2 Group m – IPT What was the problem… IPT (Interactive Planning Tool) is an application for planners and buyers within the group m agencies to plan, book and traffic media placements. IPT was originally designed and developed in complete isolation from it’s users, as a result when the application went live there was huge disappointment and many of the users refused to use it claiming would slow them down. Overall the application is difficult to use which can be attributed to 5 core issues: 1.Fractured and excessive task flows don’t meet actual ways of working/thinking by users 2.Use of non standard interaction and design techniques which makes it hard for users to know what to do 3.Inconsistent methods of doing the same activity in different areas of the application causing the user to re-think each page/interaction. – This puts high reliance on training for the application because it is not intuitive. – Inappropriate or unfamiliar metaphor design for browsers – use many client/server type interactions which are not effective on the web 4.General poor design techniques which result in poor affordance (is it obvious what to do?) and visual feedback about the system state make it difficult to us 5.Lack of guidance, proactive help and general approach to what content to display to specific users

4 Group m – IPT What opportunities did you identify? A need to motivate users and identify some quick wins to dramatically improve the usability. Get users involved to provide feedback and future improvements Validate workflow and design changes with users before putting it into development Provide the development team with clear wireframes and mock ups Improve the quality of the UI and browser compatibility. Standardise controls and design across all pages of the application What did you do to solve the problem? I identified quick wins that would dramatically improve the users experience by: Improving signposting and instructions Replacing confusing buttons and icons Breaking down the data into tabs to remove horizontal scrollbars After the release of the quick wins I then set up user 1:1 meetings with users and group workshops so that we could continue to identify the highest priority issues.

8 Workshop outcome from the OSA team participating in an exercise to improve the Admin area of the application, by writing each admin function on a card we were able to group each admin function into relevant categories such as product, agency, supplier, contacts, reports and user administration. 10 Group m – IPT What was the outcome IPT has now been rebranded to Metis and has been released with huge success. Users are now involved in workshops which consist of collaborative design sessions, card sorting, general feedback and validation of stories before development starts. More users have now been on boarded to Metis and are saving valuable time by using 1 system to plan, book and retrieve statistics on placements instead of 5 or 6. The project has been such a success that there are now plans to decouple it from the UK finance system and roll it out to many other countries starting with Spain.
