STANFORD UNIVERSITY INFORMATION TECHNOLOGY SERVICES 2/4/2016 page 1 The Big Plan IT Services Full Pilot IT Services began pilot testing on March 12, 2009. University Roll-out University faculty and staff with a mailbox at 3-0000 transitioned to the new voicemail system together on May 17, 2009. Hospital Roll-out Hospital faculty and staff with a mailbox at 3-1111 will be transitioned to the new voicemail system together. Pending success of the university rollout. Scheduled for sometime during the summer.

STANFORD UNIVERSITY INFORMATION TECHNOLOGY SERVICES Voicemail Intialization The first time you login they need to update their: Password Recorded name Recorded outgoing greeting Log into the system using your ten-digit phone number Your default password is your seven-digit phone number We recommend making your password to the new system the same as password to the old system during the transition period 2/4/2016 page 2

STANFORD UNIVERSITY INFORMATION TECHNOLOGY SERVICES Benefits of the New System You can store up to 100 messages and messages never expire. If you accidentally delete a message, before hanging up, you can return the deleted message to your voicemail inbox. Press 3, then press 2, then press 9 to save the message. You can delete or save a message without having to wait for the end of the message. Just press 7 or 9 while the message is playing. STANFORD UNIVERSITY INFORMATION TECHNOLOGY SERVICES Managing Your Messages You cannot reply to or forward messages from callers on the other system. For example, if someone from the hospital leaves a message on the new voice message system, you cannot reply to this message because they are still on the old system. During the 30 day transition period, access the old voicemail system by dialing 650-723-2000. That’s 3-2000 Available until June 17 th Many buttons remain the same Some buttons have changed Refer to the Schematic for updates 2/4/2016 page 4

STANFORD UNIVERSITY INFORMATION TECHNOLOGY SERVICES 2/4/2016 Unified Messaging page 5 What Does Not Change Delete and Save Press 7 to delete a message Press 9 to save a message Replay the last 10 seconds Press 1 to rewind 10 seconds Skip 10 seconds forward Press 3 to jump ahead 10 seconds in a message. Forward a Copy of a Message Press 6 to forward this message to someone else’s mailbox

STANFORD UNIVERSITY INFORMATION TECHNOLOGY SERVICES 2/4/2016 Unified Messaging page 6 What Does Change Reply to a Message Press 4 (instead of 8) to respond via voicemail to a message. Currently, this only works for those on the new system (not Hospital users) Envelope Press 8 (instead of 5) to hear the time stamp and caller information. Pause Press * (instead of 2) to pause a message. Replay Press 11 (instead of 4) to replay the entire message Only one mailbox can light the lamp For phones where more than one mailbox was associated, a Message Waiting Notification via email has been established.

STANFORD UNIVERSITY INFORMATION TECHNOLOGY SERVICES Forward Messages to Email Request via HelpSU Do you want to keep a copy? If you keep a copy, you will need to delete messages from your phone in addition to deleting them from your email. They will not automatically delete when you delete them from email. You have a 100-message limit, so it's important to delete them regularly. If you don't want to keep a copy, you will not be able to retrieve messages via phone. The messages will be sent to your email only. Listen to your messages via Windows Media Player or Quicktime iTunes is not recommended 2/4/2016 page 7

Enter a fax machine phone number (using the ten- digit number) to print faxes Allows you to print when you’re standing there, rather than having it sit in a common space unattended Pair the fax feature with forwarding messages to email Faxes are received as a.tiff file that can be reviewed in a web browser, printed, or saved for later 2/4/2016 page 8
