Please contact Helpdesk to do the upload/transfer. If a teacher is retired or no longer in your school but can still be found in this list, please delete it from Edval and contact Helpdesk to remove the teacher from your School Data. 1. Verify Teacher Data - Max Load 2. Enter the Maximum number of periods that each staff can take into the MaxLoad column. Ensure all staff have the same MaxLoad periods. MOE has standardize to 30 periods. This feature is useful for auto-generation as Edval will not schedule anymore classes to a teacher who has exceeded the MaxLoad specified for him/her.

Verify Teacher Data – Unavailability of Teachers (Optional) 3. Double click on the row that you want to enter / modify. There will be cases when a teacher has a special request that they do not want to teach at particular periods or days. This request can be specified in the Unavailable column. When a period is blocked for the teacher, Edval will not schedule any classes on the blocked period. This step is optional.

Verify Subject Teachers In Subject Teachers, you will need to specify the teachers who are the correct subjects teachers of each subject It is important that you specify this accurately and correctly because if a teacher is overloaded, Edval will select the other available teachers in this list to assign the class to For e.g. If an MIB teacher selected cannot teach anymore classes, Edval will select a teacher who is available and qualified to teach from the MIB set

Navigate to Teachers > Subject Teachers Verify Subject Teachers 1. You can choose to view this list by specific Faculties or select All Faculties to view every subject scheduled in the timetable 2. Enter the appropriate year group. You can set it to All if all teachers in the set teach all Years of the subject. You can break it into groups as shown in the screenshot, if there are teachers in the group who can ONLY teach particular Year(s) of a subject. For e.g. NURN can teach Year 1 & 2 BM but cannot teach Year 3-6 BM. FADL can only teach Year 3 BM.

Verify Subject Teachers 4. The window will appear. Select the correct teacher to add from the window. For e.g. ALID is now added to the Year 1 & 2 BM group and is only eligible to teach Year 1 & 2 BM unless she is added to other groups. 3. To add a teacher to the group, click on the empty cell in Teacher Codes

Specify and Schedule Staff Meetings (Optional) Navigate to Teachers > Staff Meetings This page is where the School Timetabling Admin can schedule any meetings that the teachers are part of. Any meetings scheduled here that are attended by the teachers will appear in their personal timetable and Edval will not schedule any classes in those periods specified for meetings. This step is optional.

Click on the ‘3 people icon’ to extend the name list and click on the name of the teacher in the Faculty to the meeting

To add a room, click on the ‘3 people icon’ and select a room from the extended list to use. Note: If you do not want to schedule rooms to Meetings, select None. This informs Edval that room is not needed.

(For e.g. Tuesday period 1 so the code is Tue1, if it happens for Tuesday Period 1 and 2, the code will be Tue1-2) Note: If you are unsure what the code is for each period, double click on the Period and a window will appear. Refer to the window to find out what the period code for each period is.

Navigate to Rooms > Room Data Verify Room Data 1. Verify the list of rooms in your school. Note: Please do not add in any rooms in this list. To add a room, please refer to http://help.ineis.moe.gov.bn/tt/tt_1.1.php#3, download the MOE_TT_INT_FAC report and reimport into Edval.http://help.ineis.moe.gov.bn/tt/tt_1.1.php#3 2. Add HomeGroup to each room where applicable. For the case where student groups usually stays in the same class, assigning a class to a room under HomeGroup will give high priority to the class to use the room when auto-room process is run. Note: 6 th Form Schools do not need to do this step.

Verify Subject Rooms In Subject Rooms, you will need to specify the rooms that are to be used for each subject. The same room can be used for different subjects. It is important that you specify this accurately and correctly because if the room you choose for a subject is not added to the set, Edval will not assign that room to the subject when auto-room process is run. For e.g. CM01 is assigned as a room to be used for PA subjects under Room Data but CM01 is not added in any of the PA subjects in Subject Rooms. In this case, Edval will not assign CM01 as a room used for PA subjects.

