Document retention policy

The corporate records of Adams and Kitchener constitute vital information. Records include everything you produce as an employee, including memoranda, emails, contracts, expense records and calendars. The law requires our firm to retain records for a specified period. Failure to do so could subject the company to severe penalties, and may place us in contempt of court.

We expect all employees to comply with the following policies. Tax records, including payroll documents, expenses and other documents concerning the company´s revenues should be kept for at least six years. Federal statutes require the company to keep all recruitment and personnel information, including performance reviews and complaints. These must be cataloged and retained for six years.

Meeting minutes should be maintained in perpetuity in the company´s minute book. Legal files must not be destroyed until ten years after the case has closed. Emails should either be printed in hard copy and kept in the appropriate file; or downloaded and kept electronically.

The retention period depends upon the subject matter of the email. Failure to comply with this document retention policy may result in punitive action against the employee, including suspension of termination.
