2 ENROL Application Form:  The starting point – when you become a PhD candidate!! Establishes:  the proposed senior supervisor  the initial research topic  expectations over frequency of meeting with supervisor  that there are suitable resources available to support the proposed area of research The application form is at http://www.canterbury.ac.nz/admissions/forms/ http://www.canterbury.ac.nz/admissions/forms/

3 PhD PROPOSAL AND SUPERVISORY AGREEMENT FORM Submitted 6 months post enrolment. To confirm:  the composition of the student’s supervisory team (minimum of 2 active supervisors!)  the endorsement of the student’s initial research proposal  that resources are available to support the project The form includes Supervisor Agreement:  establishment of expectations: - roles of each supervision - frequency of meetings - expectations over publications - issues related to intellectual property This should be a “living document” that can be revisited through the tenure of the PhD Completed by student, senior supervisor, Department/School PG Coordinator and submitted to the PG Office for approval by the Dean of Postgraduate Research The form can be downloaded from http://www.canterbury.ac.nz/postgrad/phd_students/phd_reportin g_milestones.shtml http://www.canterbury.ac.nz/postgrad/phd_students/phd_reportin g_milestones.shtml

4 PhD CONFIRMATION FORM The PhD Confirmation Process involves the student: (i)Submitting a written report detailing progress to date and detailing the next steps in the proposed research. The exact nature of this document is determined by each department/school (ii)Giving an oral presentation on his/her thesis research and answering questions. The student’s performance on the above two components is evaluated by the supervisory team and at least one additional person. Written and oral feedback is given to the student. The Confirmation Form (downloadable from http://www.canterbury.ac.nz/postgrad/phd_students/phd_reporting _milestones.shtml ) is completed and submitted to the PG Office for approval by the Dean of Postgraduate Research. The Dean may: http://www.canterbury.ac.nz/postgrad/phd_students/phd_reporting _milestones.shtml (i)confirm the student’s enrolment; (ii)support the student’s continued enrolment subject to certain conditions (iii) discontinue the student’s enrolment

5 PROGRESS REPORTS (every 6 months) PROGRESS REPORTS (every 6 months) PROGRESS REPORTS (every 6 months) PROGRESS REPORTS (every 6 months) PROGRESS REPORTS (every 6 months) PROGRESS REPORTS (every 6 months) PROGRESS REPORTS (every 6 months)  Submitted every 6 months:  to report on achievements over past six months  to facilitate planning of upcoming milestones and aims  to identify any issues for discussion (with supervisors; PG coordinators; PG Office; DPGR)  Effectiveness depends on:  taking seriously the process of reflection and planning  candid responses from all  a willingness to discuss and address any issues that arise through the process of reflection and planning The PhD Progress Report Form (downloadable from http://www.canterbury.ac.nz/postgrad/phd_students/phd_reporting _milestones.shtml ) is completed by the student, supervisors and department/school PG Coordinator and submitted to the PG Office for approval by the Dean of Postgraduate Research. The Dean may: http://www.canterbury.ac.nz/postgrad/phd_students/phd_reporting _milestones.shtml (i)confirm the student’s enrolment; (ii)support the student’s continued enrolment subject to certain conditions (iii) discontinue the student’s enrolment

6 THESIS SUBMISSION Student’s tasks:  ensure they you are enrolled and that your fees are up-to- date  the following documents need to be submitted in person or electronically to the Postgraduate Office  PDF copy of the thesis  the completed “Use of Thesis” Form  International Students – contact Enrolments to discuss your visa situation  you will be notified of the names of your examiners and asked to complete a form indicating that you are happy with the nominated examiners or that you wish to raise concerns about the nominated examiners. This form must be submitted to the PG Office before they can send your thesis out to your examiners Senior Supervisor’s tasks:  complete the supervisor’s certificate  complete the examiners’ nomination form (and pass to HoD/S and student for sign-off)  inform the student of the names of the nominated examiners Head of Department/School’s tasks:  sign off on nomination of examiners

7 ORAL EXAM Purpose:  part of the formal examination process for awarding a PhD  can be conducted in-person (typical) or by video-link  the date of the oral examination is set at the time of submission of the thesis for examination and is usually 3-4 months from submission  opportunity to discuss thesis with knowledgeable experts (examiners):  clarification of points raised in reports  establishment of amendments required Structure:  present is an oral chair, oral examiner and senior supervisor  other members of the supervisory team are invited to attend  student can invite support person(s)  lasts 1-2 hours  the examiners reports are released to the student and supervisor 5-10 days before the oral examination At the completion of the oral examination a recommendation is made to the Dean of Postgraduate Research. Typically some final amendments are required prior to the award of the PhD – the student will be notified of such requirements by the PG Office