Navigate to Rooms > Subject Rooms Verify Subject Rooms 1. You can choose to view this list by specific Faculties or select All Faculties to view every subject scheduled in the timetable 2. Enter the appropriate year group. It must be set to ALL just like the screenshot shown.

Verify Subject Rooms 4. The window will appear. Select the room to add from the window. For e.g. CM06 is now added to as a room that can be used for ICT. 3. To add a room to the group, click on the empty cell in Room Codes.

Verify Class Data Class Information such as no. of classes, class/subject teachers, subjects offered and rooms used will be different for each Academic Year. It is important for schools to update the Class Data in Edval as it determines the outcome of the Timetable generated.

Verify Class Data It is compulsory to schedule SENA and PV classes regardless of whether the Assessment is captured or not. Please use the correct subject codes for both SENA and PV classes. Registration classes for both SENA and PV still uses the same YEAR subjects for the normal classes.

Navigate to Classes > Class Data Verify Class Data 1. Use the dropdown list here to change between Years. Ensure that the Class Data for all Years (excluding Meetings) are up to date.

Verify Class Data 1.Delete any Class Code that is not offered this academic year. For e.g. If ICT 1A is not offered anymore, then select 1ICT_A and press on the DEL key on your keyboard. 2.Add a new Class Code to add new classes to the timetable. Go to the bottom of the Class Data table and enter a new Class Code in the blank row. The format must be _ for e.g. if you want to create a class for ICT Class 1A so the code is 1ICT_A. For 6 th Form, it will be U6ICT_1.1 which means Upper 6 ICT Block 1 Group 1. Note: Class Code should not be more than 4 characters which is only inclusive of and. For e.g. 1ICT_A => 1A (2 characters only)

Verify Class Data 3. Type in the Faculty associated with each subject. If a Faculty has not been created yet, you will not be able to type it in. To check whether a Faculty exist, please navigate to Teachers > Faculty Data. 4. Enter the Subject Code for each Class Code created. Refer to More > CS Course Data for the list of Subjects available in your school. Note: There is no need to enter a Subject Code for subjects that do not exist in CS Course Data such as CCA, Program Khas so just leave it blank.

Verify Class Data 5. Double click on the Color cells to change the color provided for each class if you want to. This step is Optional. 6. Enter the number of periods the subject class will have in one week. For eg. There are 10 periods of English Class in a week so enter 10 into the #Per column. For CCA and Program Khas, ensure that there is a (0) after the number of periods \specified (refer to screenshot) as these classes do not count towards the Academic Teaching Load. For Registration Classes, ensure that the #Per is 0+5(0) if it occurs 5 days a week. For the case of SENA Registration classes, the students may only take registration three days a week so the #Per will be 0+3(0).

Verify Class Data 7. Enter and specify the Spread value to get the desired period patterns for each class. Refer to Slide 86 for more information on each Spread value available. For 6 th Form, Spread value MUST be NoDouble or Anything. 8. Specify the Line structure of each Classes created. For PRES, PRIM and SECS, Group is used. For e.g. Group 7A means it is a 7A class, Group PA means it is a Pra A class. For 6 th Form, Line is used instead of Group. For e.g., Block 1 means Line 1, Block 2 is Line 2 and etc.

Period Spread Placements SpreadsDescription NoDoubleGives single period. Double Gives exactly one double period. If there are more than 2 periods defined for the class, the rest will appear as singles. AllDoublesGives double periods to every 2 periods defined. TripleGives triple periods continuously. For e.g. there are a total of 5 periods of Bahasa Melayu and it’s split between 3 periods one day and 2 periods on another day so the syntax is (3,2).

Verify Class Data 9. Specify the Link classes. Link is only used when it is a combined class, team teaching or an elective class. Specifying a Class Code for a class in Link tells Edval that these classes occur at the same time. For e.g. in the screenshot, 1MAT_A (Maths) class is specified 1LRB_A in the Link column. This means that both Lukisan and Maths Class occurs at the same time. Please refer to Slides 88 – 90 for the different type of Link scenarios to schedule.

