Authorization Changes – Activity Level Authorization Warning Once a service and pay source are filled in on an activity, if there is an authorization, you’ll see a message populate, either telling you how many units are left, or that you have exceeded the number of units authorized.

Authorization Changes – Activity Level Authorization Warning (cont.) Additional information about the authorization warnings: The authorization message will disappear when the activity is saved. If an activity that has authorization units is deleted, the authorization units will be added back to the Authorizations tab.

UB-04 Form Now in Nightingale Notes UB-04 is now available. To access it, set the Claim Template field in Setup Pay Sources to an Institutional template. When the claim is generated, it will contain a Download UB-04 option.

UB-04 Form Now in Nightingale Notes – Printing the UB-04 (cont.) You’ll need to print the UB-04 directly from Adobe Reader. You can check that setting by clicking on the Tools menu in Firefox, then clicking on Options. Go to Applications, then look down the list for Portable Document Format (PDF). Options you may want to use: Preview in Firefox – will open another tab in Firefox. Your print options here may be different from what you have in Reader, so this option isn’t always good for printing. Always ask – will open a popup box with options to save or open and you can choose to open in Adobe Reader. Use Adobe Acrobat Reader – will automatically open in Adobe Reader

UB-04 Form Now in Nightingale Notes – Printing the UB-04 (cont.) Once you have the UB-04 open with Adobe Reader, click on File Print…, or click on the Print icon. Look for Page Sizing and Handling. Make sure it is set to Actual Size, rather than Shrink oversized pages or the alignment will not be right.

UB-04 Form Now in Nightingale Notes – Printing the UB-04 (cont.) Make sure your printer can do “borderless printing” or “full-bleed printing” since the margins are so narrow. Your IT staff should know this. If you’ve printed UB-04 forms before, this shouldn’t be an issue.

Vaccine Information Statement Changes – Vaccine Field Changed to CDC Vaccine Information Statement The VIS screen previously contained a Vaccine field. This is what would be used in Setup Supplies, in VIS components, and would then show up on the Immunizations tab in the list for VIS given.

Vaccine Information Statement Changes – Vaccine Field Changed to CDC Vaccine Information Statement (cont.) It’s now been simplified. The Vaccine field in Vaccine Information Statements has now been changed to Cdc vaccine information statement. Behind the scenes, we have added a list of all the VIS statement names, from the CDC website, including the “Multiple Vaccines” VIS for DTaP, Hib, Hepatitis B, Polio and PCV13. You will see them all listed in the Cdc vaccine information statement field. On the Setup Supplies Rates tab, you will now see a field called CDC vaccine information statements, with a button called Add CDC vaccine information statement. On the Immunizations tab, the CDC vaccine information statement is what will appear in the VIS given list.

Vaccine Information Statement Changes – New Edition Field, Effective on Field Change and New Copy Option New Edition Field There is a new Edition field, which is being autofilled with the Effective on date. This is a required field. The Edition date should be used as the published date that is listed on the Vaccine Information Statement. For example, the current DTaP VIS date is 5/17/2007. That is the date that should be listed in the Edition field. Effective on Field Change The Effective on date is still a required field, but the purpose may be different than it was. The Effective on date may still be filled with the date of the current VIS. However, you may also want to consider using this date as the date that your agency started using the current VIS. It may also be used to inactivate a Vaccine Information Statement. Inactivating a VIS is covered in the “Adding New VIS / Inactivating a Vaccine Information Statement” section. New Copy Option There is now a Copy option on the Vaccine Information Statement screen, which will help with creating multiple copies of the same VIS for different languages.

