How does SEVIS affect Workflow? Production concentrated in 2 staff in OISS Overall coordination in OISS Communication with/training of admissions who process all of initial “F” documents via access to the OISS database Increased communication with campus information services Net effect of centralizing a decentralized university

What data entry has been assigned to students? Nearly all changes come through our Student Information System such as major change, address change, level change and name change. OISS picks up these changes 24 hours after the student makes them and they are sent to SEVIS. Off campus address remains self-reporting New students arriving on campus do a self check in as part of orientation. More on that later.

New processes to keep students in status Linking up to main system and OISS not being the primary holders of any info other than financial information Web site and e-mail-a “keep in status” message at the beginning and end of each term Student responsibility handouts Specific messages to those who are not enrolled or underenrolled. By the time a student is terminated for out of status s/he has received 3 to 5 e-mails, a phone call, and a message from the dean of their college. This outreach is intensive but worth it. MSU takes a pro-active approach. Email the student to remind him/her to renew I-20 Q and A sessions once per semester with faculty, academic advisors and students. Philosophy is to educate the student. Emergency tuition fund and links with local community college

Monitoring Alert Lists Team approach Weekly meeting Solve problems on the spot rather than leaving the meeting with a mountain of tasks to follow up on Carry out a weekly audit of 5 records during that meeting.

Results Hi Tech Hi Touch model has worked well for MSU. Since the beginning of SEVIS we have terminated 6 people for being out of status. Our student community is 3,300.

Improvements Adding student photos to our database Automatically generated e-mails scheduled to go out to students who are less than full time, not enrolled More transparency about actual reporting dates Process and work flow with departments regarding scholar check in

Innovations Sevis guidelines group Redefinition of full time at grad level Use of improper course placement Institution of more co-op courses Self check in for new students. Students sit down at terminals and check themselves in during orientation. This activates their record and fills in our database. Public diplomacy-outreach and friendship programs
