Web OPAC Developments 14.2 Seminar March 2001

14.2 Seminar 2 WEB OPAC: Major Changes 1.Apache 2.UTF-8 environment 3.Profile sensitive user environment 4.Restricting access to the databases 5.New features in retrieval: - Get index - Search limits - Services - etc. 6.Bibliographic information display – new features 7.New features in user information

14.2 Seminar 3 Defining Your Environment The following www_server_defaults definitions are obsolete: setenv www_con_lng ENG setenv www_browser_font " " setenv www_base_name "USM01" setenv www_short_format "SYS050100245" # setenv www_short_format "000 " setenv www_short_no_lines "20" setenv www_auto_full "10“ These and other characteristics of user environment and user session are defined by the user profile record (z61)

14.2 Seminar 4 Defining Your Environment The Profile (z61) record contains the following definitions: Denied bases (maximum 8) Number of records per page in the short display (former setenv www_short_no_lines) Auto full (former setenv www_auto_full) Short format (former setenv www_short_format) Default base (former setenv www_base_name) Default language (former setenv www_con_lng)

14.2 Seminar 5 Defining Your Environment Borrower ADM library & Sub-library - sublibrary which will appear first in the list of locations on the short and full display Permission to access external (856) locations Permission to save files on server Permission to save on server files intended for course reading upload Permission to use SDI module Permission to request unprocessed books (New book permission)

14.2 Seminar 6 Defining Your Environment Permission to update address Maximum number of records to be mailed/saved on server

14.2 Seminar 7 Defining Your Environment Types of profiles: ALEPH - default profile IP profile Personal profile

14.2 Seminar 8 How ALEPH Decides Which Profile To Use The user has not identified himself: The system looks for the profile corresponding to the user’s station IP address (wildcards are possible; digits are removed one by one till the limit of six is reached). If not found, the system will use the definitions of the profile ALEPH

14.2 Seminar 9 How ALEPH Decides Which Profile To Use The user has identified himself: The system looks for the user personal profile. If not found, then IP profile is searched If not found, the system will use the definitions of the profile ALEPH

14.2 Seminar 10 How ALEPH Decides Which Profile To Use Logical setup of profile ALEPH and IP profiles is highly important ex. Usually ALEPH is not allowed to save files on server, to use special request, etc.

14.2 Seminar 11 Logical Setup of ALEPH/IP Profile Z61 resides in pw library. Remember to move it together with z66 and z67.

14.2 Seminar 12 Limit Access To Signed-in User It is possible to define the libraries that can be entered without the Web OPAC user signing in. To prevent a user who is not signed in from entering a base, write * in col.2 in tab_base. Example: USM10 *USM10 - AUT library USM10 USM01 USM10

14.2 Seminar 13 Retrieval - New Features Get function has disappeared Direct index (z11) still exists Possible ways of retrieval are: Find by direct and Browse by direct

14.2 Seminar 14 Retrieval - New Features Limit options in www_server_defaults: set_word_limit: set_hit_limit:

14.2 Seminar 15 Retrieval - New Features set_word_limit: limits the number of words that will be "collected" when truncation is used (e.g. find a? will do a find on all words beginning with a); a number of z97 records (i.e. distinct words) retrieved in a given search. When the limit is exceeded, the search is stopped. set_hit_limit: limits the number of retrieved documents (hits). When the number of hits is above this value, the set is created, but it does not contain pointers to the documents. In other words, only z05 is created, z110 does not exist.

14.2 Seminar 16 Field Services It is possible to define various services which will be available for specific fields in the Full View.

14.2 Seminar 17 Field Services

14.2 Seminar 18 Field Services The available services are: www_a_service_scan_acc - Perform find on the browse index www_a_service_find_acc - Perform find on the browse index www_a_service_scan_ind - Perform scan on the direct index www_a_service_856 - External link display www_a_service_aut - Display authority record associated with the field www_a_service_engine - Send query to search engines www_a_service_aut_bib - Search bibliographic records associated with authority heading

14.2 Seminar 19 Field Services The services which are available per field are defined in the new table tab_service

14.2 Seminar 20 How Does the System Create Full Display? Step 1. Check edit_doc_999, col.10 (link type) -if blank - exit -if not blank - create hypertext link, continue to tab_service Step 2. Check tab_service, create the type of link specified in tab service

14.2 Seminar 21 Sending Query to External Search Engines www_a_service_engine: The external service parameters are stored in a Z121 record. The parameters include key, service, status, mask and link. A Z121 record is created in the following way: - from the root directory of the library >>cd service >>vi z121.seq add a new link, as in the examples. Note that the key is the same as the link in the www_a_eng/service-engine html file, except that in z121.seq it must be uppercase, and in service-engine it can be in any case. >>load_z121

14.2 Seminar 22 Searching by AUT www_a_service_aut_bib: The first 50 characters from the authority field are used for the creation of the search query sent to the BROWSE index of the bibliographic library. The query is truncated.

14.2 Seminar 23 New Boolean Synonyms Two synonyms were added: OR = | (pipe sign) NOT = ~ (tilde) Already existing synonyms: AND= +, &

14.2 Seminar 24 Character Displacement The functionality of character displacement, using the signs ! and # in the FIND (SEARCH) query has been removed. They now function in the same way as ? and * (i.e., for truncation).

