2 What is time management Act or process of planning and exercising conscious control on the amount of time spent on specific activities, especially to increase effectiveness, efficiency and productivity

3 TIME WASTERS Time wasters can be described as any internal or external factor that affects the management of time Take forms such as telephone calls, meetings and other types of interruptions

4 EXTERNAL TIME WASTERS Telephone – 20 percent of the calls are allocated to incoming calls due lack of information at switchboard, wrong number dialed, long discussions or socializing Interruptions – calls, unscheduled visits, unscheduled meeting mostly due to the open door policy practice

5 External time waster cont……. Meetings – Meetings take 50 percent of your time, especially with no agenda and wrong people attending the meeting Mails – time taken up by reading newspapers, literature, correspondence, memos and reports

6 INTERNAL TIME WASTERS Decision making – too much time is taken up by making decisions Open door policy – the culture of open door policy encourage visitors at any time of the day Procrastination – the postponement of work and due dates are not met. Labeled as lazy, undisciplined and unorganised Telephone- Making too many unnecessary calls (especially private call)

7 How to control Internal and External Time Wasters Outgoing calls should be grouped and should be handled at specific time of the day Action plan of what is urgent and important and what is neither important nor urgent to avoid procrastination Making sure calls are diverted or screened to the right people Avoid reading newspapers, have schedule when to read and respond to specific emails and memo
