2. Setting Up Calendars – Viewing the Calendar Tab From the Index, select System Administration, Calendar, Calendar. The Calendar tab lists the basic information about the selected calendar. Users can quickly see the Start and End Date of the calendar, how long a student day is, etc.

3. Setting Up Calendars – Viewing the Calendar Days The Days tab provides a summary of all of the days in the school calendar. Days can be marked as instruction, attendance, etc. Individual days can also have events (such as conferences or holidays) attached to them. These events would then display on the Campus Portal.

Setting Up Calendars – Day Reset When first setting up a calendar, the Day Reset option should be chosen to generate a record for each day in the calendar and connect the dates of the terms to the calendar. This needs to be done prior to scheduling classes, teachers, and rosters! 1. Select the Day Reset icon. A wizard-type format screen will appear.

5. Setting Up Calendars – Calendar Days 2. Enter the Instructional Start and End Dates of the calendar to build a record for each day in this schedule structure. 3. Enter a Duration amount. We typically use “360”. 4. Click the Create Days button. This will build the specified calendar days.

6. Setting Up Calendars – Calendar Days 5. Next, still in the Days tab, the calendar grid will display. In the calendar matrix, select the days to be modified, indicating holidays, workshops, conference dates, etc. 6. For regular school days, all three checkboxes should be selected (School Day, Instruction, and Attendance). When the teachers have in- service days, only the School Day checkbox should be selected. When the building is not open (non-school day) none of these options should be selected.

7. Setting Up Calendars – Calendar Days 7. If the day has a defined event, click the Add Day Event button. Select the type of event from the dropdown list. 8. To create day events that span multiple days, use the Multi-Day Events option. This will allow a school to input the same event in a date range (consecutive days) at one time, instead of entering the event several times. 9. Click the Save Day/Day Events when finished.

8. Setting Up Calendars – Kindergarten Calendars Since the Kindergarten calendars have multiple rotations (A/B days), use the Day Rotation option on the Days tab to set this preference. 1.Select the Day Rotation icon. A wizard-type format screen will appear.

9. Setting Up Calendars – Kindergarten Calendars 1.Enter the Start Date and End Date of the rotation schedule. This will usually be the length of the school year. 2.Select the Rotation Type --- Alternating. When using the Alternating option, the days will be marked as such: Monday – A Day, Tuesday – B Day, etc. If there is a vacation (non-school day), this will be ignored. 3.Enter the Starting Period Schedule. This is the schedule that will be used on the first day.

10. Setting Up Calendars – Kindergarten Calendars 4.Enter how many days the rotation will be used in the Days Repeated for Starting Period Schedule field. For alternating, every other day kindergarten, set the Days Repeated to “1”. 5.Click the Assign Rotation button. This will build the rotation of days into the calendar.

11. Setting Up Calendars – Printing Calendar Days There are two ways to print the calendar days. Users can select either the Print Rotation icon, or the Print icon. Selecting Print Rotation will show each period schedule (A/B days) on its appropriate day. The Print icon shows a non- color coded calendar grid.
