2 Word, Chapter 6, Margins2 Changing Margins in Normal View Default Margins: –Top margin - 1 inch –Bottom Margin - 1 inch –Left Margin - 1.25 inches –Right Margin - 1.25 inches Using standard paper (8  x 11 inches) with default settings, you have 6 x 9 inches on the page for text.

4 Word, Chapter 6, Margins4 Using the Page Setup Dialog Box for Changing Margins Choose Page Setup from the File Menu. –Make sure that no text is selected. Click the Margins Tab. Edit or set the margins, as you desire. You can press Tab to get from one margin text to the next. Click the down arrow to open the Apply to drop-down list as shown on the next slide.

6 Word, Chapter 6, Margins6 Change Margins for Selected Text Using the Page Setup Dialog Box You can change margins for selected text or selected sections. –Sections can have their own formatting. –A double-dotted line appears when a document contains more than one section. –When you change margins for selected text, you create new sections. See the next slide for how the screen looks for adjusted text.

8 Word, Chapter 6, Margins8 Changing Margins in Page Layout View In Page Layout View, you can see how text will be positioned on the printed page. It displays headers, footers, and other page elements not visible in Normal view. In Page Layout View, you can change margins using the ruler. To change to Page Layout View… –Use the Page Layout View button on the horizontal scroll bar. –Choose Page Layout from the View menu.

18 Word, Chapter 6, Margins18 Changing Margins in Print Preview Print Preview displays the entire page of a document in reduced size, so you can see all four margins at once. This view allows you to see the effect of the change on the whole page and on the entire document.

20 Word, Chapter 6, Margins20 Changing Margins in Print Preview Go to the top of the document or the text to be changed. Select Print Preview from either the File Menu or by clicking on the Print Preview from the formatting toolbar. If necessary, click the View Ruler Button to display the rulers.

21 Word, Chapter 6, Margins21 Mirror Margins and Gutter Margins Mirror and Gutter Margins are terms used when speaking about bound materials. Mirror margins are outside margins on facing pages that mirror one another. Gutter margins add extra space to the inside margins to allow for binding.

When you do this, the dialog box where you change the left and right margins become labeled as Inside/Outside and a two page document is displayed in the preview area. Look at the Next Slide

24 Word, Chapter 6, Margins24 Hyphenation Word uses three types of hyphens –Normal Hyphen: Use for words that should always be hyphenated: twenty-three –Nonbreaking Hyphen: Used when a hyphenated word should not be divided at a line break: Minneapolis-St. Paul. –Optional Hyphen: Indicates where a word should be divided only if the word falls at the end of a line.

25 Word, Chapter 6, Margins25 Creating Those Hyphens To create a nonbreaking hyphen: Key the word, then where the hyphen would be inserted, type Ctrl/Shift/Hyphen Key. To create an optional Hyphen: (Ctrl/Hyphen)

26 Word, Chapter 6, Margins26 Automatic Hyphenation Word will allow you to control the ragged edges at the end of the sentences by using hyphenation. To make changes to the way a document is hyphenated: –Select Language from the Tools Menu. –Click the cascading menu which opens the Hyphenation Dialog Box –Several options are then made available.

27 Word, Chapter 6, Margins27 Guidelines for When to Hyphenate Do not hyphenate between initials (GHE) Do not hyphenate between contractions (Shouldn’t). Do not hyphenate a word to create a one- letter syllable (such as a-ware). Never have more than two lines hyphenated consecutively.

29 Word, Chapter 6, Margins29 Inserting Date and Time You can insert the date and time in a document as a field. –With the field inserted, Word will automatically update the date and time each time you print the document. A field is a set of hidden codes that tells Word to insert specific text.

30 Word, Chapter 6, Margins30 Insert the Date and Time Select Insert from the menu. Choose Date and Time from the options available. Select how the date and time are to be displayed in your document by highlighting your selection, and clicking okay. There is an option if you want the date to update automatically. If so, click the indicated box.
