5 Getting Access Requests Through FASTER 1 Much of the process is manual The business analysts have to validate the access requested. The training team isn’t notified if training has been completed – they have to check. We aren’t notified if FERPA has been completed or the Terms of Use agreed to – the security team has to check.

6 2 Encourage everyone to take the Terms of Use and FERPA (if applicable) ASAP Everyone has to take the Terms of Use. FERPA: on the Registrar’s website Terms of Use: on the ConnectCarolina home page Getting Access Requests Through FASTER

7 3 Encourage requesters to take training ASAP Training page on ccinfo.unc.edu has links to CBT and to training schedule For Finance classes—go ahead and register for all needed classes Take CBTs any time Getting Access Requests Through FASTER

8 4 When making changes, you don’t need to mark all roles the person already has Just mark the changes (roles to add or delete) Or describe the data access that needs to change Getting Access Requests Through FASTER

9 5 Finance data access is different than HR HR: have to request data access. Finance: only request data access for a secured chartfield role or a foundation. For foundations, have to include a justification on the form. The Finance team will work with you and the foundation contact to get the access approved. Getting Access Requests Through FASTER

10 6 “Posted” status means done “Complete” just means it’s reached the last step in the approval process The Security team may not have taken action Sometimes the request has to wait for the requester to complete the Terms of Use Policy Getting Access Requests Through FASTER

11 7 Separate requests if you can Training completed & training not required together Training required Tracking what training has been completed and then letting the security team know to give access is a manual, cumbersome process with lots of room for error Getting Access Requests Through FASTER

12 8 You can check the status of requests Most approvers make notes at the bottom of the requests for ourselves and for you – so you can tell what’s happening. Getting Access Requests Through FASTER
