Total amount spent: 380.000€; 75% financed by the EU. Internal resources: 1 senior manager + 3 librarians. External resources: specialised outsourcing companies.

16. 16 Virtual Library of Official Statistics « « « Around 100.000 publications: 12.600 monographs and nearly 5.800 periodicals; 30.000 publications in Portuguese language. The INE’s documentary assets includes: own editions and editions from delegated bodies, international organizations and other statistical institutes. To compose the Bibliographic Catalogue we bought the Winlib, a software solution for biblioteconomy. Cataloguing phase

18. 18 Virtual Library of Official Statistics « Digitalization phase Portuguese works – INE’s own editions and delegated bodies’ editions (National Statistical System universe) from 1864 to 2000, meaning 1,5 million pages. Composition of images database – SQL Sever. 1 image – 1 file; the publication was reproduced in full (the blank pages were also included). TIFF format (Tagged Image File Format). Work carried out by external companies. « «

19. 19 Virtual Library of Official Statistics « Interface Web phase development  Develop the Interface web to access the image database and the index associated.  Develop a customized viewer with specific functionalities to visualise the TIFF files. « «

20. 20 Virtual Library of Official Statistics « Interface Web phase development The solution included the software MODUSArquivo WEB, composed by 3 components:  Capture chain/Indexation associated to a Scanner – allowing the digitalization and indexation of documents.  Archive server – information storage.  Customer – Interface component with the final user – browser Web. 22. 22 Virtual Library of Official Statistics « « « Main Results  On-line access to nearly 1,5 million pages of statistical information published between 1864 and 2000, in Portuguese language.  Visitors at physical libraries: 90% are students; Before the implementing of the virtual library, the access to statistical data was solely available at INE Central Archives. After the launch of the on-line library there was a reduction of more than 50% of visitors.

23. 23 Virtual Library of Official Statistics « Future improvements  Linkage to the INE’s new Portal (in progress); conclusion of the works planned for the end of 2nd Quarter 2007.  Search for unified solutions of archive, aiming the integration of both components (Catalogue and Archive) and also the integration of publications placed on the website in PDF format (since 2000).  The next goal is to have a single Virtual Library so that the user will find and visualize the whole statistical information – former and updated publications – in a sole environment.  Normalisation of the information tree structure.  Insertion of new search tools. « «

24. 24 Virtual Library of Official Statistics « Conclusions  For the statistical institutes is a major importance the development of digital archive solutions in order to preserve documents from time deterioration.  It also important to take advantages of the search facilities and generalized access that new technologies offer.  The experience obtained, within the scope of this project, will enable the INE to share its know-how with other statistical institutes.  The co-operation in this domain, between the national statistical institutes and the Eurostat, is crucial in order to find the best solutions for the final user. « «
