Introduction The iON Self Service application provides the summarized account of all academic activities such as exams, sports, library through widgets and also enables service requests related to the academic lifecycle. All this can be done online from anywhere and at anytime. With the Self Service application, students can: Maintain Profile View Timetable Download Course Content Search and Reserve Library Material Request for Letters Request for Transport and Hostel Accommodation And much more….

Objectives In this course, you will learn how to: Before using the Self Service application, a basic configuration needs to be done in the system to enable smooth functioning. Provide Self Service Access - Setup Let us look at the process of providing access to a student user into the Self Service application. Provide Self Service Access Access the ion website and login with admin credentials.

Provide Self Service Access Click on Admin Panel.

Provide Self Service Access Click on Manage Profile in the Admin Panel.

Provide Self Service Access Note: A student user can access the Self Service only when the mapping of Self Service application with the Student Profile is done. 2.Select Self Service from the Unmapped Applications section. 3.Click on add button to add Self Service to the Mapped Applications section. 1.Select the Student profile from Select Profile drop-down list..

Provide Self Service Access 1.Self Service now appears in the Mapped Applications section. 2.Click on Update Profile to complete the process of adding the Self Service application to the Student profile. By doing so, a student user will now be able to access the Self Service application.

Configure Self Service - Setup After providing Self Service access to a student user, you need to assign the student related widgets and quick links to the Student Profile through Configure Self Service. Let us see how it is done. Configure Self Service Access the Admin Panel and click on Configure Self Service.

Configure Self Service – Assign Widgets Configure Self Service has two tabs such as Assign Widgets and Assign Quick Links. Let us begin with Assign Widgets. Note: This process will allow you to allocate the widgets and quick links for student users.

Select Campus Management from the Select Application drop-down list and Student from the Select User Group drop-down list. On doing so, the Unmapped and Mapped widgets section will be enabled. Configure Self Service – Assign Widgets

Now, select the widgets that you would like to provide to the student users. Configure Self Service – Assign Widgets

After selecting the widgets, click on the add button.

Configure Self Service – Assign Widgets The added widgets now appear in the Mapped widgets section. Click on Update Widgets to complete the process of assigning widgets. The system will then give a confirmation message. Let now look at the process of assigning quick links.

Configure Self Service – Assign Quick Links In Assign Quick Links, you need to follow the same steps as described for assigning widgets. Select Campus Management Solution and Student from the application and user group drop-down lists.

Configure Self Service – Assign Quick Links The Unmapped and the Mapped Quick Links sections are enabled. Select the quick links from the Unmapped section and click on the add button.

Configure Self Service - Assign Quick Links The added quick links now appear in the Mapped quick links section. Click on Update Quick Links to complete the process of assigning quick links. The system will then give a confirmation message.

Configure Self Service - Assign Quick Links The widgets and quick links provisioned for students are now assigned to the Student Profile through Configure Self Service. The setup for the Self Service application is complete and it is now ready for use. Let us see how a student user can update and maintain his or her profile in the Self Service application. Rahul is an MBA student enrolled this year in Adhyayan University. He has received his credentials to access the Self Service application. Let us see how he will update his profile in Self Service.

Profile The Profile section in Self Service application allows you to update and maintain your identity in the Institute. You can update your personal and academic details. To update profile, click on edit.

Profile The profile page is displayed. It has two sections. The first section allows you to update your personal details such as your name, date of birth, photo, email id, blood group, telephone number, marital status and save this information. Note: The maximum size limit for photo upload is 80kb.

Profile After entering all the necessary information, click on Save.

Profile The second section has various tabs under which details can be updated such as address, language, qualification, vaccination and disease history, if any. You can also add rows to enter information under every tab. Click on Save after updating every tab. Let us now see how you can change your password.

Profile To change password, click on Preferences icon on bottom right corner of the Webtop. Click on Change Password tab. Enter your old and new password and click on Change Password. Note: You can also check the password policy to create an appropriate password. Let us now look at the activities that can be performed using widgets.

