2 Hiring Process Flow Post position Decision on hire– Contact HR regarding background check Background check clears, offer is made All hires (students, staff, and faculty) must complete onboarding documents (including 1-9) ON OR BEFORE their first day of work

3 Problem Some student employees (student assistants, ISAs, TA/GAs and some adjunct faculty have been working before signing in.

4 Results University is not in compliance with federal regulations New employee will not be paid Negative experience for new employees and possible negative perception of CSUSM

5 Solutions Please make sure new hires sign in at the Office of Human Resources on or before their first day of work. If you are doing volume hiring in your department, please contact HR in advance and we can arrange sign in times. Have new hires bring their Student Information sheet or Adjunct Faculty Information Sheet for expedited onboarding.

6 Please have student assistants bring this completed form to HR (Student Employee Checklist- available on FAS Forms)

7 Please have Academic Student Employees bring this completed form to HR

8 Please have adjunct faculty/lecturers bring this form to HR

9 State Controller’s Office (SCO)requires verification of the name on an employee’s social security card, in addition to I-9 verification requirements. All new hires bring their social security card and valid identification for the 1-9. This applies even if the faculty member has taught at another CSU campus- we do not have a way to verify info from other HR systems.

10 If the new employee/re-hire has worked for CSUSM within the past 90 days, they may not need to complete some of the forms, but they still need to check in with HR. Have them mention they have worked for CSUSM recently. If there has been an absence of 90 days or more, they will be required to renew their hiring forms.
