3 General Reminder (1) Deputy Assessment Administration Supervisor as a backup Written notification to parents on assessment timetable and emergency arrangements Schools can still submit changes to school data in writing no later than 30 April 2009

4 General Reminder (2) In case of emergency, schools should report to the TSA Administration Team at 3628 8181 immediately Schools may also call EDB 24-hour hotline 2891 0088 for any school closure announcement under bad weather condition

5 Special Arrangements (1) WS1 – Non-Chinese Speaking Students (NCS) Take part in the whole assessment Maths paper in English provided if not specified, schools may opt for Maths in either language WS2 – Newly-arrival Children Take part in the whole Assessment No special administrative arrangements will be provided by HKEAA

6 Special Arrangements (2) WS3 – exempt from the whole assessment WS4 – exempt from Listening Assessments WS5 – with intellectual disability Take part in the whole assessment No special administrative arrangements will be provided by HKEAA

7 Special Arrangements (3) WS6 – using A3 QA booklets and/or auxiliary equipment In English Listening Assessment, may be given a sub-paper different from that of their classmates Question-answer booklets and CDs will be packed separately WS7 – taking assessments separately and/or time extension Question-answer booklets and CDs will be packed separately

8 Reports to Schools 3 reports will be issued: School report: All students Supplementary report 1: with WS1(NCS) students excluded Supplementary report 2: with WS1(NCS), WS2, WS4, WS5, WS6 and WS7 students excluded

9 Oral & CAV Assessments

10 Delivery of Assessment Materials is appointed 4 May (P.3) and 8 or 11 May (P.6) AM schools: 9:00 am to 1:00 pm PM schools: 1:00 pm to 5:00 pm Whole-day schools: 9:00 am – 3:30 pm To be received by the Assessment Administration Supervisor (AAS) Keep the box INTACT

11 Irregularities regarding the delivery of Assessment Materials Call HKEAA if: 1. the courier pack is damaged 2. materials have not arrived during the specified time

12 Bad Weather on the Day for Delivery of Assessment Materials If EDB announces that primary schools are to be closed, the delivery will be postponed to 5 May 2008 (P.3) and 12 May 2009 (P.6)

13 Quality Assurance Check On 5 May (P.3) and 12 May (P.6) HKEAA staff will visit schools selected at random To ensure packing and delivery of assessment materials has been properly completed by the courier

14 Pre-assessment Preparation Remind students to bring their student handbooks on the assessment day Prepare 3 sets of student list for each class with Chinese names, English names and class numbers of all students for each pair of Oral Examiners, and the AAA for attendance taking

15 Student Sample List All WS0, WS3-WS7 students are not included in the Student Sample List If these students are still found on the Student Sample List, AAS can replace them with the students on reserve and report to the Oral Examiners via AAA The Student Sample List is generated from the school data submitted as at 17 Mar 2009

17 Support to Non-Chinese Students in CAV Assessment 1 copy of bilingual (Chinese and English) instructions for CAV paper will be provided to each school with WS1 student(s) AAS can photocopy the instructions for use by any WS1 student if selected

21 Bad Weather on the Days of Oral Assessments - Morning If EDB announces that schools are to be closed in the morning: All assessments of the day will be rescheduled to 8 May (P.3) / 15 May (P.6) Collection of assessment materials will be postponed to 12 May (P.3) / 18 May (P.6)

22 Bad Weather on the Days of Oral Assessments - Afternoon If EDB announces schools are to be closed in the afternoon: The PM assessments of the day will be rescheduled to the afternoon of 8 May (P.3) / 15 May (P.6) Collection of assessment materials will be postponed to 12 May (P.3) / 18 May (P.6)

25 Reminder – Written (1) 1 carton containing the AAS Working File and all stationery in both days will be provided (Do NOT open any carton until the assessment day) All cartons are packed by assessment day and with a label to indicate the total number of carton(s) of the day Barcode labels are generated from the school data submitted as at 17 Mar 2009

26 Reminder – Written (2) Teachers are NOT permitted to invigilate their own subject classes Remind the Invigilators to bring along their personal copies of the Invigilators’ Handbook for use at the assessment sessions (to be sent to schools by DHL on 27 May)

27 Delivery of Assessment Materials is appointed On 12 or 15 June 2009 AM schools: 9:00 am to 1:00 pm PM schools: 1:00 pm to 5:00 pm Whole-day schools: 9:00 am – 3:30 pm Same receipt procedures as Oral & CAV Assessments

29 Time of Assessments All schools to start at 8:45 am / 1:45 pm on both days (with 15 minutes flexibility) Students with special needs may start earlier All schools must follow the assessment timetables given in the Instructions to AAS All schools must finish the assessments by 12:30 pm / 5:30 pm

35 Support to Non-Chinese Students (NCS) Additional bilingual (Chinese and English) instructions for all Chinese assessment papers will be provided to each WS1 student Enough copies of instructions will be put into the Stationery Box. AAS can distribute the instructions to their WS1 students if necessary

36 Support to Non-Chinese Students (NCS) AAS please ask invigilators to collect the bilingual instructions after the assessment and put them into the Envelopes for Surplus Materials

37 Procedures Related to Onscreen Marking (OSM) Students are required to stick barcode labels onto the cover and inner pages of their worked question-answer booklets (QA booklets)

41 Sticking Barcode Labels (4) Students without barcode labels bearing their class numbers or do not have sufficient reserve labels should simply fill in their respective school code, class name and class number on the cover page of the QA booklet HKEAA will process these QA booklets separately

42 Answering MC Questions Blacken the circles with HB pencils The use of HB pencils produces the best effect. The use of HB mechanical pencil is also acceptable.

43 Writing within the Frames Answers written outside the frames will NOT be marked

44 Special Arrangements – Students Requiring Enlarged QPs (1) Will be packed separately

45 Special Arrangements – Students Requiring Enlarged QPs (2) In English Listening Assessment, students may be given a sub-paper different from that of their classmates. In such case, schools should arrange for them to be assessed in a separate room or put them in a class using the same sub-paper No barcode label is required on enlarged answer scripts as they cannot be scanned

46 Special Arrangements – Students Taking Assessments Separately (1) Will be given the same sub-papers for Listening (+2CDs) Assorted papers for other assessments

47 Special Arrangements – Students Taking Assessments Separately (2) Will not be provided a separate set of barcode labels Their scripts should be returned to their respective classes and Invigilators should then help sticking barcode labels for these students

49 Bad Weather Arrangements Delivery of assessment materials will be postponed to 16 June 2009 Assessment will be rescheduled to 19 June 2009 Collection of assessment materials will be postponed to 23 June 2009

50 Arrangement of Reserve Day of Written Assessments (1) 19 June 2009If primary schools are to be closed in the morning on either of the two days, the assessments of the whole day will be rescheduled to 19 June 2009

51 Arrangement of Reserve Day of Written Assessments (2) 19 June 2009If primary schools are to be closed in the afternoon on either of the two days, the assessments of the PM session of the day will be rescheduled to the afternoon of 19 June 2009