Widgets Widgets are standalone or hosted applications that can be installed and executed within a web page. They provide a summarised view of your activities or data. You can view your academic calendar, fees due, issued items from library, time table, attendance and much more. You can also make use of the Social widgets for entertainment and educational purposes. To learn more on Social widgets, please refer to the Help Assistant document. Let us now see the function of widgets in Self Service. To begin using widgets, you need to first create a folder in which widgets can be stored. Let us see how a folder is created.

Click on Create New Folder on the upper right hand section of the Self Service homepage. A window will be displayed to enter the folder name and save it. Enter the folder name and click on Save. Now click on Widget Gallery to proceed. Widgets – Folder Creation

Search Widgets The widgets assigned to student users will be displayed. You can search for a widget based on widget type or by widget name or the solution it belongs to. Let us see how to add a widget to any folder.

Add Widgets You can include any widget in your folder by clicking on the Add to button in the widget. The created folder or folders will be displayed. Select the folder and the widget will be added to that folder.

Maximize and Export Widgets The added widget is displayed on the Self Service dashboard. To do more with any widget, click on more actions. More actions option includes features to maximize a widget to a larger display, export widget information to excel format, refresh and delete the widget. Let us now look at the student related widgets.

Student Daily Timetable widget A widget which displays the daily timetable of Student. Student Weekly Timetable widget A widget which displays the weekly timetable of a student. Quick Links Quick Links are designed to meet your educational needs in a quick and simple way. Unlike widgets that provide only information, quick links allow access into select sections of iON solutions for submitting service requests. Quick Links are located on the left hand side and remain hidden till you click on the arrow button.

Quick Links - Letters Let us now look at a few quick links and their functions. To begin with let us see the letter request. For any official purpose, students can request for letters through the Letter Printing quick link in the Self Service application. To request for a letter, click on Letter Printing and select Letter Request. Letter Printing

The letters available will be displayed. At present, there is only one letter available. Select the letter and click on Request. Quick Links - Letters

Enter the reason in the Remarks section and click on Create Request. The system will give a confirmation message that the request is submitted. After due approval, the student will receive the letter. Let us now look at the Transport quick link Note: The letters that don’t require approval can be printed by the student.

Quick Links - Transport To apply for transport service, click on the Transport quick link and select Transport Request. Transport

Quick Links - Transport Click on Create to raise a new request for transport service. Click on search to find existing requests.

Quick Links - Transport Now, enter the details in the mandatory fields and click on Save to submit the transport request. The system will give a confirmation message.

Quick Links In the same way, you can request for services available in the Institution through quick links. Let us now see the list of quick links and various facilities that come with these quick links. Displayed below are the quick links available for students. RegistrationRegistration Process This link enables the user to register for subjects. Student LeaveLeave requestThis link allows user to request for a leave and view his earlier leave. Student Timetable and Registration Timetable selection and registration This link allows user to view different class timetable and select a timetable for himself(Student wise timetable). He can then proceed to register subjects. Letter PrintingLetter Request This link will allow the user to request for a letter.

Quick Links - Hostel HostelView Resource Type This link will allow the user to view different type of resource types. Hostel Initiate Checkout This link enables the user to initiate his checkout from hostel if applicable. Hostel Apply for Hostel This link enables the user to request for hostel service. Hostel Hostel Attendance This link enables the user to see his hostel attendance. Displayed above are the links available in the Hostel quick link.

AcademicsView Faculty Information This link enables the user to view faculty information. Academics Syllabus Details This link enables to view the syllabus of currently enrolled subjects. Summary In this way, students, can use the Self Service application for various academic needs. By doing so, they can save time and energy that can otherwise be utilized for various educational purposes. Students can update and maintain their profile, view academic information through widgets and request for various services made available by the Institution.