Vaccine Information Statement Changes – Adding New VIS / Inactivating A Vaccine Information Statement Right now in Nightingale Notes, because the Vaccine field in Vaccine Information Statements lists an actual vaccine name, you may have multiple vaccine information statements set up to accommodate different vaccine supplies, even though there is actually only one VIS form. An example of this would be that there is one Hepatitis B VIS, but on the Vaccine Information Statements screen, you may have one set up for “Hep B, adolescent or pediatric,” and one for “Hep B, adult.” Here are instructions on how to change this so that only one VIS is needed: In Setup Vaccine Information Statements, click on the Edit icon for one of the vaccine information statements you want to change. For this example, I am editing “Hep B, adolescent or pediatric.” Click on the Cdc vaccine information statement dropdown arrow. You’ll see that the “Hep B, adolescent or pediatric” option is in the list, but the other options are the actual titles of the vaccine information statements you’ll find on the CDC website.

Vaccine Information Statement Changes – Adding New VIS / Inactivating A Vaccine Information Statement (cont.) You can now select “Hepatitis B,” instead of the more specific option. In the case of Hepatitis B, you may still have another VIS option for “Hep B, adult.” If that’s the case, edit the VIS. You’ll notice that the screen does not have an active/inactive option. If you wish to inactivate it, so you only have one Hepatitis B option when adding new vaccine supplies, you can do this: Change the Cdc vaccine information statement option on this one to “Hepatitis B,” like the other. Then change the Effective on date on this one to a date prior to the date listed. For this one, you could change it to 02/01/2012. Or, you could change it to the actual older Hepatitis B VIS date, which would be 07/18/2007. After changing the date, it will drop to the bottom of the list and be grayed out.

A Copy Planned Activities from Series Button Has Been Added in the Scheduler We have added the ability to restore planned activities (set up on the Plan Activities tab) for a series to an individual occurrence, if for some reason those planned activities were lost or deleted. You will only see the Copy Planned Activities from Series button when editing the occurrence if the appointment is a part of a series and it does not contain any planned activities. For example, here is a series set up for weekly appointments, and some planned activities were added to the series:

A Copy Planned Activities from Series Button Has Been Added in the Scheduler The planned activities are accidentally deleted from one of the appointments in the series, so when the occurrence is edited, the Plan Activities tab does not contain any planned activities. Now the Copy Planned Activities from Series button is visible:

A Copy Planned Activities from Series Button Has Been Added in the Scheduler When the Copy Planned Activities from Series button is clicked, it restores the planned activities that were set up for the series, which prevents the user from having to manually create those activities. Please Note: The Copy Planned Activities from Series button will only appear when ALL planned activities are missing from the appointment. If some planned activities are still listed, they will have to be deleted, so the tab is empty, and then the button will appear.

Discharge Summary Report Changes Currently when running the Discharge Summary report, it will list all actual problems AND any problems with interventions that have been completed regardless of the severity rating (potential, health promotion, adequate) under the Problems Identified and Treated during this Admission section:

Discharge Summary Report Changes (cont.) Some agencies have indicated that they would rather only see the actual problems listed, so we have added the option to include only actual problems when you run the report:

Discharge Summary Report Changes (cont.) By default, the report will run the same as it does today, including all actual problems AND any problems with interventions completed. If you select the Include ONLY Actual problems? box, then the report will only include the actual problems:

Discharge Summary Report Changes (cont.) If you would like to set this as the default for your entire agency, we have added an option to set the default as only actual problems. You will find this in Setup Agency Info:

Discharge Summary Report Changes (cont.) When this box is checked, the Include ONLY Actual problems? box will be selected by default when running the Discharge Summary report. This default setting can be overridden by unchecking the Include ONLY Actual problems? box at the time of running the report, in the event someone would like to see all actual with the problems along with those that had interventions selected.

TIP: Speech to Text on iPads If you are using an iPad you can use the built-in text to speech feature that is part of the device. It’s not an extremely sophisticated recognition feature on the iOS device but it does work pretty well. Using Nightingale Notes on an iPad, click in any text box. From the onscreen keyboard choose the microphone icon and record your voice. As you speak, your speech is translated into text within the text box. The device doesn’t add punctuation. Some clinical terminology may not be translated correctly but it does handle quite a large variety of words fairly well.