Specify Link Classes Scenario 1: Electives within the same Group The above scenario means that both 7ARB_A (Arabic) and 7DRM_A (Drama) happens at the same time and is an elective option for 7A students only. 7A students can choose to join the 7ARB_A class or 7DRM_A class. When this scenario happens, you need to treat one of the classes as a Master Class. In this example, we use 7ARB_A as the Master Class and 7DRM_A is used as a sub- class. Thus, we enter 7ARB_A code in the Link column of 7DRM_A. 7DRM_A is now linked to 7ARB_A. This allows 7DRM_A to inherit the Group 7A from 7ARB_A. Since they are both different classes, you will need to specify who is the teacher in the TeacherPref column. You can also specify which classrooms you will be using in RoomPref column.

Specify Link Classes Scenario 2: Team Teaching If you have two teachers teaching in the same class, you will need to create a new Class Code as the sub-class for the second teacher. In the example, we created a new code called 7ARBT_A with the extra ‘T’ to denote the second teacher. When this scenario happens, you need to treat one of the classes as a Master Class. In this example, we use 7ARB_A as the Master Class and 7ARBT_A is used as a sub- class. Thus, we enter 7ARB_A code in the Link column of 7ARBT_A. 7ARBT_A is now linked to 7ARB_A. This allows 7ARBT_A to inherit the Group 7A from 7ARB_A. Then, enter the first teacher in the TeacherPref column of 7ARB_A and enter the second teacher in 7ARBT_A. Since they are actually the same class, you do not need to specify a classroom for 7ARBT_A so you need to set it as NONE.

Specify Link Classes Scenario 3: Combined Classes The above scenario means that both 7ARBa_G1 (Arabic Class 7A) and 7ARBb_G1 (Arabic Class 7B) is a combined class that consists of students from Class 7A and 7B. We do not use 7ARB_A and 7ARB_B because this indicates it as two separate classes. When this scenario happens, you need to treat one of the classes as a Master Class. In this example, we use 7ARBa_G1 as the Master Class and 7ARBb_G1 is used as a sub-class. Thus, we enter 7ARBa_G1 code in the Link column of 7ARBb_G1. 7ARBa_G1 is now linked to 7ARBb_G1. When we combine classes of different Class Groups, we need to specify explicitly which class denotes 7A and 7B. Else it will not show up in the timetable. Then, enter the teacher in the TeacherPref column of 7ARBa_G1. Since they are actually the same class, you do not need to specify a teacher and a classroom for 7ARBb_G1 so you need to set both as NONE.

Verify Class Data 10. Only do this step for classes which are fixed such as CCA, Program Khas and Registration Classes. Specify on which period in the week will the classes be held. (For e.g. Tuesday period 1 so the code is Tue1, if it happens for Tuesday Period 1 and 2, the code will be Tue1-2) Note: If you are unsure what the code is for each period, double click on the Periods and a window will appear. Refer to the window to find out what the period code for each period is.

Verify Class Data 11. Click on the cell and select the Teacher teaching this class. Note: Refer to Slides 88-90 on how to correctly fill TeacherPref column when encountered scenarios of team teaching, combined classes and elective classes. 11. It is not recommended to enter RoomPref unless you have a room that you really want to use for the class. If you have setup the Subject Rooms and Room Data correctly, you do not need to do this step. To assign a room, click on the cell and select the Room to use. Note: Refer to Slides 88-90 on how to correctly fill RoomPref when encountered scenarios of team teaching, combined classes and elective classes.

Auto Generate Timetable Sixth form schools should use block lines in its subject class structure configuration. 2. Enter Line. The line number should be the same as its block number. 3.Specify what subject class structure for specific Line/Block. (e.g. Mon1 is always Line 1 and Mon2 is always Line 3 etc).
