1 The Starting Point Things to consider include Defining the overarching aim(s) of the event/activity Deciding the type of event you wish to undertake Defining the audience that you hope to reach Defining the SMART objectives that will allow you to achieve your aim(s) Defining the Evaluation strategies used to measure objectives achieved The Planning Stage Things to consider include Identifying data to be collected during the planning stage of the event/activity Establishing baseline knowledge or attitudes of audience Formatively evaluating the development of the activity understanding the successes and what could be improved in future events Share good practice and provide information about potential pitfalls The Activity Things to consider include Monitoring audience number and/or demographics attending event Undertaking formative evaluation of the activity to identify successful aspects and aspects that require future improvements Undertaking summative evaluation to establish whether your activity allows your SMART objectives to be met The Impact Things to consider include Analysing evaluation data collected throughout the activity Comparing the objectives achieved with the objectives set at the starting point Recognising elements of good practice, elements to be improved and potential pitfalls Disseminating evaluation information Using evaluation data to plan future events The Starting Point Monitoring and Evaluation processes might include Reviewing evaluation reports from previous activities, recognising aspects of good practice and acknowledging aspects that you want to improve prior to deciding on your activity or event to be undertaken Choosing the evaluation tools to be used at each key stage of the activity. Organising internal or external evaluators The Planning Stage Monitoring and Evaluation processes might include Using questionnaires, focus groups or interviews to establish a baseline understanding of the audience’s knowledge or attitudes prior to activity. Trialling and evaluating questionnaires or interview schedules Trialling and evaluating event or activity Undertaking observational research of the activity design The Activity Monitoring and evaluation processes might include Counting audience numbers and establishing demographics Observational research to establish what aspects of event or activity are working well and engaging your audience & which aspects could be improved in the future Using questionnaires, interviews or post event focus groups to understand audiences views and knowledge post activity The Impact Monitoring and Evaluation processes might include Analysing the qualitative data for key issues or themes Analysing the quantitative date for simple totals or using descriptive statistics Producing a written evaluation report Disseminating findings either as short articles or publications in journals or as posters or talks at conferences Figure 5.1