14.2 Seminar 25 Browsing Small Bases The Z0102 table can be used to make browsing from the Web OPAC more efficient when scanning logical bases which are less than 50% of the total database. Tab10: TAB10-Z0102-IN-USE YN Disadvantages: - z0102 is not updated online - Browsing of z0102 is available only in the WEB OPAC

14.2 Seminar 26 Find by Browse - Search Truncation A new tab10 Y/N switch named: TAB-10-AUTO-TRUNCATE-Z01-FIND allows control over whether a FIND search is performed on an access (browse) list; the search term is /is not automatically set as truncated.

14.2 Seminar 27 Find by Browse - Truncation If the switch is set to “Y” when a FIND search is performed on an access (Browse) list, the search term is automatically set as truncated.

14.2 Seminar 28 Browse In WEB OPAC, when a browse request displays a list of headings, the list can be set to display either from the alphabetic sequence of the request or from the heading immediately preceding it. This is set in the./alephe/www_server_defaults file, in the line: setenv www_browse_preview Y where "Y" displays preceding heading and "N" does not.

14.2 Seminar 29 Highlighting Search Terms in Full View In the WEB-FULL display, the system highlights the search terms used to find the record. This includes highlighting words from a FIND query and the entry from a Browse list.

14.2 Seminar 30 Highlighting Search Terms in Full View The format of the highlighting is defined using html “prefix” and “suffix” coding. This is set in the www_server_ defaults file. The highlighting of particular words can be turned off by listing them in tab06.

14.2 Seminar 31 Highlighting Search Terms in Full View

14.2 Seminar 32 View DN links www_server_defaults: setenv www_dn_link_display controls the number of down links to display in the Full View of the Bibliographic Record. If there are more down links than the number defined here, the system will create two clickable links: "View down links" and "Create set of down-linked records. When the user clicks "View down links", a new window will be displayed, listing the actual down links. The Viewing links (DN/UP etc...) Limit has been extended to 1000. This apples to both "Downlink (View)" and "Downlink (Create)".

14.2 Seminar 33 Display of Item Information - New special tags for display of item information (www_tab_short.lng and edit_doc_999.lng) - tab10: ! 33 TAB10-ITMG-DISPLAY - YN ! in WEB OPAC, for ITM1, ITM4 and ITM5: ! Y = display sub-library in edit_doc_999 ! only if there are Z30 (item) records for the library ! N = display sub-library in edit_doc_999 ! if there are either Z30 (item) or HOLdings records ! for the library

14.2 Seminar 34 Display of Items Info This is ordered by the sub-library. The first sub- library to display will be the default sub-library, set through the profile record, (Z61-BIR- SEARCH-SUB-LIBRARY). The order of the other sub-libraries will be as usual. This option uses the display codes "ITM3" and " ITM4" in full display and the code "ITM","ITM+" in short-999.

14.2 Seminar 35 Display of Items Info Holdings Records The system will now create a link based on a 856 field from the display of the holdings record. If the 856 field has been added to the bibliographic record, it can be expanded to the holdings record (using the expand program expand_doc_hol_bib).

14.2 Seminar 36 Multiple Selection of Administrative Libraries at Sign- in When signing in, you get a multiple selection of administrative libraries, with the borrower's login and password database records. If the institution decides to return to single selection, you may find a hidden tag with the single declaration.

14.2 Seminar 37 Multiple Selection of Administrative Libraries at Sign- in This new development suppresses the Local Synonym between the ADM library and the BIB library, regarding Z303, Z308 records. You can also suppress redirection from tab_bor_id.eng,"path_convert". Relation type "USR" declares a shared users’ file between concurrent libraries. (For example, "USR USM50 USM51" means both libraries share the same Z303 and Z308 records (logins and passwords)).

14.2 Seminar 38 User information - Hold/Photo/Loan Sort Order The sort order of the ‘Hold’ requests, ‘Photo’ requests and ‘Loans’ in the WEB OPAC are now derived from new parameters which were added to www_server_defaults.

14.2 Seminar 39 User Information - Hold/Photo/Loan Sort Order www_server_defaults: setenv www_user_z36_sort_routine 00 setenv www_user_z36_sort_order A setenv www_user_z37_sort_routine 00 setenv www_user_z37_sort_order A setenv www_user_z38_sort_routine 00 setenv www_user_z38_sort_order A

14.2 Seminar 40 User Information - Hold/Photo/Loan Sort Order The routines are: z36: 00 z36-due-date 01 z36-sub-library z36-status z30-collection z36-due-date z37: 00 z37-priority z37-request-date z37-open-date z37- open-hour 01 z30-sub-library z30-item-status z30-collection z37- open-date z37-open-hour 02 z30-sub-library z30-item-status z30-collection z37- status z37-open-date z37-open-hour z38: 00 z38-open-date

14.2 Seminar 41 Loan History The display of the number of loans in the loan history is limited by the value in the following line in www_server_defaults: www_z36h_max_record_limit If the line: www_z36h_max_record_limit does not appear in the table, or if it is commented out, the default number of loans is 80.

14.2 Seminar 42 Renew All This new function is available from the borrower loan list.

14.2 Seminar 43 Set Library Set Library is no longer defined in alephe_start_505/library_relations. The sets are stored in a new demo library: VIR01. A new cleanup procedure: clear_vir01 (util- x-8) includes cleanup of z05 and z110. It is recommended to include clear_vir01 into job_list: 00 03:00:00 Y VIR01 clear_vir01 VIR01

14.2 Seminar 44 Web OPAC The WEB OPAC is now ADA compatible. All the pages were checked using Bobby. The “Bobby Approved” icon was added to the main WEB OPAC page (start-3).
